Position Summary:

We are looking for someone that can get started within the next month and we anticipate the contract being active for the coming year, through June 2023.
Job Responsibilities Include:
General Administrative
- Filling all scanned documents received for the business into the appropriate folders
- Pulling pertinent information from DocHub, Canadian EOR communications, vendor communications, employee communications, etc. and saving in the appropriate company owned folders
- Regular review of the accounting email inbox to ensure timely action is taken on key business items, also scanning for information that needs to be filed into company owned folders
- Maintain insurance coverage for the business including but not limited to processing paperwork for renewals, managing payment changes, managing communications with insurance providers
Bookkeeping
- Meet monthly with the CEO to confirm client invoices to be sent for the coming month
- Promptly enter new project invoices based on direction from the CEO

Requirements

- Prepare and facilitate bank deposits as requested.
- Generate annual cash flow report.
- Produce timely payments, obtain required signatures, and mail accounts payable payments.

Technical Duties and Responsibilities:
- Accounts Receivables, and Accounts Payable
- General ledger to include Coding Transactions, Reconciliation, and Preparing Journal Entries
- Maintain an orderly Accounting Filing System, both paper and electronic to provide Audit Support
- Reconcile Bank and Credit Card Accounts
- Analyze trial balances, and make any necessary adjusting Journal Entries to correct discrepancies
- City, State, and Federal Tax Filings, Sales and other Regulated Taxes
- Analyze Operating and Financial Statement Information
- Prepare and review reports and other written documentation
- Code and enter Vendor and Expense Invoices/Personal balancing of checkbooks, cutting checks, and documenting of payments
- Experience with QuickBooks, SAP, Hyperion, ProSystems fx, and Xero experience is a plus
- Implementation of a Payment Filing System for bills coming in/out that is easy to follow
- Process Payroll and Manage HR related paperwork with on boarding experience
Education, Qualifications, and Certifications:
- Degree in Business, Finance, Accounting or another relevant field
- Preferred 5+ years of private accounting
- Administration and Office Management experience is preferred: 1 year
- Human Resource experience preferred
- Big 4 Accounting Firm experience a HUGE plus

· 5 working days after month’s end, we want you to close out books for the previous month and provide owners/directors P&L’s and balance sheets into a dropbox of previous month activities.
· Manage Local State & Federal tax filings & payments. TPT, Payroll, 1120C. Previous employer or a CPA must confirm you have done these.
· Prepare Yearly Budgets.
· Help us perform inventory reconciliations with appropriate check and balances observed.
· Obtain weekly adjustment reports from inventory managers and present those to owner/directors
· Track and calculate commissions owed to sales positions for bi-weekly payrolls.
