INVENTORY FULFILLMENT MANAGER RESPONSIBLITIES:
Duties of this job include, but are not limited to:
- In charge of all incoming orders from wholesale and vendors; Liaising with brands and distributors to coordinate deliveries.

- Accurately fulfill orders in a timely-manner.

About the Job:
The Fulfillment Manager is responsible for oversight of the packaging, labeling, storage and shipping of state-compliant product in a cost-effective and efficient manner. This requires impeccable attention to detail and excellent interpersonal communication skills. Coda Signature is an award-winning infused products company in Colorado that is experiencing rapid growth. We are currently seeking a highly qualified individual to lead our fulfillment team in Trinidad, CO.
We are seeking a well-organized, hands-on, and detail-oriented Fulfillment Manager to help get our award-winning products delivered to dispensaries. This position will help logistically plan deliveries, prep orders to go out the door, and manage inventory. They will supervise two fulfillment coordinators and a team of drivers.
Responsibilities:
- Working in Salesforce and QuickBooks to edit and maintain sales orders. Working in QuickBooks to generate customer invoices and allocate the correct quantities of product to each customer. Working in METRC to manifest orders.
- Preparing orders for delivery including picking, tagging and packing orders into the delivery bags and prepping the bags for shipment (adding ice packs, tagging bags, etc.)
- Works with Sales to understand needs of customers to ensure the best service.
- Works with the production managers to keep accurate production records. Some records are internal forms with batch specific information and other records are part of the METRC system with the state of Colorado Marijuana Enforcement Division (MED).

- ORDER FULLFILLMENT – Properly fulfill orders according to the Order Filling SOP, including: * Pulling the proper packages from inventory * Liaising with the customer and the salesperson in cases where the order cannot be fulfilled in whole or in part * Quality checking each package and verifying the weight of each package * Properly manifesting each package out of METRC * Creating final invoices and handing over to either the customer, sales person or delivering entity in a timely fashion * Creating the packet of information required, including relevant potency tests, licenses, invoices, etc. * Arranging for delivery to satisfy customer demand * Ensuring the order is properly and legally packaged for transport * Ensuring the order is properly and legally picked up for delivery * Ensure a sufficient inventory of all supplies (boxes, security tape, clear envelopes, etc.) * Maintain accurate and complete hard copies of all required logs and forms (customer profiles, invoices, manifests, etc.)
- INVENTORY MANAGEMENT – Ensure all inventory is accounted for, including: * Package weights are properly entered into METRC and/or any other program used to track inventory * Reconcile METRC with physical inventory weekly * Update the Wholesale Menu sales platform used by Overmount as needed (weekly and/or daily) * Keep digital records complete and organized
- MISCELLANEOUS: * Arrange for and liaise with testing lab(s) to have samples tested * Upload potency results where required when results are available * Communicate with Manufacturing GM about needs including staffing, supplies, quality control and logistical issues/needs * Ensure bio-security and other security protocols are being followed * Follow all MED compliance requirements, including maintaining the security of the packaging and storage rooms
REQUIREMENTS
Education:
- High School Diploma or GED Required
- Bachelor’s degree preferred OR equal work experience

About the Job:
The Fulfillment Manager is responsible for oversight of the packaging, labeling, storage and shipping of state-compliant product in a cost-effective and efficient manner. This requires impeccable attention to detail and excellent interpersonal communication skills. This position will work with API and Seed-to-Sale tracking software and will use expert knowledge of state regulations to perform job duties and respond to information requests.
- Oversee efficient and state-compliant packaging of cannabis flower and processed products
- Ensure accurate filling of sales orders
- Promote a positive, customer-service oriented work environment
- Complete manifests and invoices with 100% accuracy
- Maintain a compliant and properly organized vault in accordance with regulations and SOPs
- Maintain OSHA-compliant standards pertaining to product storage and food safety
- Work closely with department leaders and packaging staff collecting, tracking, and recording data
- Track and follow up on all sales orders, and monitor and update inventory records
- Develop regular reports from facility data to provide to national team members including, but not limited to, inventory, production plans, schedules, work in process, forecasts and efficiency metrics
- Prioritize orders/sales and procedures on a daily basis
- Supervise the accuracy and efficiency of the labeling process, and assist with labeling product as needed
- Supervise the process of loading the delivery van(s)
- Lift, move, sort, and wrap/tape/tamper-seal packages in accordance with all regulations
- Ensure materials are accurately ordered through Facilities Administration, maintaining adequate inventory of supplies for the department
- Oversee vault inventory and ensures records are updated
- Recognize areas of opportunity that improve safety, product quality, cost, and productivity
- Ability to use standard office equipment with proficient knowledge of all Microsoft Office applications with an emphasis on Excel
- Schedule Fulfillment Supervisor and Associates and approve their time
- Work with Facility Operations Management to ensure production goals are met
- Act as a quality assurance checker, spot checking labeling and packaging while handling products
- Maintain current knowledge of applicable regulations

- Physical Requirements of the Job: VERY LABOR INTENSIVE. Lifting, standing, walking, sitting, computer work, lots of math and mathematical calculations, climbing step ladder/small 4 ft ladder, lifting up to 75 pounds up to shelving at or above eye level, work during non-standard hours, perform repetitive hand motions (barcoding/stickering/typing).
