Overview: The front desk associate controls the flow of customers into the building. Primary duties include verifying and logging pertinent ID information into our POS for state compliance purposes. Front Desk Associate Responsibilities:
Monitors security systems for customers at the store entrance, permitting access to customers on an individual basis after verifying the customer’s age via valid identification.
Follows ECC protocols for customer verification and first purchase onboarding, collecting and retaining customer documents per Maine regulations. Inputs customer information data into the POS software.
Answers phones and online messages within brand standards and following customer service protocols.
Demonstrates proficient product knowledge and an ability to accurately represent all retail products to ECC brand standards. Relays product knowledge, specifications and information to customers as a representative of the East Coast Brand, using language and information in line within brand values and standards.
Follows ECC security best practices and basic protocols.

Dispensary Receptionists will commonly be the first individuals a patient or visitor comes into contact with at Keystone Canna Remedies, and are essential team members. They will help a patient or caregiver start and finish their experience at a Keystone Canna Remedies dispensary. More than just a secretary, Dispensary Receptionists will not only verify a patient or caregivers Pennsylvania Medical Marijuana registration, they will help build patient files, schedule visits for patients and caregivers, and help guide them through their KCR experience. Dispensary Receptionists will consistently contribute to a positive environment and professional atmosphere. These individuals will also help the dispensary team establish and maintain the highest level of security and compliance. Dispensary Receptionists will assist the dispensary team with any and all additional tasks as deemed appropriate and within practical scope.
SCOPE OF RESPONSIBILITY
The Dispensary Receptionist’s duties shall include, but not be limited to:
- Working under direct supervision of the dispensary pharmacist(s)
- Greeting any visitors presenting to a Keystone Canna Remedies dispensary
- Scheduling patient initial consults and follow up visits; creation of a working patient calendar
- Assisting with input of new patient information into MJ Freeway and other KCR databases to create and maintain a comprehensive and secure patient medical record
- Accurately verifying patient / caregiver participation in the Pennsylvania Medical Marijuana program upon arrival to a KCR dispensary
- Serve as a concierge for patients / visitors, helping directing “flow of traffic”
- Answer calls in a friendly and welcoming manner; appropriately and effectively triage calls
- Work with dispensary team members to provide best possible patient care and best possible patient experience
- Assist in the training of new and current staff members as delegated
- Contribute to maintaining a clean, organized, and safe work environment
- Practice all activities associated with education, dispensing and research of medical marijuana to the highest possible standards, and in accordance with rules and regulations established by the Pennsylvania Department of Health
QUALIFICATIONS
Candidates will be at least 21 years of age.
High School diploma/GED Education required; post-secondly degree most desirable.
Experience: Prior experience working as a medical or administrative receptionist/assistant favorable.
Degrees, Licensure and/or Certification: Post-seconday or collegiate degree favorable
Pass background check, including check with FBI;
Candidate has never been found guilty of felony offense or concerning misdemeanor offense (i.e. theft, diversion of drugs).
Knowledge, Skills, Traits and Abilities:
Keystone Canna Remedies’ Dispensary Receptionists will be friendly, compassionate, able to work successfully with patients and positively represent Keystone Canna Remedies as well as the medical cannabis industry. These individuals will have strong organizational skills, and the ability to multitask. They will be able to work independently as well as with a team. Dispensary Receptionists should have strong written, verbal, and interpersonal skills. Knowledge of operation of telecommunication systems, including voicemail, call forwarding, etc. essential. Dispensary Receptionists will serve as a consistent role model of professionalism, with high regard for ethical and moral behavior. Computer competency is a must, including exceptional keyboarding and internet navigation skills.
Ability to speak and/or write in languages additional to English very favorable.
Familiarity with applicable Pennsylvania Medical Marijuana rules / regulations is essential.
CPR/BLS training - current certification accepted, or training completed within 6 months of hire.
Longitudinal education regarding advancements and policy in the medial cannabis industry to establish and maintain competency for best possible patient care.

We’re looking for a Front Desk Associate who is eager and excited to join our growing Retail team. The right individual will be dependable, team-oriented, someone who has strong interpersonal skills and showcases a can-do attitude. This Front Desk Associate must be able to provide outstanding customer service to everyone who walks in. In addition, this position will be responsible for supporting the day to day operations of the retail dispensary. As a Front Desk Associate, this person will be an integral part of the Connected brand as we continue to grow and expand.
Essential Duties and Responsibilities
- Greet all customers with a positive and warm welcome.
- Operate front desk computer, check in patients, update patient/customer files.
- Process paperwork for new customers, data entry
- Provide all new customers with a brief explanation of services..
- Keep all online/paper menus current with daily offerings
- Exemplify a teamwork attitude with management and coworkers to improve personal and store performance
- Communicate effectively with management and coworkers concerning business issues and opportunities
- Comply with all company policies and procedures, and follow all safety standards to ensure a safe work and shopping environment
- Support the Store Management team in driving and maximizing store sales, controlling and minimizing shrink to achieve store goals
Qualifications
- High school or equivalent
- Excellent Computer Skills: Word, Excel, PowerPoint, Email
- Must be 21+
- No prior experience required; however, prior experience in the cannabis industry or retail is a plus.
- Work a schedule reflective of availability established at the time of hire, with the ability to increase hours based on business needs which may include weekends and/or holidays.

Associate Responsibilities:
Welcoming customers at the front desk by greeting them with a smile and friendly attitude.
Checking in returning customers and verifying membership.
Registering new customers and guiding them through the member application.
Directing customers to correct areas within the dispensary based on their needs.
Proper phone etiquette, including the handling of incoming calls and answering or referring inquiries, and an understanding of how to use phones to communicate with other departments.
Basic upkeep of the front desk and waiting areas. Maintaining stock of forms, office supplies and bathroom essentials.
Safeguard customer privacy and confidentiality at all times. Mindful of HIPAA compliance and full adherence to the law.
Proficiently use office equipment (laminator, scanners, printers), Apple computers and Google documents/drive.
Complete other duties and free time tasks as assigned by Management.
Minimum Requirements:
2+ years of customer service experience preferred.
Prior experience in an office environment is highly recommended, but not required.
Solid experience in communicating effectively and professionally with all patrons, no matter age, gender or medical situation.
