OBJECTIVES: Under the direction of the COO, the Production Coordinator will ensure all the required production activities are completed as required.
PRODUCTION COORDINATION (30%)
- Ensure all the production requests are clearly identified, assigned, and completed to the requirements
- Ensure all the required resources for production are always available to support all production needs (including inputs, tools, space, process documentation, software, training, and labor)
- Ensure all production requests are properly managed on the Asana production board including order numbers, due dates, and customer notes. Also, ensure that all time is tracked in Asana (Harvest) for work spent in production.
- Support management with the planning of all production-related projects
- Create and provide management with any and all reports on current activities, projections, issues, risks, etc.
- Ensure the quality of all produced items and provide quality checks and reporting
- Support external partnerships related to production (such as Co-Packers) on planning, sales reports, quotes, progress, logistics, and administration; including receiving approvals from the COO.
- Coordinate with the Production Manager to plan the production of in-house production projects
DATA MANAGEMENT (30%)
- Work with the Inventory Manager to ensure accurate product counts and monitor par levels
- Track packaging materials and dry goods in the inventory tracking system
- Ensure process documentation is complete, accurate, and up-to-date.
- Ensure process documentation is followed and modified with management’s approval where changes are necessary
- Ensure all activities related to inventory support and 100.00% accuracy of inventory counts

- Create new work orders by transferring the variable data from the test results to the work orders.

- Identifies production constraints related to work cells and overall plant load.

Position Overview:
The Production Coordinator, or Facility Coordinator, works closely with the facility leadership team to assist with day-to-day operations of the Cultivation Site. The Coordinator oversees the safekeeping and security of all cultivation and production/manufacturing inventory books, records, invoices, reports, and other documentation, both confidential and otherwise. In addition, they serve as phone receptionist, and liaison for visitors and vendors.

- Ensures complete compliance with state statutes and regulations as required for cultivation and production facilities, maintaining records required by public health law.
- Maintains systems for record keeping, record retention related to all product and purchase orders at every stage of, storage, delivery, transporting, and distribution.

Summary
Assists in essential responsibilities of the Production department and ensures state compliance standards and Planet 13 standards are met by preforming the following duties. Verifies delivery of new products, enters into POS system, prepares product for warehouse storage and wholesale distribution.
Essential Duties and Responsibilities include the following. Other duties may be assigned.

Coordinate deliveries with internal and external distribution channels
- Coordinate available inventory and fulfillment times with the director of wholesale
- Fulfill wholesale purchase orders
- Complete inventory procedure using electronic tracking system (Biotrack) and respond to any discrepancies by notifying management and investigating reasons for the discrepancy.
- Review inventory in Biotrack and METRC systems to ensure accuracy and compliance.
- Ensures inventory counts are being performed on schedule with acceptable results, and the proper documentation is being executed and filed.
- Enter labs and required information set by Nevada NAC453A&D into inventory software system.
- Accepting and preparing deliveries on METRC, the state mandated inventory tracking system.

Ensure proper licensure is in place and current for all wholesale vendors
- Prepares products for wholesale distribution and backstock (preparing bins labels, METRC tag copies for bins on sales floor, etc.)
- Assists Inventory control with the intake of consumables and biomass
- Assists Management in investigating discrepancies.

Participate in Quarterly/Yearly Audits.
- Complete weekly audits and destructions
- Comply with inventory control procedures.

We currently have an immediate opening for a Production Coordinator who supports the mission-critical role of assisting the Production and Inventory Manager in all aspects of the product creation and processing. Responsible for performing administrative duties, entering payroll and production data and providing all levels of support to meet operational needs.
The position requires a proactive, hands-on approach with an eye for attention to detail and a passion for accuracy. Ability and willingness to be flexible is essential, as the role may move from one job task to another. Has exceptional attention to detail and ensures fidelity of all data entered.
Essential Job Duties
- Data collection and entry, and record keeping
- Tracking and managing inventory
- Input data accurately in company records & METRC for reporting & compliance
- Ensure quality finished product meets company quality standards
- Assist explaining or training trimmers on trimming techniques and other quality standards to optimize performance
- Communicate, perform and ensure company standard operating procedures and instructions are followed and assist with developing SOPs as needed
- Clerical tasks may include answering telephones, bookkeeping, office machine operation, and filing
- Order supplies and manage supply inventory
- Perform daily housekeeping & walkthroughs to ensure work environment is maintained orderly, clean and safe
- Perform administrative and workflow duties to meet operational needs to include, but not limited to processing new hire paperwork, time off requests, and creating identification badges
- Field employee questions and concerns and provides information or directs to appropriate channels
- Perform other job tasks as assigned. This position will also work all cultivation job tasks and post harvest jobs as needed.
Job Requirements and Qualifications
- Minimum High school diploma, AA or BA preferred
- Minimum of two years experience in a production process facility with experience related to data integrity, process coordination, or a mathematical position.
- Strong mathematical and arithmetic skills required
- Ability to understand and comply with applicable quality and safety regulatory requirements
- Maintains satisfactory attendance, to include timeliness
- Strong communication skills with the ability to communicate respectfully and with a positive attitude
- Flexible and willing to move with changing priorities quickly and easily
- Strong attention to detail with the ability to produce accurate results
