Job Description
- Compile, proofread and revise drafts of legal documents and reports.
- Systematic knowledge of databases and tracking systems.
- Handle scheduling of depositions and hearings
- Communicate the progress of a case with clients
- Respond to all case-related queries.
- Obtain relevant information from other organizations or agencies.
- Create and organize information, and generate reference tools for easy use by the office.
- Ensure efficient and effective administrative information and assistance.
Qualifications
- Exceptional communication skills, both oral and written, coupled with excellent listening skills and a positive and energetic phone presence.
- Track record of meeting and exceeding goals.
- Ability to grasp and interpret legal documents.
- Highly organized, extensive computer skills and quick to learn new processes.
- Minimum of 5 years employment experience as a legal administrative assistant and/or paralegal.

Position Description:
Provides financial and legal administrative support and deliverables for Schwazze’s Legal Department.
Principal Responsibilities:
- Manages complex activities, including coordination of appointments and hearings for executive(s) as well as, scheduling and meeting/ event logistics. Keep executives informed as required. Arrange conference calls, video conferences or data conferences across multiple time zones, occasionally including international participants.
- Organizes and maintain the company’s legal and financial files, execute company’s document retention policy and maintain documentation, as necessary.
- Prepares a range of correspondence and deliverables as directed by executives, including proof-reading of documents prepared by others.
- Provides detailed agendas, meeting notes, and support for executives attending meetings. Follow up on action items and report status to executives, as necessary.
- Assists with miscellaneous complex administrative tasks.
- Keep current and be knowledgeable on company’s tools, processes and technology. Educates executives on new and existing tools, legal processes and technology in order to enable the company’s overall strategy.
- Compiles, processes and analyzes data based on research objectives and prepare reports as requested.
- Assists the Legal License review team with regulatory / license and license maintenance filings. Calendar, schedule and track filing requirements as directed.
- Develops relationships with executives’ clients and their executive support staff.
- Other duties as required.
Qualifications:
- Four Year Degree – Bachelor of Arts, preferred
- 3-5+ years executive support in a law firm or in-house with a corporation – legal records management, tracking documents through legal review process and signature, proofreading and formatting, attention to detail, calendaring and meeting management.
- 5+ years written and verbal communication
- 3-5+ years scheduling and document preparation project management
- 1-2 years Travel coordination and logistics planning
- 5+ years Microsoft Office Suite (advanced Word document formatting such as tracked changes, columns and SharePoint)
- Demonstrated flexibility, detail orientation and self-direction
- Demonstrated ability to manage multiple, changing priorities in a dynamic work environment
- Works well with all levels of executives, management and staff, both internally and externally while remaining sensitive to highly confidential matters
- Advanced Excel
- Advanced PowerPoint Presentation creation and editing, or similar
- Project Management/coordination Visio organization charts and diagrams
- Legal and finance experience, preferred
- Legal Compliance experience, preferred
