Job Description

We are seeking an experienced, self-directed, trustworthy, and task-oriented Executive Assistant. The Executive Assistant will report directly to the CEO and be responsible for performing various administrative duties.

The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks within a fast-paced start-up environment.

The Executive Assistant’s responsibilities include, but are not limited to, managing calendars, serving as the primary point of contact, making travel and other arrangements, and preparing various reports and comparative analyses for the CEO.

Primary Responsibilities

• Work directly with the CEO to support all aspects of her daily work routine.

• Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
• Occasional travel may be required.
• Manage the CEO’s home office operations including oversight of home warranty items, repairs, grounds keeping staff, arrangements for pet sitting, pet wellness and exercise, and occasional provision of on-site pet sitting.
• Serve as a liaison between the CEO, Alchemy 29 staff and the public. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
• Coordinate work with other Alchemy 29 staff as needed; play a key role in the coordination of staff efforts both within and outside the department.
• Assist the CEO in the development of presentations and white papers for internal and external audiences.
• Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.
• Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
• Routinely perform a wide variety of support duties.
• Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
• Sort and triage mail; maintain e-mail and other address directories.
• Compose and prepare letters relating to routine correspondence for the CEO’s signature.
• Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
• Transcribe source material, prepare documents, reports, tables, and charts; distribute as appropriate.
• Prepare, reconcile, and submit expense reports.
• Maintain paper and electronic filing systems in each of the CEO’s offices.
• Maintain confidential and sensitive information.
• Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
• Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.

• Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Qualifications/Experience

• 65 WPM, verified
• Work experience as an Executive Assistant, Personal Assistant, or similar role.
• Fluent in MS Office (Excel, Word, and PowerPoint)
• Draft and circulate well-spoken and grammatically correct emails
• Communicate verbally in a well-spoken manner
• Exceptional organizational and time management skills

Job Description

We are seeking an experienced Chief Operating Officer ("COO") to oversee our manufacturing and distribution facility in Lake County, CA. The COO should have full working knowledge of cannabis from processing, solventless manufacturing, through distribution, and will oversee and manage all company daily activities. We are looking for a candidate with a solid track record of success as a COO proficient in scaling businesses. An ideal candidate would be someone with a mind for business who is capable of managing and building multiple departments while maximizing productivity. The candidate should be a team player who is highly skilled in operations, human resources, and finance. Candidate should have the ability to develop and maintain an environment where employees feel motivated and supported. As a start-up, the COO will be expected to wear many hats and build out various departments while maintaining the opportunity to grow with the company. Objectives of this Role

Roles and Responsibilities:

The Financial Controller will be responsible for all accounting operations. The ideal candidate will collaborate with executive staff on top-level business projects, construction build-outs, priorities, and timelines all while having the ability to be hands on. The position is responsible for leveraging our IT software Sage Intact and Backbone to provide a solid financial control of operations and timely and accurate financial and managerial reporting.

Essential Functions & Responsibilities: (including but not limited to)

Accounting

• Manage all aspects of the accounting operations, including current staff
• Manage the timely close each month and the issuance of monthly, quarterly, and annual financial statements
• Create and manage the flow of financial data, including commentary of financial statements, establishing and assessing KPI in conjunction with operations teams and management, to create a robust reporting package, compliant with GAAP standards, with an eye on attention to detail while maintaining a big picture perspective
• Report on monthly Budget vs. Actual variances by department.
• Maintain and update budget data in conjunction with operations team and management, as needed

• Work with CFO and existing accounting teams to review and refine existing accounting policies and procedures, in conjunction with needs for cannabis compliance and overall needs within a larger group of entities. Implement new systems to improve efficiency and timely reporting. Create actionable intelligence for managers
• Provide data needed for completion of annual tax returns preparation with CFO and outside CPA firm
• Manage existing banking relationships and develop new connections in the complex cannabis banking environment
• Oversee and manage, in conjunction with current accounts payable staff, accounts payable daily, weekly and monthly basis to maintain timely payments
• Reconcile the accounts payable and inter-company balances related to accounts payable on a monthly basis
• Maintain accurate vendor lists and profiles, including contact information, 1099 status, and supporting documentation, including forms W-9, in order to be compliant with Federal, state, and local reporting requirements and Company policy
• Oversee the process to create, maintain and organize all files required for Accounts Payable, both physical files and electronic files
• Oversee the process of incoming invoices via mail or email for distribution to management for approval using Sage Intacct accounting software
• Oversee collection, sorting, and organization of mail, incoming and outgoing
• Oversee organization of meetings and management of calendars
• Oversee, maintain and organize office supplies, while controlling expense

• Develop, in conjunction with management, process for oversight for future collections and accounts receivable, ensuring compliance with cannabis regulations and need for oversight and audit trail for cash based transactions
• Establish process to appropriately manage cash flow payment stream, as needed
• Audit, record, and process credit card invoices, including capturing all receipts, on a monthly basis

Business Planning and Forecasting

• Provide business analysis, Dashboards, KPIs, forecasting, and financial planning for four seasonal outdoor farms, facility buildout and improvements and year round processing facility operations
• Manage annual budgeting process with each department manager with an eye for process improvements
• Oversee all F & A vendor relationships
• Develop project and proforma financials to support growth initiatives and financing activities
• Lead monthly budget variance analysis meetings with all managers with P&L responsibility

Finance

• Support executive staff in financing activities by providing timely, accurate reports and participating in meetings with external stakeholders as necessary
• Participate in investor meetings as needed

Payroll and Human Resources:

• Oversee payroll and human resource functions until such a time as we can on-board and train the appropriate personnel for both functions
• Work with current staff to ensure payroll compliance, including reviewing bi-weekly payrolls and assuring the accuracy of the payroll records, for time keeping and payroll
• Work with management team to assess the human capital needs for both payroll and human resources as we grow

IT

• Act as finance lead in company-wide Sage Intact and Backbone deployment and integration
• Identify and execute opportunities to improve accuracy and timeliness by enhancing or adding systems integrations with ERP.

Controlling and Auditing

• Implement and monitor controls to ensure compliance with local and state tax laws, including compliance with state and local excise, sales and use and any other taxes required to be filed for a operator in the cannabis industry
• Provide direction and hands-on management of company-wide financial and accounting controls
• Implement and monitor controls to ensure compliance with state and county cannabis regulatory framework
• Work with the management team to identify risks and insurance requirements and work with insurance brokers/companies to acquire and maintain appropriate insurance policies across all operations
• Respond to routine and periodic audit or compliance requests, including bank compliance, insurance audits, tax audits, payroll audits, etc.

Education

• Bachelor's Degree in Accounting or Finance required
• Master's Degree in Accounting or Finance preferred
• CPA, CFA, or similar license preferred but not required

Knowledge Requirements (licenses, programs, or certifications)

• Understanding of US GAAP as it applies to a manufacturing environment

• Five years plus managing complex cash management and AIP
• Five plus years supervising accounting staff
• Five plus years of hands-on managerial and cost accounting experience
• Experience with a smaller organization wearing many hats
• Agriculture or manufacturing experience is strongly preferred
