Job Description
Oaksterdam University is seeking professional, experienced, and motivated individuals interested in promoting systematic change through cannabis.

Status: Part-Time and/or Full-Time remote-work position available. Immediate opening.
Summary:
The role of the Executive Coordinator is to support the executive team through scheduling coordination, timekeeping and minutes during select meetings, and administrative functions in support of the CEO/President. The Executive Coordinator supports maintenance of communication outlets of the CEO/President, including email, social media, and text/voicemail management.
Responsibilities and Duties:
- Schedule internal organizational department and committee meetings; provide note taking and timekeeping services on select calls, often collecting action items to complete or populate into Asana for others.
- Maintain and sort incoming email to the CEO’s general account, including drafting responses, using discretion to forward inquiries to appropriate managers, and escalate priority communications.
- Monitor and maintain Asana projects involving the CEO to coordinate the CEO’s calendar - maintaining a balance between meetings and dedicated focus time to support project management.
- Regularly check and interact on social media (Linked In, Twitter, Facebook and Instagram) and collaborate with the Marketing Department to maintain brand guidelines to post and manage appropriately on behalf of the CEO.
- Schedule meetings with external stakeholders for contracts, large projects, and exploratory calls, typically coordinating between 4 to 20 people.
- Support with researching, copywriting, and developing presentations for projects, opportunities, and proposals.
- Check voicemail and text messages for the general office line of the CEO.
- Maintain confidentiality of sensitive materials that may pass through the office of the CEO/President and other team members.
- Other related duties as assigned.
Qualifications:
- Minimum 3-4 years relevant experience. Combined consideration for completed academic work, certifications, and work history in administration, sales, customer services, media, etc;
- Experience holding a leadership role for a minimum of one continuous year in a professional, academic, non-profit, or volunteer environment;
- Strong time-management, organizational, and/or project management skills;
- Strong written communication skills with ability to type 50 wpm;
- Self-starting with solid follow-through and multi-tasking capabilities
- Ability to provide change management, handle a fast-paced environment and challenging workload.
- Must interact effectively with all levels of management and staff; internally and externally.

- Experience with social media management platforms and basic image editing

Department: Student Services/Admissions
Status: Part-Time and/or Full-Time remote-work position(s) available. Immediate opening.
Summary:
The role of the Student Support Specialist is to educate potential and current students with regards to the vast and expansive academic program offerings of our University and provide guidance to our new students during the registration process. This individual should be experienced in initial point-of-contact sales and customer service to route students within our University system in course selection, student aid, and address general inquiries.
Responsibilities and Duties:
- Using Tracking software to receive, track, and address student questions and issues (We are currently utilizing ZenDesk);
- Following up with other departments to ensure the timely resolution of requests;
- Ensuring customer satisfaction for every request and inquiry;
- Answering phone calls, chat requests, and written inquiries from customers as quickly as possible.
- Monitoring Social media accounts for comments, mentions, and direct messages to respond and promote interactions
- Looking up, troubleshooting, and updating customer information in a WordPress environment;
- Assist students reset their password and access their programs
- Updating a database of standard responses in our online help desk;
- Ensuring the accuracy and completeness of student information on our system;
- Routing request and inquiries to the proper department;
- Monitor and moderate online forums and communities.
Qualifications:
- Minimum of 1-2 years of experience in Higher Education registration, admissions, sales, or/and customer service;
- High School Diploma or equivalent;
- Experience with Google Documents, Calendar, Spreadsheets, and Hangouts
- Experience with and working knowledge of Zendesk or other Student services tracking software;
- Familiarity with Project tracking applications, such as Asana;
- Strong time-management and organizational skills to ensure meeting all deadlines;
- Proven ability and willingness to work remotely and independently;
- Be able to communicate across multiple departments and have strong computer skills for collaborative work on documents;
- Ability to work assigned/flexible hours necessary to complete the job every week;
Additional qualifications preferred:

Reports to: Director of On-line Instruction/TechnologyCompensation/Pay Rate: $21 to $24/hr DOE (Based on experience in the Cannabis industry and relevant writing experience). We offer health benefits for full-time employees.

General Overview: The Communications Specialist (CS) will create and monitor content forOU’s message to the public and media. The CS interacts with multiple departments to ensure brand message and strategy are maintained throughout the university’s communications. TheCS serves as a marketing copywriter and brand writer in creating content for OU. The CS creates and updates content for the company website. This includes, but not limited to, event promotions, news articles, course descriptions, and landing page campaigns. The CS provides primary content to newsletters, blogs, and social media posts to promote awareness of events and drive enrollment. The CS is responsible for the creation, distribution, and monitoring of press releases.
Responsibilities and Duties:
- Write content for both print and Web including the company website, blog, forums, brochures, articles, and newsletter;
- Writes, revises, and edits drafts including executive summaries, conclusions, and organization credentials for proposals submitted externally;
- Plan and implement a communications strategy;
- Produce error-free content that adheres to Oaksterdam University’s style guidelines;
- Monitor the company’s SEO, online presence, and social media: Instagram, Facebook,
Twitter, and LinkedIn;
- Monitor news sources for school, faculty, and leadership mentions; instigate corrections as needed;
- Stay up-to-date with cannabis industry news;
- Recommend techniques to improve the company’s public image;
- Interpret creative direction and adapt points from creative briefs into persuasive copy concepts;
- Assist in monitoring promotional and marketing materials to meet the company’s brand identity strategy;
- Identify and resolve any issues with promotional content in a timely and professional manner;
- Assess and report on the effectiveness of communication strategies;
- Review and update admissions scripts to ensure they are in line with the school’s offerings and brand;
- Maintains quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases;
- Obtains approvals by reviewing proposal with key providers and project managers;
- Improves proposal-writing results by evaluating and re-designing processes, approach, coordination, and boilerplate language;
- Updates job knowledge by participating in educational opportunities; maintaining personal networks;
- Accomplishes organizational goals by accepting ownership for accomplishing new and different requests, and exploring opportunities to add value to job accomplishments;
- Occasionally create, proof-read and edit additional content related to OU business.
Qualifications:
- Bachelor’s Degree in Marketing, Communications, English, Public Relations, Journalism or like degree;
- A minimum of 2-3 years’ experience working in a marketing, public relations, or communications position;
- Possess a solid understanding of effective marketing techniques;
- Must have excellent writing and editing skills;
- Strong time-management and organizational skills to ensure that all deadlines are met;
- Be able to communicate across multiple departments and have basic computer skills for collaborative work on documents;
- Ability to work assigned/flexible hours necessary to complete the job on a weekly basis.
Additional qualifications a plus but not a requirement:
- Knowledge of the cannabis industry is highly encouraged.
- Public speaking experience.
- Bilingual (preferably Spanish).
- Media Training.
- Familiarity with Slack, WordPress, LMS, and CRM systems.

Summary:
The role of the Student Support Specialist is to educate potential and current students with regards to the vast and expansive academic program offerings of our University and provide guidance to our new students during the registration process. This individual should be experienced in initial point-of-contact sales and customer service to route students within ourUniversity system in course selection, student aid, and address general inquiries.
Oaksterdam University’s strength is in its team working environment. However, individuals should be comfortable working independently and be solution-oriented. Candidates are required to have strong attention to detail and take the lead in their respective department. This position requires a take-charge attitude to reply and document a multitude of student needs and requests. Please note that due to the COVID-19 pandemic, all employees will be working from home for the foreseeable future. Responsibilities and Duties:
- Using Tracking software to receive, track, and address student questions and issues
(We are currently utilizing ZenDesk);
- Following up with other departments to ensure the timely resolution of requests;
- Ensuring customer satisfaction for every request and inquiry;
- Answering phone calls, chat requests, and written inquiries from customers;
- Looking up, troubleshooting, and updating customer information in a WordPress environment;
- Updating a database of standard responses in our online help desk;
- Ensuring the accuracy and completeness of student information on our system;
- Routing request and inquiries to the proper department;
- Monitor and moderate online forums and communities.
Qualifications:
- Minimum of 3-4 years of experience in Higher Education registration, admissions, sales, or/and customer service;
- High School Diploma or equivalent;
- Experience with Google Documents, Calendar, Spreadsheets, and Hangouts
- Experience with and working knowledge of Zendesk or other Student services tracking software;
- Familiarity with Project tracking applications, such as Asana;
- Strong time-management and organizational skills to ensure meeting all deadlines;
- Proven ability and willingness to work remotely and independently;
- Be able to communicate across multiple departments and have strong computer skills for collaborative work on documents;
- Ability to work assigned/flexible hours necessary to complete the job every week;
