The Oregon Health Authority (OHA), Public Health Division (PHD), Oregon Medical Marijuana Program (OMMP) in Portland, OR is recruiting for a Commission Administrative Support Specialist to provide administrative support functions to the Oregon Cannabis Commission, its subcommittees, and section management
Most of this work may be conducted remotely at an alternate worksite with full access to the needed operating systems and technology. However, there are times that the work will need to be conducted at the primary work location listed in this announcement, the Portland State Office Building located at 800 NE Oregon Street, Portland, OR 97232. Work location can be changed at any time at the discretion of the hiring manager. Occasional travel for the commission meetings may occur.
What will you do?
As the Commission Administrative Support Specialist , you will perform the following duties:
Schedule and coordinate meeting logistics which includes scheduling rooms; reserving audio/visual, webinar/videoconferencing equipment; sending invitations; creating and emailing agendas; and processing travel arrangements.
Prepare presentation materials utilizing PowerPoint and desktop publishing software.
Record, transcribe, distribute, and maintain meeting minutes as needed for commission meetings and sub-committees.
Record, track, and follow up on action items.
Attend all meetings and provide support for subcommittees and subgroups.
Oversee and maintain committee schedules, rosters, mailing lists, email inbox, and email groups for multiple groups.
Design, create, and maintain systems and reports to organize data from meetings for easy access and distribution.
Interpret, apply, and communicate rules, regulations, policies, procedures, and general program information to commission members, stakeholders, and the public.
Prepare and submit travel authorizations, arrange travel itinerary and accommodations, and prepare and submit expense claims for the commission.
Partner with PHD communications to send notifications communicating all commission and sub-committee public meetings.
Complete reimbursements and track payments using multiple databases for the section in collaboration with the program analyst.
Assist analysis unit with administering reports and tracking requirements.
Track manual reports, oversee return mail, and assist with processing revocations.
Ensure confidentiality of all registered cardholders, grow sites, and other sensitive section information.
Perform other duties as required and assigned.

The Oregon Liquor Control Commission (OLCC) is looking to find two qualified candidates to join our Portland Regional Office as Medical Marijuana Support Specialists (Administrative Specialist 1).
We are posting this as an internal and external recruitment opportunity. Individuals who currently work for the OLCC will be given preference during the application review process.
Who are we?
The OLCC is the agency responsible for regulating the sale and service of alcoholic beverages, the production and sale of recreational marijuana, the tracking of Oregon Health Authority medical marijuana, and the tracking of industrial hemp products sold in OLCC retail stores. The agency is comprised of three major operational programs; the Distilled Spirits Program, the Marijuana Program, and the Public Safety Program. All three programs are supported by the Administration, Financial Services, and Support Services divisions. Revenue generated from these programs helps support state and local government programs.
The OLCC’s Public Safety Program licenses and regulates businesses in the alcohol, marijuana and medical marijuana industries such as producers, wholesalers, manufacturers, bars, restaurants, retail outlets, grocery and convenience stores.
What will you do?
The Medical Marijuana Support Specialist (Administrative Specialist 1) is the divisional support for the Medical Marijuana Program. The position also supports the OLCC call center taking calls from the public, licensees, and local governing bodies answering questions and taking complaints on recreational marijuana and alcohol related issues.
Here are some of the essential duties you will perform :
- Explain medical marijuana laws and registration requirements and processes to registrants. Register Medical Marijuana Registrants into appropriate programs.
- Research and draft technical documents for internal and external customers on various data primarily related to the Medical Marijuana Program.
- Explain laws, rules and procedures for obtaining medical marijuana licensing to internal staff and the public. Act as a resource for medical marijuana registrants and OLCC employees by explaining laws and processes.
- Interpret administrative rules, statutes, legislation and communicate areas of concern or improvement.
- Assist with the procedures and documents necessary for efficient work flow within the Medical Marijuana Program.
- Review and communicate statistical data within the Medical Marijuana Program.
- Work in the OLCC Call center answering recreational marijuana, medical marijuana and other topics assigned.
- Maintain a professional exchange with internal and external staff and stakeholders. Has regular contact by telephone, in person, letters, and electronic mail with staff members, clients, and the public, to gather and share program information, clarify policy, and determine compliance.
- Communicate with people of diverse cultural, ethnic and socioeconomic backgrounds.
- Process licensee camera failures, alteration, and change notifications.
- Create Compliance intakes and forwards to Regional Managers.

- This position will be part of an on-call rotation to answer priority enforcement related calls during all non-working hours.
- Current Law Enforcement Data Systems (LEDS) Inquiry level certification or ability to complete certification while on the job.
- OLCC will conduct a personal background investigation prior to hiring. This includes a computerized criminal history check, fingerprinting and CJIS Clearance approval by the Oregon State Police. The presence of criminal history could result in the withdrawal of a job offer or termination of employment.
- This position requires a complete Electronic Statement of Personal History (eSOPH). The finalist will receive instructions from the Human Resource staff on the eSOPH process.

ROLE SUMMARY
