The Application Support Specialist, Tier 1 is responsible for (1) the daily resolution of IT tickets related to internal software systems and (2) the triage of tickets to other Systems/IT staff and Business Units, which occur abruptly across the business and require immediate solutions. Responsibilities & Duties
- Responsible for the BU’s financial statements, financial reporting, general ledger maintenance, cash flow analyses, budget vs. actual, and forecast vs. actual analyses.
- Sets up financial infrastructure and works with auditors/consultants to ensure the appropriate internal controls are in place. Reviews, at least annually, the financial controls, and updates processes/systems to ensure the necessary controls are in place.
- Oversees annual audit and tax preparation by outside accounting/audit firms.
- Manages and cultivates banking relationships.

Position Summary
The Payroll Specialist is responsible for processing biweekly payroll for all Insa sites across multiple states. As the Company continues to grow into other sites and states, this role may be responsible for processing additional payrolls. This is an on-site roll in Chicopee, MA.
Responsibilities & Duties
- Completes bi-weekly payroll for all Company sites for review by the Payroll and Benefits Manager
- Ensures all employee changes are processed correctly including promotions and transfers, wages changes, title changes, and other changes in status; ensures all employee data is accurate and up to date
- Provides Payroll and Benefits Manager with employee deductions needed for setup including wage garnishments, child support withholding, and other deductions from pay, ensuring correct authorization, administration, and remittance of payments
- Completes monthly expense reimbursements for all Company sites for review by the Payroll and Benefits Manager
- Ensures compliance with all state and Federal wage and hour laws including overtime, holiday pay, income withholdings, etc.
- Ensures deadlines are met and payrolls and reports are produced accurately
- Performs troubleshooting of errors related to the payroll process and escalates to the Payroll and Benefits Manager when appropriate
- Maintains employee time-off accruals by ensuring changes are processed accurately and in a timely manager, performing spot checks and audits, and assisting employees with balance questions as needed
- Provides employee training as needed
- Provides support to the HR Department as needed

- Assists the Payroll and Benefits Manager by providing necessary documentation for audits

Position Summary
The Staff Accountant is responsible for providing support to the Accounting and Finance departments by monitoring and entering daily sales receipts, assisting in the handling of accounts payable/receivable and processing biweekly payroll. The ideal candidate will have experience using QuickBooks Online and have high attention to detail.
Responsibilities & Duties
Responsible for entering sales receipts
Receives approval on and enters the company’s accounts payable and accounts receivable invoices
Assists the Bookkeeper in reconciling monthly bank and credit card statements
Tracks prepaids and accruals
Performs other duties as assigned from time to time by Bookkeeper or Controller
Qualifications & Experience
- Basic computer skills required, including advanced experience with Microsoft Excel
- Minimum of 3-5 years of accounting experience
- Must be able to pass a background check in accordance with state regulations
- Masters degree in Business Administration or Accounting Required

Position Summary
Reporting to the Director of HR, the HR Operations Specialist provides support to all Insa locations through management of the HR Operations Center, administering a full range of HR tasks related to onboarding, employee changes, terminations and arrangement of onboarding program.
Responsibilities & Duties
Manages HR Operations Center, performing administrative actions related to onboarding, employment changes, and terminations; Completes related HR actions such as activating new hires in HRIS, performance management, and other HR software platforms
Provides support to HRIS users through training and troubleshooting to resolve issues
Manages MA medical and recreational agent licensing process for new hires and annual renewals, including notarization of documents; tracks and verifies credentials; conducts periodic internal audits
Manages multi-state background check process, including facilitating fingerprint appointments, processing background checks directly, and performing internal hiring review process
Organizes new hire onboarding through communication with employees, management, IT, and HR teams
Manages benefit enrollment platform, including auditing to ensure carrier connection functionality, assisting employees with questions, and communicating with Payroll to verify deduction accuracy; assists with preparing for annual open enrollment process
Manages HR inbox, responding to employee inquiries and forwarding correspondence to appropriate parties as needed
Audits internal HRIS platforms to ensure data is consistent and accurate across all systems
Monitors and response to unemployment questionnaires through online portal; solicits related documentation and submits accordingly; assists with unemployment hearing preparation as needed
Submits, files, and monitors workers’ compensation claims and related correspondence and paperwork; assists Director of EHS with preparation and posting of OSHA 300 paperwork
Maintains digital personnel files by organizing, auditing, and ensuring each file follows Company formatting as well as federal and state labor laws
Files periodic forms and/or reports such as HIRD, EEO-l, ACA, etc.
Assists with preparation of department standard operating procedures as needed
Completes employment verifications as needed
Assists Director of HR with other projects as needed, including internal communication initiatives, policy changes, or operational procedures
Qualifications & Skills
High school diploma or GED required
3 – 5 years of experience in a similar or equivalent role required
Familiarity with state and federal recordkeeping requirements preferred
Familiarity with state and federal regulations such as OSHA, HIPAA, CORI, EEO, ACA, FMLA, ERISA, etc. strongly preferred
Proficient in Microsoft Office 365 suite of products
Proficient in Google Apps for Work
Fast typing speed (60+ wpm) highly preferred

- Identify options for software applications that are most suitable for business needs. Coordinate the selection, procurement and implementation of software applications with senior management.
- Coordinate with HR and process managers the level of access needed for each employee group within the company, in adherence to IT audit standards surrounding internal controls.

Position Summary
The Payroll Specialist is responsible for processing biweekly payroll for all Insa sites across multiple states. As the Company continues to grow into other sites and states, this role may be responsible for processing additional payrolls. This is an on-site roll in Chicopee, MA.
Responsibilities & Duties
- Completes bi-weekly payroll for all Company sites for review by the Payroll and Benefits Manager
- Ensures all employee changes are processed correctly including promotions and transfers, wages changes, title changes, and other changes in status; ensures all employee data is accurate and up to date
- Provides Payroll and Benefits Manager with employee deductions needed for setup including wage garnishments, child support withholding, and other deductions from pay, ensuring correct authorization, administration, and remittance of payments
- Completes monthly expense reimbursements for all Company sites for review by the Payroll and Benefits Manager
- Ensures compliance with all state and Federal wage and hour laws including overtime, holiday pay, income withholdings, etc.
- Ensures deadlines are met and payrolls and reports are produced accurately
- Performs troubleshooting of errors related to the payroll process and escalates to the Payroll and Benefits Manager when appropriate
- Maintains employee time-off accruals by ensuring changes are processed accurately and in a timely manager, performing spot checks and audits, and assisting employees with balance questions as needed
- Provides employee training as needed
- Provides support to the HR Department as needed
- Provides benefits administration support to Payroll and Benefits Manager as needed
- Assists the Payroll and Benefits Manager by providing necessary documentation for audits
- Assists the Payroll and Benefits Manager with auditing employee benefit deductions to ensure accuracy
- Completes special projects and other duties and projects as assigned by the Payroll and Benefits Manager
Qualifications & Skills
- Associate degree required; Bachelor’s degree in accounting or business preferred
- At least 3 years of experience with payroll processing required, preferably with a company with at least 300 employees

Insa is a rapidly expanding cannabis company that serves both medical patients and recreational patrons. We have an exciting opportunity for a Controller to join our high-performance team in supporting our growing multi-state operation out of our Chicopee, MA office . The Controller is responsible for managing the finances of the Business Unit (“BU”), including preparing financial statements, managing cash flows, and supporting the CFO in evaluating business opportunities.
Responsibilities & Duties
- Responsible for the BU’s financial statements, financial reporting, general ledger maintenance, cash flow analyses, budget vs. actual, and forecast vs. actual analyses.
- Sets up financial infrastructure and works with auditors/consultants to ensure the appropriate internal controls are in place. Reviews, at least annually, the financial controls, and updates processes/systems to ensure the necessary controls are in place.
- Oversees annual audit and tax preparation by outside accounting/audit firms.
- Manages and cultivates banking relationships.
- Responsible for insurance relationships and risk management protocols.
- Works with executive team to prepare annual budgets and projections.
- Works in conjunction with Plant Accounting team (Procurement, Supply Chain, Cost Accountants, etc.) for proper accounting of inventory.
- Coordinates the timely completion of all month-end workpapers and financial reporting with staff by setting up a close calendar for the BU.
- Hires and trains staff within the BU, adequate for rapid growth and handling transactional output from projected sites in year 1 (i.e. Asst. Controller, Staff Accountants, etc.).
Qualifications & Skills
- Bachelor's Degree in accounting or related field required; Master’s degree in accounting or MBA preferred
- CPA or CMA preferred
- Industry experience in agriculture, manufacturing, distribution, wholesale and/or retail required, experience in the cannabis industry is a plus
- Management experience of at least 10 years required
- Experience with Quickbooks Online preferred
- Relatable experience with a start-up or emerging growth company preferred
- Must have excellent written and verbal communication skills
- Must be solutions-oriented, possess excellent time management skills, and have the ability to prioritize tasks and multi-task as necessary

- Leads cross-functional internal teams (Operations, Sales, Marketing, Cultivation/Kitchen/Lab to develop and ensure implementation of brand/product strategy/initiatives/objectives and integrate products with existing internal systems and processes including inventory, compliance, procurement, etc.

Summary

The Controller is responsible for managing the finances of the Business Unit (“BU”), including preparing financial statements, managing cash flows, and supporting the CFO in evaluating business opportunities.
Responsibilities & Duties
- Responsible for the BU’s financial statements, financial reporting, general ledger maintenance, cash flow analyses, budget vs. actual, and forecast vs. actual analyses.
- Sets up financial infrastructure and works with auditors/consultants to ensure the appropriate internal controls are in place. Reviews, at least annually, the financial controls, and updates processes/systems to ensure the necessary controls are in place.
- Oversees annual audit and tax preparation by outside accounting/audit firms.
- Manages and cultivates banking relationships.
- Responsible for insurance relationships and risk management protocols.
- Works with executive team to prepare annual budgets and projections.
- Works in conjunction with Plant Accounting team (Procurement, Supply Chain, Cost Accountants, etc.) for proper accounting of inventory.
- Coordinates the timely completion of all month-end workpapers and financial reporting with staff by setting up a close calendar for the BU.

Summary
The Senior Buyer will be responsible for the purchasing function of branded finished goods as defined by the Open to Buy and prepare them for resale in our Insa branded cannabis dispensaries across multiple states. Under the supervision of the Director of Planning, Merchandising, and Allocations, this role will be responsible for researching products and brands, maintaining and developing vendor relations, and ultimately procuring products that align with the Insa brand strategy.
Primary Duties & Responsibilities:
- Fill the retail open to buy with brand-appropriate cannabis products that meet compliance guidelines, have a proven rate of sale in the market, and complement the existing Insa merchandise mix.
- Research and discover new innovative products in various marketplaces where Insa stores are / will be present. Introduce to the brand complimentary products by filling stores and tracking rate of sale for future purchase decisions.
- Collaborate with the planning, marketing, and merchandising team to choose items based on quality and availability to position Insa’s go-to-market strategy as the best in the business.
- Generate purchase orders for finished goods (both new products and repeat items).
- Establish strong relationships with vendors across multiple markets through superior communications and as-needed site visits. Negotiate cost structures based on guidance from the Planning, Merchandising, and Allocation team. Work with vendors to secure goods by tracking them from point of purchase to delivery and setup in store.
- Report and communicate key performance indicators for all purchased product with a focus on key item sales vs. plan.
- Manage data integrity for purchased products by adhering to all IT master data hierarchies and ERP processes to maintain accuracy in reporting and purchasing.
- Provide forecast input based on buy plans and sell through of all non-Insa branded products
- Deliver on all margin, turn, and ROI goals for purchased products set by senior leadership.
- Reconcile inventory and invoices for the purpose of identifying discrepancies between purchases and fulfillment.
- Performs root cause / corrective actions for stock outs, missed deliveries and non-conformances to proactively drive permanent solutions.
- Identify excess and obsolete items and recommend disposition to leadership.
- Follows, maintains, and enforces INSA SOP standards.
- Develop/deliver scorecard program for strategic suppliers.
- Follow company policies and practices as outlined in the Employee Handbook.
- Verify that purchasing practices comply with established laws, policies, and compliance requirements.
- Performs additional duties as assigned.
Climate:
Demanding, fast-paced position resulting from deadline pressures, simultaneous competing demands and changing priorities. The position works within a team environment, which requires communication with all levels of management and with other departments. Some travel is required (up to 30%).
Job Requirements:
- BA/BS degree (or 5+ yrs. experience in direct buying role)
- 5-7 yrs. experience in purchasing/planning/warehouse management

Located in Chicopee, MA and reporting to the CFO, the IT Retail Application Manager is responsible for managing the resolution of technical application and system issues that occur abruptly across the business (mainly retail) and require immediate solutions. This position demands an ability to manage multiple high priority tasks under pressure. Requires frequent travel to retail locations. Requires the ability to manage and build a growing team. This person is responsible for developing and providing training to end users to maximize the efficacy and value of technology to support operations. The IT Retail Support Manager will also manage and administer the retail software applications within the business.
Responsibilities & Duties:
- Identify options for software applications that are most suitable for business needs. Coordinate the selection, procurement and implementation of software applications with senior management.
- Coordinate with HR and process managers the level of access needed for each employee group within the company, in adherence to IT audit standards surrounding internal controls.
- Define and build a strong IT project management and system maintenance culture. Define processes that deliver high quality, timely and cost-effective IT solutions.
- Act as a focal point for communicating related system problems within the department and collaborate with other teams and vendors on changes, fixes, and updates.
- Ensure that the company adheres to policies and procedures that are compliant with industry and regulatory policies. Work with Compliance and Operations Departments to react to any regulatory changes in a timely and efficient manner.
- Provide ongoing troubleshooting, support, and maintenance of applications. This includes any significant software updates or upgrades that need to be communicated to end users, and especially any which need to be coupled with end user training.
- Manage the release process for applications which includes effective department-wide and end user communication. Ensure proper set up of administrators and training of “super users” in each system.
- Coordinate hardware updates and upgrades with IT Tech Support (outside consultants).
- Manage the Application Support team members and coordinate help desk coverage for hours that overlap hours of business operation at all sites.
- Build out an Application Support team with a customer-service mindset (customers would be our employees) and which is approachable and helpful in supporting our business!
Qualifications:
- IT-related Associate degree or equivalent business experience required
- 5-7 years of similar or related experience required; cannabis industry experience preferred
- Must possess specialist knowledge of operating systems, devices, applications, and software
- Intermediate Excel experience required at a minimum
- Must possess excellent verbal and written communication skills

Summary

Summary:
We are seeking a full-time Transportation Driver / Warehouse Agent to assist with our transport operations. The perfect candidate for this position will be detail oriented, organized, and passionate about working in the cannabis industry.

Warehouse Responsibilities will include:
- Complying with State regulations and Theory Wellness Standard Operating Procedures
- Compliantly transporting products to and from Cannabis Establishments

- Ensure departmental and dispensary compliance with organizational standard operating procedures (SOPs), and all applicable state and local statutes, rules and regulations
- Facilitate the exchange of cash register drawers and monitor daily patient and sales reports
- Prevent the diversion of medical cannabis to anyone other than authorized patients and caregivers
- Maintain adequate supply of patient intake forms and any other department needs
- Ensure adherence to hygiene and sanitation policies by all staff members
- Interview applicants for all Assistant departments and work with Human Resources to make sound hiring decisions
- Conduct departmental training and oversee employee development of Member Services and Patient Care staff
- Prepare department work schedules in a timely manner
- Lead daily pre-opening meetings
- Direct opening and closing procedures
Requirements
- Must be at least 21 years of age
- Bachelor’s Degree or equivalent experience
- Three to seven years prior management experience in a customer service position
- Exemplary communication and customer service skills
- Prior experience working with natural or alternative/complementary medicines and therapies
- Knowledge of medical cannabis strains and applications
- Ability to quickly develop extensive knowledge of relevant state laws and patients’ rights
- Basic computer operating and troubleshooting skills; working knowledge of MS Office
- Strong knowledge of standard point-of-sale (POS) system interfaces and functions
- Ability to multitask in a fast-paced environment
- Passion to serve people with debilitating conditions
- Current medical cannabis Agent registration with the state
- Must be able to pass a background check
Preferred Skills/Abilities
- Prior experience working with medical patients
- Prior experience working within the medical cannabis industry
- Training in special communication skills
- Previous experience in public speaking

- Carefully handle the preparation of customer pre-orders, ensuring that the orders are correct, and every product is labeled
- Accurately and efficiently packaging each order that comes through our electric ordering system
- Drive excellent customer service by ensuring that all orders are assembled and completed to quality and production standards

The Dispensary Associate assesses the individual needs of patients and guests, provides superior product knowledge, and conducts sales transactions efficiently and accurately. This job has lots of opportunity for growth.
Essential Job Functions
- Provide excellent service for all patients and adult use guests
- Participate in continuous training on product knowledge and patient service
- Communicate with sensitivity and respect for patients, guests, staff and visitors at all times
- Address patient and guest issues; consult with or elevate to management when appropriate
- Perform opening and closing procedures
- Ensure the accuracy of assigned cash register till
- Ensure departmental and dispensary compliance to internal policies and state and local laws, rules and regulations

Responsibilities:

Responsible for interpreting, applying, and implementing standards, rules and regulations of the laboratory.

Ensuring that the laboratory achieves and maintains a laboratory quality assurance program.

Assists with laboratory administrative duties if needed.
Update, revise and maintain laboratory QA manual, SOP’s and other quality documents.
Perform internal audits of the laboratory, including both technical and quality systems.
Assist lab manager in reviewing analytical reports, monitor turnaround times, training records for all lab staff.

Schedule and pass proficiency testing.
Qualifications
Experience with ISO accreditation.
Extensive knowledge and experience in quality management.
Proficient in Microsoft office suites, especially excel.
