This position exists to provide administrative assistance to the Deputy Director of Policy for the Cannabis Control Division. This position will assist senior level staff on an as needed basis.
How does it get done?
The Executive Secretary position provides administrative support to the Deputy Director of Public Policy of the Cannabis Control Division. This position assists the Deputy Director with policy initiatives, strategic planning, research, program development, data compiling, special projects, legislative review and analysis and preparation and recording of Committee Meetings. This position will assist in updating the Division's website, conducting surveys and prepare reports related to the development of the recreational cannabis market in New Mexico and functional duties as directed.

The ideal candidate will be a purpose driven professional who is motivated and resourceful with an established history of providing support to senior/executive level management. The successful candidate must understand priorities, demonstrate the ability to proactively anticipate needs, drive improvements, complete tasks and projects with a thorough attention to detail. Exceptional organizational skills are required, strong communication (writing and verbal) and interpersonal skills are a must. The candidate must also possess advanced digital literacy skills including experience in multimedia, creating digital documents, graphic design, data visualization and website/project management. The candidate must maintain and present a friendly and courteous image for the Cannabis Control Division.

Working Conditions

Incumbent will work under stress and frequent time constraints. Some statewide travel is required. Computer use, long periods of sitting. Some travel may be required. May require overtime.

Job Description
Are you organized, detail-oriented, a good writer, and excel at providing administrative support? If so, the Center for Medical Cannabis needs you! As the Center’s executive assistant, you will create and edit correspondence, respond to questions and concerns, arrange meetings and travel, provide excellent customer service to Center employees and general customers, and provide general administrative support.
If offered this position, your continued employment will be contingent upon passing a background check and review. There will be no cost to you and fingerprinting will be completed on the first day of employment or shortly thereafter.
Regular business hours are 8:00am-5:00 pm, some evenings may be required for public meeting support. Primary office locations: 288 N 1460 W Salt Lake City Utah 84116. Travel and work at other state office buildings may be required.

PRINCIPLE DUTIES
Provide administrative support to the Director of the Center for Medical Cannabis and other staff within the Center for Medical Cannabis- Create and edit written materials
- Coordinate and/or act as a liaison between agency and internal or external stakeholders
- Act as a resource to provide information or determine the most effective way of meeting the needs of management, staff, clients or customers
- Provide assistance to staff and public
- Set up public meetings according to Agency and State rules and policies
- Host virtual and in person meetings according to Agency rules
- Take minutes for assigned meetings
- Calendar management
- Manage documents and information in appropriate format (Sharepoint and Google Suite)
- Perform general accounting duties
- Track legislation or other current events
- Mail sorting and management

- Accurately and efficiently writes or drafts correspondence, reports, documents and/or other written materials.

- Ability to learn competently, state software, processes, policies and procedures.
