Kaya Life has an exciting new opening! We are looking for a diligent Practice Manager to run the business operations of our medical practice in Pensacola, Florida. We are a highly rated medicinal marijuana practice and we are looking for a team member who is passionate about quality patient care. A Practice Manager performs many leadership, organizational and decision-making tasks to maintain and grow the medical practice. We are looking for someone who can build strong, lasting relationships with each patient and the community. The incumbent will be responsible for training administrative staff, managing payments, organizing records, and ensuring that the practice delivers exceptional patient care, every time, with every patient.

- Manage patient records using electronic health records keeping and the MMUR
- Monitor and maintain the inventory for practice marketing materials
- Interact with patients and address their concerns and complaints
- Coordinate regular staff meetings and performance reviews
- Collaborate with Physicians to develop business strategies and patient services
- Thoroughly document and report all patient issues, complaints and high-risk encounters immediately to management
- Build and maintain relationships with local dispensaries through in person and ongoing opportunities
- Assist in creating and facilitating in person marketing engagements with the community
- Manage office educational materials and assist in the creation of targeted marketing materials
- Participate in continuous improvement by being flexible and open to growth and development
- Know and understand various computer programs and platforms used to manage the practice

- Receive patient appointment requests through the website and create patient files in our secured system
- Ensure that the Patient Support Specialist send out patient paperwork, including consent forms, release of liability forms and medical release forms
- Verify accuracy and completion of required documents by ensuring proper signatures, dates and other critical information
- Enter patient information into the State’s secure website for reporting purposes
- Advise patients regarding medical requirements and proof of residency for submitting an application and provide request authorizations as necessary
- Guide patients through the online medical marijuana application for submission to the Office of Medical Marijuana
- Advise patients regarding financial obligations and options, while also processing payments
- Pull Electronic Florida Online Reporting of Controlled Substances Evaluation (E-FORCSE) for the doctors prior to the patient’s appointment
- Ensure that the Patient Support Specialist follows up with patients within the first seventy days to assess the response to treatment by gathering key information and advise accordingly
- Work proactively to develop business and gather leads from various platforms to identify revenue and book a full clinic schedule
- Ability to lead and participate openly in team gatherings and collaborative events that provide feedback and development opportunities
- Work leads for new patients daily
- Maintain facility in superb condition and order supplies in a timely manner
- Ensure that Patient Support Specialists are scheduling patients according to physician availability physician preferences and Kaya Life requirements
- Reporting – assessment of report results, implementation of actions according to the results
- Other job duties as assigned by Kaya Life leadership
REQUIREMENTS
- High School Diploma or GED (College degree preferred)
- A minimum of two years of experience running a medical office or educational equivalent preferred
- A love for helping and caring for people and interacting with many varying personalities
- Previous experience working with the Microsoft Suite and ability to learn our chosen software
WORK ENVIRONMENT
This role operates in a professional medical office environment. This role routinely uses standard office equipment such as computers, phones and photocopiers

Patient Support Specialists serve as the face of our company to patients who come in, both as part of their health routine or for insights into life-defining health decisions. The PSS has direct contact with patients and creates an atmosphere of trust and confidence while explaining our process to patients in a skillful, safe, and accurate manner.
The PSS demonstrates leadership behaviors while focusing on process excellence, skills, and sensitivity to confidentiality and accuracy of patient information. Under the direction of the practice manager, performs daily activities accurately and on time.

What You will do....
- Work part-time approximately 30 hours per week
- Provide quality, error-free work in a fast-paced environment
- Work independently with minimal supervision
- Must have a solid understanding of the Microsoft Office Suite and the ability to navigate its’ programs
- Maintain working knowledge of State and Federal Medical Marijuana Laws
- Maintain required records and documentation.

- Capturing patient information
- Ensuring the smooth operation of the practice by adhering to policies and procedures and reporting on changes that have to be made

- Ensuring that new patients are fully informed on what is needed for initial consultation, follow up, recertifications, and state renewal
- Contacting patients overdue for their recertifications and maintaining an organized running list of patients yet to recertify
- Running a square report daily to see which patients' certifications have expired
- Contacting patients that have paid for their appointments but haven’t scheduled yet
- Helping prep the daily sheet for the following day (turn on msg, ID, DX, etc.)
- Using Constant Contact to add patients into their contact group for their certification end date
- Using E-FORSCE to look up patients’ records and add documents into their chart so that the physician can see their OD risk score
- Entering patients into the state registry and assisting them in registering themselves
- Helping patients renew their certification using the OMMU
- Diffusing difficult patients and helping them to understand the value of Kaya Life care
- Checking the Yolee leads sheet for new leads
- Other job duties as assigned by the Practice Manager and Kaya Life leadership
What It Takes....

Cannabis Advisors create a safe and informative learning experience for our patients by listening to their needs, answering their questions, and explaining the process of becoming a medical marijuana patient from start to finish. The Cannabis Advisor partners with the physician in order to provide the best possible suggestions to mitigate the patient’s health illness or issue. The Cannabis Advisor may also suggest products that would benefit the patient.
Does this sound like you?
- Must have a solid understanding of the various methods of using marijuana, the effects of different genetic varieties of marijuana (strains), and tools utilized in the consumption of marijuana products
- Maintain working knowledge of State and Federal Laws that are pertinent and ensure the company is in compliance with all laws and regulations
- Have extensive knowledge and experience of medicinal cannabis products and its therapeutic values.

- Provides a welcoming and professional presence in all interactions and communications, whether over the phone or in person
- Assist physicians by conducting one on one, no judgement consultation / assessment of patient, reviewing the following: qualifying condition, patient medical history, patient details, i.e. age, physical condition and state of mind
- Educate patients on routes of administration and therapeutic components of plant
- Review patient charts for completion
- Identify patients that require Cannabis Advisor follow up
- Investigate and audit product usage as deemed necessary
- Know and follow protocols and procedures ensuring correct steps are being utilized to reflect regulatory and compliance standards and report findings to management
- Thoroughly document and report all patient issues, complaints and high-risk encounters immediately to management
- Build and maintain relationships with local dispensaries through in person and ongoing opportunities.
- Provide ongoing product training to educate the Kaya team
- Create and facilitate in person marketing engagements with the community
- Manage office educational materials and assist in the creation of targeted marketing materials
- Participate in continuous improvement by being flexible and open to growth and development
- Know and understand various computer programs and platforms used to manage the practice
- Cross train with other positions
- Be a motivated team player who is willing to learn and grow
- Be Prompt and Maintain Good Attendance
- Complete all other duties as assigned to support Kaya Life

Requirements
- College Degree preferred
- A minimum of 1 year of experience in cannabis education (two years preferred)
- Extensive knowledge and experience of medicinal cannabis products and its therapeutic values
- A love for helping and caring for people and interacting with many varying personalities
- Confident, dependable and trustworthy individual with keen attention to detail and follow through
- Organization and initiative, good communications skills, proactive, problem-solving, time management, discretion and confidentiality are essential attributes
- Previous experience working with Microsoft Suite and ability to learn our chosen software
- Must supply your own laptop.
- Must have a smartphone

Currently we are seeking a Patient Support Specialist for our medical practice to ensure that we continue to provide all patients with high quality, efficient care. The Patient Support Specialist will be a competent professional who is responsible for assisting our clients from the moment that they become Kaya Life patients. Ultimately, we are looking for an energetic and positive employee who can help us with the clerical duties required to provide compassionate care to our cannabis patients. Our patients are our first priority. We are a paperless office, thus candidates must be adept at utilization of computer programs such as an electronic medical records, electronic faxes, Square, and Excel.
What You Will Do:
- Work in a medical practice providing administrative and clerical support to our patients
- Greet patients and check them in/out, while obtaining necessary documentation
- Verify and enter demographic information
- Complete medical record release requests
- Schedule/confirm patient appointments
- Collect payments and reconcile all daily reports and deposits for accuracy
- Provide other general office and clerical support as assigned
What You Will Need:
- High school diploma or GED required
- Excellent patient service skills
- Reliable transportation
- A cell phone and laptop
- Previous experience in a medical setting preferred
