Reports to: Vice President, Legal
Position Overview:
The Manager, Legal Operations (the “Manager”) is responsible legal operations management including managing outside counsel spending, contract management, information governance, and electronic discovery. Additionally, the Manager will oversee the company’s insurance risk program. This Manager will work closely with stakeholders throughout the company and guide best practices for team collaboration. Additionally, this role will collaborate with the IT Department to help ensure the security of the company’s information assets. Imperative to the success of this role is working as a collaborative member of the team, as well as the ability to deliver results in a fast-paced environment where systems and processes are continuously evolving.
Major Areas of Responsibility include:
- Coordinating the identification, assessment, reporting and management of risk in relation to all aspects of information governance, including working with stakeholders across the enterprise to create and maintain a data map, indicating the type and location of information (initially with an emphasis on patient data).
- Developing and implementing policies and procedures to support information governance and the effective use and safeguarding of information, in line with legal and regulatory requirements.
- Providing advice and guidance to senior management on information governance issues, including statutory and regulatory requirements.
- Developing, overseeing and monitoring information governance training for senior management and all applicable staff.
- Responsible for all outside counsel invoicing and legal vendor management, including maintaining compliance with the billing guidelines for outside counsel and all associated systems.
- Identifying and implementing legal technology to increase efficiencies and effectiveness and cost savings for the Legal Department, including management of systems that support electronic billing and matter management, contract management, entity management, information governance and board governance, .
- Partnering with legal leadership and finance to develop and manage the legal annual operating plan.
- Providing eDiscovery and litigation management support for all matters.
Minimum Qualifications (Skills, Knowledge & Abilities):
- All applicants must be at least 21 years of age.
- Bachelor's degree in Business, Pre-Law, Finance or another relevant field is required.
- 5+ years of experience in corporate records, or as a corporate paralegal, preferably within a high-growth, fast-paced environment.
- Analytical personality with strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Accurate, timely and detail oriented.
- Must work well under pressure and within tight timelines and shifting priorities.
Travel %: 20

In this role, you will:
- Handle outside counsel and matter management for the Altria Client Services' Law Department
- Drive strategy and ongoing management of outside counsel (70+ firms) and legal support vendors
- Lead execution of annual rate negotiations and alternative fee arrangements with legal support vendors and outside counsel firms
- Revise and ensure firm compliance of Outside Counsel Guidelines (OCG) which serves as ALCS contract with firms/suppliers.
- Ensure daily operation and integrity of matter management system and payment processing
- Mitigate IT Security risks for outside counsel firms in alignment with IT Risk Management programs
- Handle the Law Department budget
- Lead legal IT system projects
- Find opportunities for process/program improvements using analysis and external benchmarking
We want you to have:
- Bachelors Degree in Management, Finance, Information Technology, or related field. Advanced degree preferred.
- 6 + years experience in finance, IT, compliance, law or related areas in large corporation or law firm environment
- 6 + years experience with project & process management, supplier management, and organizational development
- Understanding of budgetary, financial and legal processes, compliance obligations and Operating Company business strategies
- Critical thinking skills which can be applied to operational and strategic opportunities
- Outstanding written and verbal communication skills with all levels of personnel
- Demonstrated experience leading cross-functional teams and influencing others without authority
