General Description:
The Grower Administrative Assistant, assists with the daily activities of the Grower Services Department and Procurement.
Reports to: Grower Services Administrative Manager
Job Summary:
The Grower Services Administrative Assistant works with the Grower Services Administrative Manager to ensure timely completion of department functions. Tasks include working closely with field staff to generate necessary documents and entering, monitoring and updating field information in Navision to ensure accuracy and timely availability. Other duties include running reports from Navision, communicating production information with other departments, communicating with grower-partners, warehouses, and seed control agencies. This individual will also work with the Procurement Manager to ensure timely completion of assisting functions.
Essential Duties and Responsibilities:
Grower Services Support
- Maintain the Grower Tracking module in Navision and update as needed.
- Create and maintain annual Acreage Placement report, as well as other reports and spreadsheets as needed.
- Communicate with grower-partners, seed conditioners, seed labs, and seed control agencies as necessary.
- Download Seedling and Crop Inspections and enter information into Navision with accuracy.
- Create Grower Services production contracts in Navision and process through DocuSign.
- Maintain current files of all contracts related to seed production.
- Assist with digitization of files as needed.
- Reconcile, investigate and approve seed storage invoices as assigned.
- Review inventory availability, open purchase orders, bag information, and movement between warehouses.
- Perform additional duties as assigned and work in other departments and branches as required.
Procurement Support
- Maintain daily communication with Procurement Manager.
- Create and update purchase orders in Navision as needed.
- Assist in maintenance of procurement test spreadsheet.
- Follow up with growers for tests needed to complete the purchase.
- Perform additional duties as assigned.
Inventory Support
- Receive new seed tests and enter them into Navision with high level of accuracy.
- Ensure the timely entry of seed tests into appropriate software (Document Capture).
- Supply status reports as needed to management and sales.
- Update Sales and Blender Processors on availability of incoming seed, both Production and Third party.

Qualifications:
- Associate Degree or higher or equivalent work related experience.
- 2+ years of similar experience in increasingly responsible roles.
- Excellent verbal, written, listening and interpersonal communication skills.
- Strong organizational, multi-tasking, prioritization skills and follow-up skills with attention to detail.
- Ability to work overtime hours as necessary.
- Proficiency with Microsoft Office.
- Ability to perform detailed work with a high degree of accuracy.
Preferred:
- 3+ years of quality work experience.
- Knowledge and experience in the seed industry or allied industries.
