Duties & Responsibilities
- Assure that all logistics associated with travel, meetings or other events are in place in advance of the event
- Assist with relocation of employees – including housing, rentals, etc.
- Assisting with maintenance, auditing, and troubleshooting of corporate and operational spreadsheets, documents, slides and some media
- Maintain the confidentiality of all information received, or within the scope of the position
- Ensure that the executive office business activities continue when management is out of the office
- Assists with overseeing and management of tasks related to project completion
- Managing projects and changing initiatives to achieve process excellence
- Compiles, updates, organizes and analyzes complex information for inclusion in reports, budgets, prepares charts, graphs, or other presentations of varying complexity

Qualifications
- 3-5 years of progressive experience performing a variety of office, administrative and customer service tasks

- Ability to project a calm and professional demeanor regardless of the type of environment (calm, fast paced, high stress)
- Resourceful, self-motivated with a sense of urgency and strong work ethic. Capable of regularly using good judgment and problem-solving skills to accomplish goals and work requirements

Summary
The Corporate Administrative Assistant is primarily responsible for providing administrative support in the TGS Global corporate office. This includes but is not limited to printing, copying, binding, and maintaining resource calendars. The Corporate Receptionist must present a professional appearance and maintain a welcoming demeanor during all interactions. Professionalism, punctuality, and organization are essential to this role.
The Corporate Administrative Assistant is also the centralized point-of-contact for all general office supply ordering, stocking, and organization. Candidates must have experience in package handling, phone management, filing, and customer service.
Essential Duties and Responsibilities
- Adhere to company mission statement and core values while maintaining high ethical standards and professionalism
- Maintain continuity of work operations by documenting and communicating required action to management; discover irregularities, and anticipate needs
- Create and maintain organizational standards for the Corporate Office and assure proper communication between office employees regarding expected maintenance standards in relation to filing cabinets, electronic forms, files, and mail systems
- Connect with management staff regarding company status, updates, and initiatives
- Understand and research a variety of compliance requirements which govern the cannabis industry, which includes but is not limited to the following types of regulatory agencies: Marijuana Enforcement Division (MED), Fire Department, City Zoning and Planning, Colorado Department of Public Health and Environment, FBI, and more
- Maintain rapport with customers, managers, and employees by arranging contacts, developing new services, setting priorities, and resolving issues
- Monitor suggestion system by directing and controlling administrative technical aspects in accordance with management directives
- Preserve confidentiality of sensitive company and employee information
- Maintain an administrative workflow by studying methods, implementing organizational structure, and developing reporting procedures
- Create and revise systems and procedures by analyzing operating practices, learning technological requirements, evaluating personnel, and implementing changes
- Provide information by answering questions and requests
- Manage and/or assist various projects as assigned
- Day to day routines and procedures to include the following:
- Receive and process all monthly business record document shipments from all TGS Facilities
- Track receipt of, organize, and physically or digitally file all documents appropriately
- Track and digitally route digital document submissions from facilities to appropriate folders in Sharepoint
- Perform monthly audits and destruction of documents in storage room that have met their retention period
- Oversee basic administrative duties including sign-in logs and package handling, among other tasks
- Sort and distribute mail and interoffice mail
- Maintain a neat/tidy appearance of tables, chairs, etc. in all community areas
- Stock and maintain cleanliness of coffee stations
- Order lunches and office catering
- Perform daily office housekeeping tasks at the end of the shift
- Prepare birthday, anniversary cards and milestone awards
- Prepare packages, mail, and shipments
- Event and Holiday preparation
- All other tasks and job duties as assigned
Qualifications
Education
- High School Diploma or GED required
- Bachelor’s Degree in a related field preferred
Training
- Must maintain current knowledge of and adhere to all policy and regulations of TGS Global, the Colorado Marijuana Enforcement Division (MED); the Colorado Department of Public Health and Environment (CDPHE), and the Health Insurance Portability and Accountability Act (HIPAA).
