The Spott is a state licensed and ISO/IEC 17025:2017 accredited Cannabis safety compliance facility located in Kalamazoo, MI. The Spott provides comprehensive safety testing for Cannabis products to ensure compliance with regulatory requirements. We are seeking a Administrative Assistant to join our team. The primary role of this position is to perform Sample Intake and Reporting tasks. This is an exciting opportunity to work in the emerging, rapidly growing, and fast paced environment of Cannabis laboratory safety testing.
DUTIES & RESPONSIBILITIES
Field Sampling
- Serve as the primary point of contact for licensed facility clients and assist them sample submission and testing requirements.
- Coordinate client sampling needs with field sampler availability and maintain field sampling schedule.
- Review sampling records and transfer manifests for accuracy and facilitate corrections as needed before performing sample intake process.
Sample Intake & Reporting
- Identify sample intake issues and bring issues to the attention of management for quick resolution.
- Assist walk-in customers, taking orders, completing paperwork, and payments.
- Enter new orders and samples into laboratory information management system (LIMS) and METRC.
- Upload test results into LIMS, generate reports, and check for accuracy.
- Enter licensed facility test results into METRC.
Additional Duties
- Assist in answering incoming customer calls regarding billing issues, service questions, and general client concerns.
- Perform any other tasks that may be required.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent is required.
- Must be 21 or older.
- Must pass a background check.
- Must live within commuting distance of Kalamazoo, MI.
- Excellent verbal and written communication skills.
- Ability to maintain a high degree of attention to detail and accuracy.
- Proficiency with the Microsoft Office suite and Google equivalents.
- Ability to work independently and as a team member and to adapt to a changing environment and handle multiple priorities.
- Ability to multi-task, prioritize, work under pressure, and meet deadlines.
- Personal integrity, disciplined work ethic, and organization skills.
- Be able to work Monday thru Friday, 10 AM - 6 PM, and Saturday as needed.
THE IDEAL CANDIDATE WOULD ALSO POSSESS
- A positive attitude and self-motivation
- Great interpersonal and customer service skills.
- Previous experience with METRC.
- Some knowledge of Cannabis.
- Familiarity with analytical or microbiological science.

- Sample dilution: diluting samples to the appropriate concentration using pipettes.
- Solution preparation: mobile phases, diluent, and standard/QC preparation.
- Assist with inventory and ordering supplies, as well as selecting and purchasing lab materials and instruments.
- Data handling: interpreting and processing raw chromatograms with associated quality control forms and organizing data for review and reporting.
- Troubleshooting and maintaining laboratory instruments.
- Developing and validating analysis methods as well as writing clear and concise SOPs for their implementation.
- Evaluate and report materials/reagents expenses for running methods.
- Train new employees on safety, laboratory techniques, and equipment operation/maintenance.
- Participate in the continuous improvement of laboratory techniques, workflow, and analysis procedures.
- Perform any other tasks that may be required.
