The Inventory Intake Manager will be responsible for training and overseeing the intake team at both company locations. This position is also responsible for management of all duties pertaining to product intake at both locations, including verifying and accepting/rejecting all products while ensuring compliance with all state and local ordinances, rules, and regulations.
This role also manages the menu for the location, focusing on the most accurate and up to date information to be provided to our customers. The Intake Manager stays up to date on OLCC regulations and trends in the cannabis industry; maintains full compliance with OLCC with respect to evaluation, handling, storage, selling, and tracking of products.
Duties and responsibilities
- Manage Intake teams at both locations
- Ensure that both teams are functioning with synchronicity, following proper SOP’s and adhering to all city and OLCC regulations
- Train all intake team members ensuring proper use of all mandated databases, and policy & procedures set forth by the Executive Team
- Provide leadership and direction to all employees
- Work on the fulfillment team at startup, shutdown, and revisions of all the orders (...to pick, manifest, track, verify, and schedule orders for delivery. To intake product from Production and maintain accurate records and compliant storage of back stock inventory)
- Assist with problem solving, quarterly inventory audits and fostering teamwork
- Work on developing better procedures and methods to improve all aspects of the product intake process
- Ensure all technology platforms, such as METRC, are constantly updated with the most accurate product descriptions and inventory amounts
- Document and address any and all discrepancies
- Supervise, delegate, coach, and motivate intake team members to ensure a productive environment
- Processes invoices for payment to vendors
- Communicate with Floor Managers, District Managers, Supervisors, and Human Resources as necessary about employee issues
- giving write-ups and disciplinary actions as necessary
- Plan and attend management and/or team meetings as required
- Utilize mandated databases to ensure accuracy of incoming shipments and corresponding invoices
- Use METRC to accept/reject items and make edits as necessary
- Notify Product Purchaser when items are ready to be priced in Flowhub
- Price items and flower when required
- Accurately input all items in Flowhub and verify accuracy of product descriptions
- Amount of all cannabinoids- individual amounts and totals
- Type, weight, quantity, supplier, SKU, Package ID, etc
- Be available (on call) as necessary to meet vendors and accept/reject shipments
- Work with other Intake Team members to make sure all incoming shipments are being covered
- Extensive cannabis product knowledge (including flower) to determine acceptability
- Oversee assignment, generation, and application of required packaging tags
- Oversee all internal and external product transfers
- Verify and accept all samples and vendor merchandise which includes the responsibility of keeping items
- Periodically verify physical inventory accuracy with METRC database
- Communicate with the Product Purchaser when items are below a 2 week par level
- Provide periodic, monthly, or quarterly intake reconciliation reports as required
- Create and maintain catalog for blue tags in an effective manner
- Create and merge packages as necessary
- Complete intake process within the procedure requirements
- Properly waste faulty/ otherwise unsellable product
- Create or update Intake Standard Operating Procedures as necessary
- METRC management
- Add/remove the product from each of the menus (online platforms and in-store platforms) dependent on inventory stock.
- Work seamlessly with other Marketing Specialists, Social Media Specialists, Email Marketing Specialists and Menu Specialists
- Update online platforms to help promote product sales
- Performs all other duties as assigned
- Following all state and internal compliance guidelines and SOPs, digitally and physically transfer product from vault to sales floor using Flowhub
- Ensure products on sales floor are stocked, organized and visually appealing at all times
- Verify accuracy of product labeling
- Create and Maintain specials while maintaining close collaboration and communication with the Inventory Manager
- Continuously communicate with Inventory Lead and Floor Management & Supervisors to verify priority (best-selling) items and keep those stocked at all times
- Assist budtenders in finding products on sales floor or vault
- Other duties as assigned

The METRC Compliance Specialist is responsible for ensuring that our daily operations are in compliance with all state and local ordinances, rules, and regulations. Keeping METRC and Flowhub ques cleared, and assisting with intake duties as requested and/or required.
Duties and responsibilities
- Assist METRC Compliance manager with UID compliance checks weekly/monthly/quarterly as required by executive team
- Assist METRC Compliance Manager with Weekly/monthly/quarterly reporting as required by executive team
- Manage the internal compliance function, including inventory and audit controls.
- Create and maintain compliance checklists
- Monitor state and local laws pertaining to operations and ensure compliance with such laws and update compliance documentation and processes as legislation and regulations change.
- Work with the Management Team to ensure information is communicated and are properly informed of changes to regulations, policies, and procedures in their respective areas.
- Assist with compliance/general training needs
- Assist in creating and maintaining specials as requested/required
- Identify issues, analyze current business methods and provide suggestions to ensure the company maintains compliance with local and state laws as it pertains to intake/inventory/METRC.
- On an ongoing basis assist with periodic checks to ensure all employees are performing processes/procedures effectively and in compliance
- Daily Upload of receipts
- Daily finishing of receipts
- Correcting Metrc potential violations
- Correcting products that are sold on wrong UID tags and fixing the associated receipts
- Managing the Facilities wasted out products, returns, and Vendor returns including proper paperwork
- Manage Flowhub discrepancies
- Other duties as assigned
