We are looking for a dedicated and reliable inventory manager to join our growing company. Your chief goal in this position will be to monitor and report on our company’s inventory levels and log all information accurately. Summary
The Assistant Store Manager is responsible for assisting the Store Manager in managing all day-to-day operations of the dispensary in accordance with the State, the standards set by the Company and responsible for the overall profitability of the dispensary. - Maintains a thorough understanding of Pennsylvania marijuana directives and regulations as per PA Department of Health standards, Title 28, Chapters 1141 and 1151. Makes recommendations to management to ensure compliance.
- Coordinates the annual review and update of all Insa, LLC policies and standard operating procedures.
- Conducts monthly inventory reviews and/or cycle counts of medical marijuana plants in the process of growing, and medical marijuana and medical marijuana products that are being stored for future sale.
- Prepares for and coordinates the annual comprehensive inventory of all plants, byproducts, and warehouse/raw materials.
- Creates and implements onboarding and training programs to ensure compliance with PADOH regulations.
- Assists in periodic auditing and monitoring activities with the objective of identifying compliance risks and opportunities for compliance program enhancement.
- Assists with review of product promotional materials, packaging, labeling, specification sheets, and quality testing and sampling methods for compliance with applicable regulations and policies.
- Assists with the development of all compliance reports and dashboards aimed at measuring compliance effectiveness and communicating compliance risks to relevant stakeholders.
- Assists with all regulatory report submissions, including providing technical assistance with all submissions and supporting compliance quality reviews.
- Assists with application renewals for municipalities and the PA Department of Health.
- Supports recalls and/or health and public safety issues. This includes reporting to government agencies, developing communication to dispensaries and/or consumers, working with the management team to develop a corrective plan.
- Conducts thorough, confidential, and impartial incident investigations into potential compliance violations as applicable.
- Maintains compliance documentation.
Qualifications & Skills
- Must be at least 18 years of age
- High school diploma or GED required; bachelor’s degree preferred
- Previous experience in an inventory or compliance role required
- Knowledge of MJ Freeway systems preferred
- Proficient in Windows 10 operating system, Microsoft Office suite of products, and Google Apps for Work required
- Expert knowledge of state cannabis regulations
- High attention to detail and compliance mindset
- Effective written and verbal communication
- Demonstrated ability to multi-task and manage time effectively
- Must be able to pass a background check in accordance with state regulations

The Dispensary Manager ensures that the dispensary department operations are in compliance with the DOH and internally approved Standard Operating Procedures (SOP's). The Dispensary Manager collaborates with the Regional VP of Retail and leadership team to develop, document and implement practices, policies, and strategies that support a performance and results-driven culture.
Essential Duties and Responsibilities
- Maintains highest level of presentation, customer service, and compassion to all patients
- Responsible for managing the dispensary department in a manner that supports the organizations mission
- Provide departmental leadership to assure that all departmental operations such as admissions, patient consulting, product dispensing, cash management, inventory management, inventory auditing, outreach, marketing and ordering are functioning with integrity and in the most cost efficient, compassionate and compliant manner
- Performing monthly, quarterly and annual sales reviews and provide suggestions for improvement to the Executive Director
- Responsible for ensuring vigilance, adherence and departmental compliance with the Medical Use of Marijuana Program and HIPPA regulations including but not limited to confidentiality, training, patient record keeping, submissions of reports, preparation of policies and procedures, acting as a departmental contact person for regulators and law enforcement personnel
- Reviewing, maintaining and updating all departmental SOP's and assuring that any changes are communicated to employees and the most recent SOP versions are available 24/7 for planned and unplanned audits by regulators and organization management
- Overseeing and ensuring cash management procedures are being followed including, transacting, opening, closing, depositing, reporting, maintaining and reconciling cash with all departmental SOP's
Compliance
- Practice policies and procedures related to the protection of personal and sensitive data must be adhered to at all times and only divulged to authorize persons
- Assists the Regional Manager in maintaining all regulatory licenses and renewals
- Responsible for ensuring all employees state registration identification cards are renewed each year
- First point of departmental contact with State and Local regulatory representatives
- Responsible for leading and complying with planned and unplanned quarterly audits / inspections
Inventory Control and Management
- Creating new product and price points for cannabis products and paraphernalia products
- Ensuring proper management of pre-packaged inventory and inventory movement between the vault and dispensing stations
- Overseeing and ensuring nightly audits & 30-day audits are being conducted in conjunction with all departments
- Responsible for organizing regular meetings with suppliers to optimize discounts and achieve the best pricing in the market
Marketing and Outreach
- Organize and lead guest tours and maintaining relationships with physicians, patients, politicians and professionals in the community that we serve
- Responsible for ongoing education and outreach program relating to medical cannabis for the benefit of member patients
- Responsible for maintaining all social media content in a professional way that portrays a best in class company image
- Coordinate on the success of promotions, coupon and recommend future promotions and sales
- Measure customer satisfaction through surveys and interviews
- Responsible for the preparation of content for all educational materials and presentations
Human Resources
- Partners with the Human Resources Director in reviewing salaries, writing appraisals, and disciplinary actions when required
- Records Retention
- Responsible for resolving day to day employee benefits administration issue
- Planning & coordination of staff meetings and company sponsored events
Education and/or Experience
- Bachelor's Degree in business, management, or related areas
- Experience working in a heavily regulated industry; 5-7 years in progressively responsible retail experience, including at least three years in a management position
- Proficient computing skills
- Subject to to background check per state cannabis regulations

- Ability to critically think and problem solve without direction

Position Description:
We are looking for a detail oriented and organized individual responsible for all things compliance at the dispensary level. This role will work with the Dispensary Manager to ensure that all safety, communication, regulations, label and packaging are adhered to on a company and state level.
Essential Duties and Responsibilities:
- Communicate regulation changes and information from corporate compliance to your location and ensure proper execution of changes.
- Will be responsible for the creation of new SOP's or updating existing SOP based on regulation and policy changes.
- Be involved in the monthly audit process and ensure all audits are properly filed and maintained in SharePoint.
- Research and resolve any product discrepancies
- Safety Coordinator for your location responsible for holding monthly meetings, safety training for your location and updating safety boards.
- Verify all packaging and labeling on all items from our Webster facility and wholesale vendors to ensure compliance with the CCC regulations.
- Follow up on test results and ensure all certificates are placed in the employees file.
- Work with Director of Compliance to schedule all Responsible Vendor Training Classes for your location for new employees and renewals.
Additional Responsibilities:
- Attend quarterly Compliance Meetings
- Must stay up to date on all regulations as it pertains to the Dispensary; medical, adult use or co-located

Education and/or Work Experience Requirements:
- 3+ years of data management and/or auditing experience
- Extremely organized with a strong attention to detail
- Advanced knowledge and experience managing database systems and/or data warehouse including advanced knowledge and experience with data integration and extraction from and to multiple diverse data sources and software programs

Responsibilities

- Ensure product stock is adequate for all distribution channels and can cover direct demand from customers

- Use software to monitor demand and document characteristics of inventory
- Place orders to replenish stock avoiding insufficiencies or excessive surplus
- Performs inventory reconciliations daily, weekly and as needed
- Analyze data to anticipate future needs
- Evaluate suppliers to achieve cost-effective deals and maintain trust relationships
- Collaborate with warehouse employees and other staff to ensure business goals are met
- Report to upper management on stock levels, issues etc.
