We are looking for a Sample Intake Specialist to take charge of our front end. PharmLabs is a well established and well-known ISO/IEC 17025:2005 accredited testing laboratory that holds a CA State license.
The incumbent will play a key role ensuring safe products are available to the Nation’s new epicenter of the Green Rush.
Position Summary:
To be responsible for the intake of client test samples to Laboratory Information Management System, as well as, act as an overall receptionist and brand ambassador. Under the general direction of the Laboratory Director, is responsible for providing general office services to the laboratory staff.
Essential Duties and Responsibilities:
1. Answer incoming calls, determine the purpose of calls and transfer calls
2. Greet walk-in clients
3. Provide proper information about testing to clients
4. Check in all client test samples and input them accurately into LIMS
5. Update social media platforms including but not limited to: Facebook, Instagram, Twitter and the PharmLabs Blog
6. Assist with integration of test samples and spread-sheet creation for test samples
7. Sending new client welcome emails
8. Adding new client emails to the newsletter distribution list
9. Create the Monthly Newsletter
10. Clean floors, bathroom, dusting and empty trash
11. Track office supplies needed and report to CEO
12. Refill office educational information as needed
13. Take and deliver messages
14. Monitors visitor access to the Laboratory
15. Interacts with visiting vendors
16. Provides on-going support to Laboratory staff
17. Receives, sorts and distributes mail; prepares outgoing mail and ensures it is mailed
18. Receives and processes deliveries
19. Drafts correspondence, generates reports and other documents
20. Orders and maintains office supplies
21. Creates and maintains forms necessary to the operation of the Laboratory
22. Ensures reception area is well maintained, neat and clean
23. Performs other duties as assigned
We are looking for someone who has been a previous office manager with cannabis experience and lots of customer service skills.

Title: Laboratory Director
Core Responsibilities
- Understands, adheres to, and enforces strict PharmLabs Standard Operating Procedures regarding Hawaii compliance and quality testing of medical and adult-use cannabis and cannabis products;
- Provides clients with world-class customer service, responds to all modes of customer communication with a sense of urgency and helpfulness, records pertinent details, and takes ownership of problems and follows up on required actions;
- Ensures results are reported within time frames established;
- Complies with and supports continuous improvement of the ISO 17025 accredited laboratory Quality Management System;
- Performs labeling and logging of hemp and cbd test samples using the Laboratory Information Management System (LIMS);
- Conducts analytical laboratory investigations, experiments and/or research activities, applies statistical techniques to validate methods, analyzes testing data, and prepares a report of findings;
- Utilizes solvent extraction, solid phase extraction, and/or QuEChERS sample preparation techniques for residual solvent, pesticide, heavy metal, cannabinoid potency, homogeneity, and terpene profile analysis.
- Adds internal standards, prepares quality control samples and conducts other quality control functions;
- Performs system suitability checks, preventive maintenance, and calibrates analytical instrumentation including HPLC, GC/FID, GC/MS, LC/MS/MS, ICP-MS, etc;
- Ensures that the laboratory and environmental conditions are appropriate for the testing performed and provide a safe environment in which employees are protected from physical, chemical and biological hazards;
- Oversees and participates in biological analysis for detection of bacteria and molds on laboratory specimens using a variety of standard microbiological enrichment methods, plate cultures and molecular screens (qPCR), and screens for mycotoxins using ELISA;
- Processes organizes and summarizes data and computerized results of analysis through the Laboratory Information Management System (LIMS);
- Consults with Quality Assurance Officer and/or Laboratory Directors at other locations to develop and implement new laboratory methods, techniques, and protocols;
- Ensures that all proficiency testing reports are reviewed by the appropriate staff to evaluate the laboratory’s performance and to identify any problems that require corrective action; and, implements an approved corrective action plan if a proficiency testing result is found to be unacceptable or unsatisfactory;
- Performs special studies in sample preparation, including preparing a report of findings;
- Prepares, sterilizes, and conducts quality checks on laboratory equipment;
- Assists in the security and cleanliness of laboratory and equipment;
- Oversees laboratory employees, including supervisory analysts, laboratory technicians, sample transportation specialists, sampling intake specialists. Ensures that policies and procedures are established for monitoring laboratory personnel who conduct pre-analytical, analytical, and post-analytical phases of testing to assure that they are competent and maintain their competency; if necessary provide remedial training or continuing education to improve skills.
- Must be able to adhere to safety and security (confidentiality) requirements as well as train and enforce with personnel.
- Meets challenges with resourcefulness; generates suggestions for improving work; develops innovative approaches and ideas; presents ideas and information to the team and assists in other areas as assigned.
Minimum Qualifications
- Must hold a Ph.D. in natural science and have three years of laboratory experience in toxicology, analytical chemistry or diagnostic testing, or a master’s degree in natural science and five years of experience. Hands-on experience in regulated food safety, clinical, forensic, environmental, or cannabis analytical laboratories preferred.
- Must have excellent written and verbal communication and customer support skills
- Must have prior supervisory experience and strong leadership skills
- Extensive experience with HPLC, GC, ICP MS/MS, GC/MS/MS and/or LC/MS/MS instrumentation
- Experience with ISO/IEC 17025, or similar certification process
- Must pass an extensive background security check, and in order to comply with regulations, employees may not own or work for any other Hawaii Cannabis Licensees during employment.
