SUMMARY: The Dispensary Administrator is responsible to oversee all dispensing operations – to ensure that staff are properly training, that systems are in place to facilitate smooth and efficient operations and to directly work in the dispensaries to cover absences of staff.
ESSENTIAL FUNCTIONS
A. Administrative Responsibilities:
- Training and supervising the other dispensary staff.
- Spending time on site in the other dispensaries to do supervision/teaching.
- Advocating with CCN for quality improvement issues (i.e, quicker responses to IT problems, improved service of CCN to our mail-order patients, following up in conjunction with HIV team for quality issues for mail order patients).
- Preparing for audits with insurers (creating/supervising systems to be sure we are better prepared for audits and that we are storing information adequately)
- Monitoring our daily cash reconciliation (with Finance department)
- Monitoring safety practices (Together with Medical Director for Pharmacy) (i.e. how to appropriately handle the DUR’s—drug utilization review prompts that come up related to allergy, dosing, drug interactions at the point of dispensing that require real time communication between dispensary and clinician staff to clarify)
- Developing expertise in the unique IT/PPart issues related to Dispensary/Electronic prescribing (trouble-shooting problems with SureRx’s/PPart interface and developing relationships with support staff at those 2 places; monitoring the editing of PPart medication templates so that they match our pre-stocked packages and can be recognized by PPart’s internal allergy/drug interaction cross-checking capabilities)
- Monitoring our financial statements with CCN (together with Finance Dept and Director of Operations) so that we can better understand cost efficiency issues at the local level (i.e., best inventory practices; handling expired meds; cost of trips from CCN staff to EHC to provide technical support.
- Monitoring Inventory/Formularies (together with Medical Director for Pharmacy)
- Auditing/collections practices regarding outstanding patient balances
- Ongoing monitoring of impact on discounting meds to Self Pay patients
- Advertising/Communication to patients (together with the Director of Operations)
B. Administrative Responsibilities at Kensington and Allegheny Site
- Being available to assist with shipping and receiving (dispensary shipments).
- Assisting with receiving and sending of Fed-Ex and UPS packages
- Assisting with courier service
- Assisting in communication of facilities needs for the health center
KNOWLEDGE, SKILLS, AND ABILITIES
- Bilingual in Spanish and English
- Ability to handle many details and multi task well
- Ability to integrate faith in practice
- Previous supervision experience preferred
- Bachelor’s Degree with previous experience in system organization, medical knowledge is preferred.
- Strong interpersonal skills and demonstrated ability to establish rapport with others.
- Ability to integrate faith in work related tasks.
- Demonstrated ability to multitask and prioritize multiple priorities.
- Ability to work in under pressure and meet deadlines.
- Ability to work independently and be part of a team.

SUMMARY: The Dispensary Supervisor is responsible to supervise the Dispensary Coordinators and ensure that systems are in place to facilitate smooth and efficient day-to-day dispensary operations. The Dispensary Supervisor provides ongoing training and performance coaching for the Dispensary Coordinators and substitutes for a coordinator when needed.
ESSENTIAL DUTIES AND RESPONSIBLITIES
A. Supervisory Responsibilities:
- Training and performance coaching with the dispensary coordinators at each site.
- Conducting annual performance evaluation of dispensary coordinators at the time of their work anniversary.
- Conduct supervisory meetings with individual dispensary coordinators; conduct disciplinary meetings as needed and provide appropriate training/coaching.
- Perform all activities necessary to process payroll for all employees.
- Maintain supervisory records for individual dispensary coordinators.
- Foster a culture in the dispensary and within the dispensary team that embodies the organization’s mission
- Develop and encourage team members in their spiritual development.
- Lead devotions at each site.
