General Summary:
This position is primarily responsible for providing administrative, clerical and office support to the warehouse and purchasing departments. You will be responsible for initiating and documenting accurate, detailed information as needed by maintaining the company's CRM. This is an opportunity for entry level candidates to obtain skills and knowledge in supply chain management.
Essential Duties and Responsibilities:
- Administrative support to Warehouse Manager, Purchasing Manager and other Executives as assigned
- Confers with vendors to obtain product or service information such as price, availability, and delivery schedule
- Prepares purchase orders
- Maintains procurement records such as purchased items or services, costs, delivery, product quality or performance, and inventories
- Reviews invoices for accuracy prior to payment
- Prepares various data analysis reports for review by the Chief Financial Officer
- Assist in preparation for warehouse inventory
- Review, approval, and coding of invoices for A/P
- Communication on behalf of management with clients (appointment setting, call screening)
- Creation and management of various departmental spreadsheets
- Inventory and Ordering of supplies
- Reviews requisitions/purchase requests
- Assist in managing client accounts and contract renewal dates
- Keeps record of in/outbound communications via fax, email, USPS mail
- Create and maintain paper and electronic filing systems for records, correspondence, and other material.
- Performs necessary research pertaining to assigned special projects
- Assist with preparation of department reports
- Manage and maintain general order and cleanliness of shipping office
- Performs other related duties as needed to meet business demands or as assigned by management

This position does not have supervisory responsibilities.
Education and/or Work Experience Requirements:
- High school diploma or equivalent; and one year of related experience and/or training; or equivalent combination of education and experience.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Must be highly proficient in Excel
- Ability to write routine reports and correspondence.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to apply common sense understanding to carry out instructions furnished in written, verbal or diagram form.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
- Proven ability to handle multiple projects and meet deadlines
- Ability to deal effectively with a diversity of individuals at all organizational levels.

Computer Skills:
To perform this job successfully, an individual should have knowledge of Contact Management systems; Database software; Internet software; Spreadsheet software and Word Processing software. Highly proficient in Excel. Knowledge in Microsoft Dynamics NAV a plus. Experience with Quickbooks a plus
