POSITION TITLE: Dispensary Assistant
DEPARTMENT: Pharmacy
REPORTS TO: Director of Pharmacy
SUPERVISION GIVEN: None
JOB SUMMARY: Responsible for performing a wide variety of duties, which primarily include receiving and maintaining medications, completing authorization request forms and coordinating patient pick up of medications.
KNOWLEDGE OF WORK
Knowledge of computer systems including Microsoft Office
Knowledge of ordering and receiving
Knowledge of purchasing/inventory administration
DUTIES AND RESPONSIBILITIES
Receive and document arrival of Napa Pharmacy Assistance Program (NPAP), in-clinic, and outpatient medications in appropriate database
Complete Treatment Authorization Requests (TARs) and Prior Authorization Request. Communicate with pharmacies, insurance companies and medical staff to obtain information needed for processing
Contact patients to advise status of medications. Obtain patient signature at pick up or schedule appointments and/or labs as needed
Provide follow up contact with “no show” patients. Document and communicate “no shows” to NPAP and Providers. As necessary, alert Medical Assistants if patients with medications awaiting pickup have upcoming appointments
Organize and manage medications, checking for expired medications during inventory and ordering medications, including samples for all sites
Prepare labels for medications
Handle “no show” and dispose of expired medications according to department policy and OSHA guidelines. Record waste amount of in-clinic medications used for procedures and expired medications
Notify appropriate personnel at other sites when medications are ready for pick up
Detect and document errors related to dispensing of medications and immediately notify appropriate personnel of error
Other duties as assigned
Requirements
EDUCATION, EXPERIENCE, TRAINING
- High school diploma or General Education Degree required
- AA Degree in related field and minimum of two years related experience and/or training; or equivalent combination of education and experience
- Pharmacy Technician License preferred
- Strong verbal and written communication skills; Bilingual (English/Spanish) required
- Computer skills including Microsoft Word and Excel required; electronic health record system preferred
- Excellent interpersonal and customer service skills required
- Strong attention to detail required
