Job Title
Membership and Operations Coordinator
Reports To
Executive Director
Job Purpose
Manage the association's membership and administrative obligations including basic accounting, manage events, scheduling, membership communications, social media and marketing presence, and email functions. Assist the Executive Director with membership recruitment and retention as well as other functions as necessary to advance the business, policy and community goals of the organization.
Duties and Responsibilities
GENERAL OFFICE:
Meetings & Events
- Administrate board, member, consultant, external meetings and events: Reserve meeting rooms, manage organizational calendars and meeting invitations
- Coordinate A/V as needed
- Prepare agendas in collaboration with ED and provide appropriate documents, supplies for the smooth functioning of the meeting
- Plan and execute events
- Coordinate and confirm special guests, speakers, sponsorships
- Set up and tear down at all parties, fundraisers, member, board, consultant events and meetings
- Must be available to work some evenings (about 1x per month) and to support staff, board, member and consultant meetings and events as necessary
Administration and Accounting
- Maintain budget and collects monthly dues. Ensures all receivables and expenditures are up-to-date in Quickbooks.
- * Prepare monthly reports on budget, expenses, cash flow, and dues collection status.

- Managing inventories of office supplies, equipment and meeting incidentals
- Track, Monitor and Maintain working inventory levels of office supplies, equipment and incidentals such that they do not run out of stock during the business day
- Campaign finance reporting
- * Reconcile MIG contributions for 2 separate accounts

MARKETING & MEMBERSHIP
Membership
- Serve as first point of contact for membership inquiries
- Develop and execute successful strategies to recruit and orient new members; ensure member renewals; and upgrade current members’ status.
- Schedule and attend meetings with prospective members and ED
- Periodically review and update membership materials
- Assist with member communication activities that drive attendance at MIG events and assist ED staff in event recruitment.
- Prepare organizational marketing materials to reflect depth, reach and impact of MIG.
- Manage administrative needs of membership
- Manage and Summarize Membership Polls/Votes via Doodle Poll or similar survey tool
- Evaluate and report on effectiveness of all membership and communications efforts.
- Maintain membership lists and update to reflect new/lost members.
Marketing, Social Media, Industry Communications
- Manage all social media platforms: Facebook, Twitter, and LinkedIn
- Manage the organization’s website and make updates as needed
- Draft and send emails as needed including weekly newsletter
- Update PSA campaign & coordinate with external parties (media partners, third party vendors)
- Monitor news sites and publications on cannabis related stories (local, national)
- Interface with Community Partnerships and at Industry Meetings/Events
- Attend industry-wide meetings, take notes, and report back to ED as needed
- Represent MIG at industry events as needed
- Maintain and support community partners
- Assist with internal and external communications
- * Understand the priorities and issues of the organization, it’s members, officers, board and consultants

- Draft weekly emails to advisory
- Draft responses to internal and external inquiries
- Coordinate meetings and events with board, members, consultants, and ED
- Ensure that the proper protocols are adhered to for internal and external communications.
- Set up conference calls and meeting technology as necessary
- Take notes at all meetings, including attendance & manage confidentiality agreements
EXECUTIVE SUPPORT:
Serve as the primary administrative support to the Executive Director:
- Scheduling
- * Maintain MIG calendar of events, special programs, all meetings of the Executive Director, board, workgroup meetings (state, local and MIG)

- Ensure the right (key) people are participating at appropriate meetings
- Organizational phone and email management
- * Monitor ED email and organizational cell phone:

- Identify all essential issues for ED to respond to directly
- Respond in a timely fashion to all other issues (within 24 hours) using the method of response that was tracked (ie., email inquiries receive email response, phone inquiries require verbal response)
- Manage external phone calls and emails as requested
- Assist with travel arrangements (occasional)
Mandatory Qualifications
- High school graduate; Bachelor degree preferred
- Preferred 1 year as an Administrative Assistant or similar field
- Preferred 1 year in marketing, communications, and/or government affairs experience
- Thrives in a fast-paced environment
- Competent in accurately managing multiple projects concurrently
- Accuracy and attention to detail
- Trustworthy, and able to maintain confidentiality
- Demonstrated written and verbal communication skills
- Excellent time management and organizational skills
- Quickbooks and bookkeeping experience a plus
- Proficiency with Google Suite preferred.
- Proficiency with social media platforms, specifically Facebook, Twitter and LinkedIn preferred.
- Knowledge and experience with content management systems, WordPress preferred
- Must maintain a high level of ethical and professional standards consistent with the association’s image.
Working Conditions
- Primarily work from home. Some in person meetings expected.
- Occasional travel to offsite meetings/off hour meetings required.
Physical Requirements
- Extensive computer work.
- Research that requires long periods of concentration.
- Must be able to lift/carry 40 lbs

- $50k - $55k per year (depending on experience) + Health Insurance stipend up to $500 per month Flexible hours. Paid time off.

Filing a Retaliation Complaint
A retaliation complaint may be filed directly with the Executive Director, Board Chair, or Corporate Counsel. The claim may be submitted anonymously if the complainant so chooses. Send a written or typed complaint to submit an anonymous complaint.
A retaliation claim must be filed within 90 days of the retaliation behavior. If there is a pattern of retaliation, the complaint must be filed within 45 days of the most recent alleged act or threat of interference or retaliation.
Investigation
The complaint will be investigated. The Audit Committee will convene a meeting for the purposes of making a determination about the investigation. The Chairman of the Audit Committee may request any documentation or verbal statements by employees as may be legitimately required for appropriate fact finding. The employee filing the complaint may at the time of the hearing, present their complaint to the Audit Committee in person.
Decision
If a finding that interference or retaliation has occurred, the Chairman of the Audit Committee will provide that information to the Board and Executive Director. The determination is final and binding. The Executive Director sees to it that, through the appropriate channels, corrective action is taken against the employee who is found to have interfered or retaliated. The Executive Director
