Full Job Description
GENERAL SUMMARY OF DUTIES:
The E-commerce Customer Representative is responsible for order processing and status updates, generates special quotes and scheduling shipments and returns, resolving customer concerns and questions, and interacts with customers through emails, chat, and calls that come through our e-commerce website. Manages and updates customer profiles and information through Salesforce Service Cloud. Works in close collaboration with marketing and website development teams to update user interface, website content including information, images ensuring accurate and up to date information. Assists in maintaining and improving online presence, including SEO performance. The ideal candidate has strong customer service experience and knowledge of cannabis cultivation, gardening, and agriculture.
SUPERVISION RECEIVED: Reports to the Marketing Manager.
EXAMPLES OF DUTIES: (This may not include all duties assigned)
Customer Service - 80% of time
- Promptly respond to customer queries via email, live chat, and phone.
- Assist customers on order-on-line, and follow up on orders and customers to ensure the brand provides the highest level of customer service.
- Manage orders in the back office and liaise with shipping and order fulfillment logistics to ensure timely delivery.
- Generate quotes and process special orders.
- Assist customers with tracking orders, cancelling orders, refund requests as well as troubleshooting problems with their items.
- Manage Return Merchandise Authorizations (RMA); manage customer requests for return, from request to receipt of refund.
- Resolve product or service problems by clarifying the customer's complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem.expediting correction or adjustment within time limits, and following up to ensure resolution.
- Identify common problems and escalate them to management, along with suggested solutions. Liaise with colleagues and managers to find the best solutions to customers’ issues.
- Manage ongoing customer relationships utilizing our CRM tools, especially Salesforce Service Cloud. Ensure all critical notes and information are input timely and accurately.
- Use Fishbowl inventory-management software for generating special orders, and making edit to or troubleshoot orders as it is integrated with the WooCommerce store.
- Obtain and share customer feedback with colleagues and other departments so that products and services can be improved.
- Document client inquiries and resolutions to contribute to the Salesforce Service Cloud Knowledge database.
- Become familiar with new products and services as they are introduced.
- Manage sample and promotional programs.
- Perform other duties as assigned.
Website Maintenance and Content Update - 20% of time
- Maintain customer-facing WooCommerce store including products, categories, orders, and customer profile.
- Update general website content as periodically needed.
- Maintain, update, and oversee website operation and content.
- Work with marketing teams to maintain and align website strategy.
- Assist with the review of web statistics and analytics, visitor analytics, and customer data analytics to monitor weekly site performance.
- Identify ways to improve website user experience.
- Perform other duties as assigned.
EDUCATION & EXPERIENCE:
- E-commerce Customer Service Experience: Minimum 2-3 years of customer support for basic troubleshooting and order processing, sales, or marketing experience, preferably e-commerce
- IT support / e-commerce background desired
- WooCommerce and Salesforce experience a plus
- Awareness of current trends in the cultivation marketplace and gardening is a plus.
- Experience in the industry is a plus, but must at least be an expert hobbyist when it comes to gardening and cultivation.
- Must be at least 18 years old and pass a criminal background check
PERFORMANCE REQUIREMENTS: Technology & Other
- Computer: Highly functional on a modern PC computer with experience and understanding of Google Apps. Equipment provided.
- Google Apps: Strong skills in Gmail, Google Sheets and Docs are a must. Should also have understanding of Google Apps security and sharing.
- CRM Tool: Have experience with CRM tool, Salesforce Cloud a plus
- Documents: Manipulate documents in word-processing programs (Google Docs, Microsoft Word, and Adobe Acrobat) to change content, such as to add data, insert signatures, and provide edits.
- Typing: Type 55 WPM and current ten key proficiency with high level of accuracy.
- Printing & office equipment: Familiar with using network printing. Able to operate multi-function copier/scanner operation and other standard office equipment and perform basic troubleshooting.
- Internet Research: Must be internet savvy and have strong research skills

BENEFITS OF EMPLOYMENT INCLUDE:
- This is a full time, hourly, non-exempt employment position.
- You will be eligible for health benefits on the first day of the month after 60 days of employment.
- Kaiser/ Sutter Multi-Tier plans available with HSA option; the company pays 50% of Bronze Tier for employees. The company pays 50% of Dental for 0-1 year of employment and 100% after 1 year of employment. Voluntary Vision Plan option.

- This role has a flexible schedule with up to 50% Work From Home. Normal business hours are Monday through Friday from 9 AM to 5 PM. You are responsible for taking requisite breaks and will be granted a 1-hour lunch break, of which 30 minutes is paid.
- Payroll runs on the 5th and the 20th of each month and will reflect any applicable withholdings. Direct Deposit is available.
- Should payday fall on a weekend or holiday, you will be paid on the previous business day.
- You will be provided a PC for your work use.
