Dispensary Coordinator – Medical Assistant

Our on-site dispensary provides convenient access to various patient medications. The dispensary team coordinates the efficient and accurate delivery of prescribed medications by IUI providers. This process includes safe and accurate dispensing, adjudicating insurance claims, handling co-pay collections and managing dispensary inventory to meet patient demand.
Primary responsibilities:
- Confirms demographics of each patient before dispensing new prescriptions or refills.
- Facilitates prior authorization, before dispensing, for any medication requiring insurance approval.
- Accurately labels all prescription bottles and ensures that the correct number of dosages are in each bottle, before dispensing.
- Files appropriate receipts and medical record documentation.
- Provides patient education material to patient for each medicine dispensed.
- Troubleshoots processes with prescribing IUI provider if necessary.
- Accurately collects all prescription co-pays or payments from patients prior to dispensing medicines per IUI dispensary protocol.
- Maintains appropriate receipts and financial records per IUI dispensary protocol.
- Accounts for all daily receipts before the end of the workday and provides all cash and credit transactions daily to the IUI accounting department.
- Maintains appropriate levels of on-site inventory and communicates with management when stock is low.
- Follows list-serve postings to keep up-to-date on insurance formulary changes.
- Tracks medicines at risk of expiring.
- Maintains appropriate visual reminders and handouts regarding IUI dispensary services.
- Rotates out of the dispensary when staffing permits to maintain clinical skills (e.g. if a MA) and provides support in the clinic as needed.
KNOWLEDGE, SKILLS, AND ABILITIES
- Medical Assistant Certificate preferred
- Dispensary experience preferred
- Pre-authorization experience preferred
- Excellent written and oral communication skills, required
- Knowledge of health care systems and related services
- Ability to remain calm in a busy environment
- Must be able to organize, process, and verify details
- Ability to work independently and complete tasks thoroughly with minimal supervision
