Summary

Corporate Administrator duties and responsibilities include managing the administrative department to ensure efficient operation of company and corporate operations. Supports Directors and Executive team through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative duties are completed accurately and delivered with high quality and in a timely manner. Responsible for the management of administrative assistant and office management staff, as well as coordination with, and occasional management of, IT staff to ensure their projects are completed in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and forward thinking is expected.

Duties & Responsibilities

  • Manage important business relationships, including, but not limited to:
    • Insurance brokerage (primary contact/manager of relationship)
    • Security providers (primary contact/manager of relationship)
    • 3rd party vendors (tertiary contact/assist in management of vendors)
    • Other business critical relationships and partners, as needed

  • Manage company insurance policies
  • Manage and approve corporate travel and event arrangement through supporting staff (Admin Assistant and Office staff)
  • Directing, managing, and at times headlining maintenance, auditing, and troubleshooting of corporate and operational spreadsheets, documents, slides and some media
  • Maintain the confidentiality of all information received, or within the scope of the position
  • Ensure that the executive office business activities continue when management is out of the office
  • Managing projects and changing initiatives to achieve process excellence
  • Compiles, updates, organizes and analyzes complex information for inclusion in reports, budgets, prepares charts, graphs, or other presentations of varying complexity
  • Have full understanding of WYLD processes in each state, and stay up to date on operational expansion plans
  • Ensuring support staff is efficiently coordinating meetings and managing calendars
  • Assists with employee account setup – slack, corporate email, phones, online accounts and other simple IT setups etc.
  • Act as primary administrator for Slack, G-Suite, creating and deactivating accounts, managing users, functionality, access, and other features
  • Performs administrative and clerical tasks
  • Provide information by answering questions and requests
  • Assisting with customer inquiries via web contact forms
  • Work with Office and Admin staff
  • Other duties as assigned

Qualifications

  • 5+ years of progressive experience performing a variety of office, administrative and customer service tasks
  • Excellent communication skills including written, verbal, listening, and customer service skills with the ability to effectively communicate with and work well with others in order to manage projects, etc.
  • Ability to project a calm and professional demeanor regardless of the type of environment (calm, fast paced, high stress)
  • Resourceful, self-motivated with a sense of urgency and strong work ethic
  • Capable of regularly using good judgment and problem-solving skills to accomplish goals and work requirements
  • Must be able to be entrusted with confidential information
  • Proficient computer skills working with various office equipment, computers and various programs including Word, Outlook, PowerPoint, Excel, etc. and the ability to effectively work on spreadsheets, word processing, networking, and e-mail programs.
    • In particular a high level of proficiency with spreadsheets (Excel and G-Sheets), and the ability to learn new software are highly valued

  • Exceptional organizational skills with a high consideration to detail and accuracy
  • Certificates, Licenses, Registrations: Active Oregon Liquor Control Commission (“OLCC”) marijuana worker permit
  • Language Skills: Must be able to effectively communicate in English, both verbally and written
  • Math Skills: Possess basic mathematical skills: addition, subtraction, multiplication and division
  • Travel Requirements: Occasional travel required between buildings and sites in various states

Compensation
