Full Job Description
As an Accountingprose Superhero Onboarding Accountant (Remote), you will be responsible for migrating our new clients from their old, outdated, and messy accounting and payroll systems into their new, shiny systems (Xero and Gusto), which provides a massive upgrade to their financial life.
We work with clients at all stages of business, from start-ups who want to get their accounting life set up correctly from the beginning and businesses with many years of history with legacy issues that have plagued them for years. You will work with your clients to understand their current systems and processes, the problems they are trying to solve, offer solutions that will increase their operational efficiency and profitability and put the pieces of the accounting and payroll puzzle together within Xero and Gusto, so that can get back to doing what they love. This role is perfect for an inquisitive and process-driven accountant who enjoys problem-solving and is a natural teacher. You will be working closely with our clients and your teammates, all while working remotely from your home office or coworking space (once things go back to normal).
Your Role & Responsibilities
Your day-to-day tasks will include:
- Migrate accounting clients from their existing accounting system (eg: Quickbooks Desktop, Quickbooks Online, Wave, Bench) into Xero or set them up from scratch if they are not using accounting software.
- Train your client to use our Box.com, Receipt Bank, and LastPass to provide confidential information
- Review and make suggestions for improvements to the Chart of Accounts and financial statements
- Import, sync, and reconcile checking, saving, credit card, loan, merchant accounts, and payroll in Xero
- Review vendor information for accuracy and requesting W9s for 1099 prep at end-of-year
- Evaluate and correct previously filed multi-state sales tax returns
- Determine if additional sales tax licenses need to be set up based on physical, economic, affiliate, or click-through nexus thresholds
- Set up Bill.com and training client to follow our upload, approval, and bill payment process
- Sync third-party software to Xero including (but not limited to) ActionStep, Amazon Seller Central, Clio, ConnectWise, Harvest, Shopify, Square, Stripe, Paypal, and many other SaaS apps.
- Work with software vendors we are unfamiliar with to understand how their software syncs to Xero, and document this within Trainual
- Review, improve, and thoroughly document workflow processes and procedures for managing the client’s accounting on an ongoing basis using LucidChart and Trainual
- Migrate payroll clients from their existing payroll system (eg: Quickbooks, ADP, Paychex, OnPay, Rippling, Patriot) into Gusto or set them up from scratch if they are not using payroll software.
- Update your onboarding clients at least once weekly via email to keep them in the loop about the onboarding process
- After onboarding is complete, provide training to your client to work within their new systems and hand-off them over to their Ongoing Accountant, who will be their main point of contact
Requirements
- Complete understanding of full-cycle accounting with 3+ years of hands-on experience. You know what is happening behind the scenes when you are posting transactions and you can explain challenging accounting concepts to a novice.
- Not afraid to get your hands dirty and able to keep calm under pressure. Sometimes problems arise when we dive into our clients’ financials, and it is important to work through these issues while maintaining proper expectations with our clients.
- Naturally curious with a desire to share knowledge. You meet people where they are (eg. not using complicated accounting jargon) and get stoked about hopping on a Zoom call, recording Looms, or sharing resources you scoured the internet for.
- Intermediate software knowledge: Xero, Quickbooks Online, Quickbooks Desktop, Gusto, Teamwork, Zoom, Box, ReceiptBank. Are some of these foreign? No worries! We provide in-depth training to build your skills.
- Ability to multitask but more excited about deep work. You will be onboarding 3-4 clients per month, and much of the work requires deep focus for long stretches of time without toggling back and forth.
- A spreadsheet wizard, able to make sense of lots of information, especially as many of our clients have multiple streams of revenue across many different channels.
- Strong attention to detail and good analytical skills. Nothing slips past you!

Compensation
$60,000 per year with a 2% annual cost of living increase and opportunities for annual performance-based raises and referral commissions.
