Position Overview:

The Patient Intake Coordinator is responsible for greeting patients, setting up the patient record in our system and for providing an exceptional patient experience. Under general supervision, enters data from various source documents into computer system for storage, processing and data management purposes. Verifies the accuracy and veracity of the status of all qualifying patients and designated caregivers who come to our dispensary using proper identification and verification protocol. The Patient Intake Coordinator maintains a visitor log limiting access to the dispensing facility. Answer inquiries independently in accordance with policy.

Major Areas of Responsibility include:

• The Patient Intake Coordinator must ensure that visitors are escorted, monitored and that authorized identification badges are issued in compliance with State law.


• Collects and manages informational documents to support data integrity.


• This position ensures all intake forms and other paperwork is properly completed and filed correctly, then enters all appropriate information into the POS.


• The Patient Intake Receptionist confirms patient purchase limits prior to admission into the consultation area and informs the appropriate pharmacist of such limits.


• This position manages patient flow into the consultation area ensuring no more than one patient is admitted per pharmacist on duty and completes other administrative tasks at the dispensary.


• Ensure that transactions are complete, timely, and accurate and conform to internal policies and external regulations.


• Audits data entry transactions to ensure alignment with accounting systems. Alerts management of sourced discrepancies.

Minimum Qualifications (Skills, Knowledge & Abilities):

• All applicants must be at least 21 years of age.


• Demonstrated advanced ability in word processing and spreadsheet software programs including Microsoft Office products, accounting software (QuickBooks preferred), e-mail, etc.


• Proficient in data entry and 10-key.


• Ability to deal with confidential information such as financial records and product inventory reports.


• Ability to work independently and solve routine problems.


• Knowledge of basic accounting principles and practices.


• Skill in using computer and application software for financial transactions.


• Skill in mathematical computations used in accounting.


• Ability to communicate effectively, both orally and in writing.


• Ability to establish and maintain effective working relationships with those contacted in the course of work.


• Ability to prepare written reports and correspondence, and presentations as required.


• Ability to exercise sound judgment and make decisions in a manner consistent with confident leadership.


• Ability to organize and prioritize work.

• Available to work weekends and flexible work schedule.

Summary/Objective

The Patient Intake Coordinator (PIC) is responsible for greeting and the sign-in of all patients, visitors, delivery personnel, and employees. The PIC is also responsible for the dispersion of all KCIW provided paperwork to patients. The PIC will assist every new patient/caregiver in completing KCIW paperwork, explain the dispensary procedures, and answer any questions the patient/caregiver may have. The PIC is also responsible for answering the dispensary telephone.

Job Duties

• Patient and caregiver personnel check-in.

• Verifying patient/caregiver IDs and medical cards.

• Registering new and returning patients in accordance with KCIW policy and procedures.

• Placing patients in the que to see a PCC or Pharmacist.

• Adding and updating patient/caregiver info in MJ Freeway.

• Setting appointments for initial consults with a pharmacist.

• Communicating with Pharmacist the requirements for each patient via Slack.

• Keeping areas clean and tidy:

• Mantrap

• Bathrooms

• Security Office

• Waiting Room

• Ensuring the environmental settings are appropriate for patients in the waiting room.

• Answering phone calls.

• Getting updated menu daily from the Dispensary Manager.

• Turning on TV and ensuring proper slide show is playing.

• Turning on waiting room music.

• Readying refreshments: water, snacks, Keurig.

• Surveillance monitoring when requested.

• Checking voicemails in the morning and relaying important messages to the Manager on duty.

Work Environment

This job operates in a Medical Cannabis Dispensary. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

Must be able to lift items up to 50lbs individually. Must be able to sit, stand, stoop, crouch, reach, and lift for long periods of time. Must be able to work in a professional office environment, with moderate to loud noise levels, smells, and changing working conditions. Will require the use of personal protective equipment.

Position Type/Expected Hours of Work

This is a Non-Exempt (hourly) position, and hours of work and days vary Monday through Saturday. Varying schedules and flexibility are required for this position.

JOB PURPOSE:

The Patient Intake Coordinator is the first point of contact for incoming patients and visitors. Ensure all patient/visitor check in procedures and processes are followed and in compliance, delivering exceptional customer service. • Maintains the smooth flow of customers by communicating with dispensing agents and keeping awareness of wait times.
• Accurate and timely data entry of patient/caregiver profiles.
• Answer phone and operate computer system accurately.
• Retrieve and maintain patient files.
• Facilitate new patient and patient renewal processes.
• Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel. Monitor visitor access and issue badges when required.

REQUIRED QUALIFICATIONS:

• Exceptional customer service skills
• Minimum of two years of office related experience
• Ability to engage effectively with a diverse customer base
• Must be 21 years of age
• Strong critical thinking and problem-solving skills
• Computer skills including Word and Excel
• Minimum of High School diploma
• Ability to multi-task in a fast-paced environment, to manage high stress situations, and to be flexible and adaptable when a situation requires it.

PREFERRED QUALIFICATIONS:

• Cannabis knowledge or cannabis industry experience.

PHYSICAL REQUIREMENTS:

• Sitting and/or standing for extended periods of time
• Ability to lift up to 25 lbs.

JOB PURPOSE:

The Patient Intake Coordinator is the first point of contact for incoming patients and visitors. Ensure all patient/visitor check in procedures and processes are followed and in compliance, delivering exceptional customer service. Manages the flow of the lobby to ensure all patients/caregivers are helped in a timely manner.

KEY DUTIES AND RESPONSIBILITIES:

• Greet patients upon arrival and guide patients through the process of getting checked in.
• Ensure all patient/visitor check in procedures are followed and in compliance.
• Verification of valid state identification and any other corresponding relevant documents needed to be compliant.
• Maintains the smooth flow of customers by communicating with dispensing agents and keeping awareness of wait times.
• Accurate and timely data entry of patient/caregiver profiles.
• Answer phone and operate computer system accurately.
• Retrieve and maintain patient files.
• Facilitate new patient and patient renewal processes.
• Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel. Monitor visitor access and issue badges when required.

REQUIRED QUALIFICATIONS:

• Exceptional customer service skills
• Minimum of two years of office related experience
• Ability to engage effectively with a diverse customer base
• Must be 21 years of age
• Strong critical thinking and problem-solving skills
• Computer skills including Word and Excel
• Minimum of High School diploma
• Ability to multi-task in a fast-paced environment, to manage high stress situations, and to be flexible and adaptable when a situation requires it.

PREFERRED QUALIFICATIONS:

• Cannabis knowledge or cannabis industry experience.

PHYSICAL REQUIREMENTS:

• Sitting and/or standing for extended periods of time
• Ability to lift up to 25 lbs.
• Ability to sit, stand, stoop, stretch, walk, bend, twist, reach, perform repetitive motions, and carry boxes or items

JOB SUMMARY

Join our KCIW team in Williamsport , PA - as a Patient Intake Coordinator, your main responsibility will be to assist patients in checking into the dispensary and collecting their information. Patient Intake Coordinator engages in one-on-one conversations with patients from the time they walk into the store until the Pharmacist is ready for their appointment. Compliance with applicable rules and regulations as implemented by the state and KCIW will be required.

CORE JOB DUTIES

• Greeting customers upon arrival to Dispensary and inputting information into system
• Inspire patient confidence and create patient loyalty
• Verification of proper paperwork, documentation and ID from patients
• Responsible for driving patient experience
• Accurate use of the Point of Sale (POS) system; timely data entry of patient profiles in both the POS system and the state's electronic verification system
• Maintenance of hard copy files (when required)
• Ensure security measures and safety compliance for the store
• Maintain an organized and clean store
• Manage the visitor log
• Reporting of employee issues or patient situations

REQUIRED EXPERIENCE, EDUCATION AND SKILLS

• High School Diploma or equivalent
• High Energy, Patient Focused, Compassionate
• Excellent customer service skills
• Ability to learn and understand cannabinoids and how they interact with the human body
• Ability to use standard office equipment, computer equipment and software including word processing, database management, spreadsheet applications and email
• Ability to work effectively with employees, management, patients, governmental agencies, community members and the general public
• Understanding of applicable federal, state and local laws and regulations as they pertain to the industry, personnel law, safety regulations, local municipal codes and organizational rules, regulations, directives and standard operating procedures
