Patient Intake Coordinator
Keystone Center of Integrative Wellness
Summary/Objective
The Patient Intake Coordinator (PIC) is responsible for greeting and the sign-in of all patients, visitors, delivery personnel, and employees. The PIC is also responsible for the dispersion of all KCIW provided paperwork to patients. The PIC will assist every new patient/caregiver in completing KCIW paperwork, explain the dispensary procedures, and answer any questions the patient/caregiver may have. The PIC is also responsible for answering the dispensary telephone.
Job Duties

- Patient and caregiver personnel check-in.
- Verifying patient/caregiver IDs and medical cards.
- Registering new and returning patients in accordance with KCIW policy and procedures.
- Placing patients in the que to see a PCC or Pharmacist.
- Adding and updating patient/caregiver info in MJ Freeway.
- Setting appointments for initial consults with a pharmacist.
- Communicating with Pharmacist the requirements for each patient via Slack.

- Ensuring the environmental settings are appropriate for patients in the waiting room.

Must be able to work in a professional office environment, with moderate to loud noise levels, smells, and changing working conditions. Will require the use of personal protective equipment.

JOB PURPOSE:
The Patient Intake Coordinator is the first point of contact for incoming patients and visitors. JOB PURPOSE:
The Patient Intake Coordinator is the first point of contact for incoming patients and visitors. Ensure all patient/visitor check in procedures and processes are followed and in compliance, delivering exceptional customer service. Manages the flow of the lobby to ensure all patients/caregivers are helped in a timely manner.
KEY DUTIES AND RESPONSIBILITIES:
- Greet patients upon arrival and guide patients through the process of getting checked in.
- Ensure all patient/visitor check in procedures are followed and in compliance.
- Verification of valid state identification and any other corresponding relevant documents needed to be compliant.
- Maintains the smooth flow of customers by communicating with dispensing agents and keeping awareness of wait times.
- Accurate and timely data entry of patient/caregiver profiles.
- Answer phone and operate computer system accurately.
- Retrieve and maintain patient files.
- Facilitate new patient and patient renewal processes.
- Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel. Monitor visitor access and issue badges when required.
REQUIRED QUALIFICATIONS:
- Exceptional customer service skills
- Minimum of two years of office related experience
- Ability to engage effectively with a diverse customer base
- Must be 21 years of age
- Strong critical thinking and problem-solving skills
- Computer skills including Word and Excel
- Minimum of High School diploma
- Ability to multi-task in a fast-paced environment, to manage high stress situations, and to be flexible and adaptable when a situation requires it.
PREFERRED QUALIFICATIONS:
- Cannabis knowledge or cannabis industry experience.
PHYSICAL REQUIREMENTS:
- Sitting and/or standing for extended periods of time
- Ability to lift up to 25 lbs.
- Ability to sit, stand, stoop, stretch, walk, bend, twist, reach, perform repetitive motions, and carry boxes or items
Applicants must be a minimum of 21 years old. Must be able to pass an extensive state-mandated background check, no felonies allowed. Valid driver's license required along with reliable transportation.

JOB SUMMARY
Join our KCIW team in Williamsport , PA - as a Patient Intake Coordinator, your main responsibility will be to assist patients in checking into the dispensary and collecting their information. Patient Intake Coordinator engages in one-on-one conversations with patients from the time they walk into the store until the Pharmacist is ready for their appointment. Compliance with applicable rules and regulations as implemented by the state and KCIW will be required.
CORE JOB DUTIES
- Greeting customers upon arrival to Dispensary and inputting information into system
- Inspire patient confidence and create patient loyalty
- Verification of proper paperwork, documentation and ID from patients
- Responsible for driving patient experience
- Accurate use of the Point of Sale (POS) system; timely data entry of patient profiles in both the POS system and the state's electronic verification system
- Maintenance of hard copy files (when required)
- Ensure security measures and safety compliance for the store
- Maintain an organized and clean store
- Manage the visitor log
- Reporting of employee issues or patient situations
REQUIRED EXPERIENCE, EDUCATION AND SKILLS
- High School Diploma or equivalent
- High Energy, Patient Focused, Compassionate
- Excellent customer service skills
- Ability to learn and understand cannabinoids and how they interact with the human body
- Ability to use standard office equipment, computer equipment and software including word processing, database management, spreadsheet applications and email
- Ability to work effectively with employees, management, patients, governmental agencies, community members and the general public
- Understanding of applicable federal, state and local laws and regulations as they pertain to the industry, personnel law, safety regulations, local municipal codes and organizational rules, regulations, directives and standard operating procedures
ADDITIONAL REQUIREMENTS
- Must be 21 years’ old or older to work at the store
- Must pass any and all required background checks
- Must be and remain compliant with all legal or company regulations for working in the industry
