Job Description
We are seeking a highly motivated and energetic Full Time Retail Associate, who share our passion to provide quality medicine and excellent patient care experience to patients who need them and who support the Company’s core values and culture. The Retail Associate works closely and collaboratively with the dispensing facility leadership and reports to the Retail Operations Manager and Retail Operations Supervisor. The dispensing facility is in Bradenton, FL and operates seven days per week.
Minimum Qualifications (Skills, Knowledge & Abilities):
- Three years of experience on a retail operation, point of sales system and use of Microsoft office programs.
- Must be passionate about handling all aspects of a retail operation, compliance and inventory control.
- Excellent and effective consulting skills.
- Exceptional interpersonal skills, including listening.
- Excellent written and verbal communication in English and Spanish and non-verbal communication skills.
- Ability to detail and able to consistently follow up instructions as outlined.
- Ability to organize and prioritize work.

Job Summary
The Dispensary Associate is responsible for guiding a customer on their journey into cannabis by educating them on the benefits and potential side effects. In this role, you will need to be knowledgeable enough to speak to customers about various products and their effects while providing excellent customer service. The primary function of a Dispensary Associate is to facilitate a customer’s purchase per State regulations, while providing an exceptional customer experience.
Key Responsibilities
- Provide exceptional customer service to customers, guests, and coworkers.
- Provide empathy and compassion to patients.
- Provide the TruExperience through elevated patient service standards, behaviors, and product knowledge.
- Assist Assistant Managers and Shift Supervisors with returns in accordance with company policy.
- Prepare and process patient orders in a timely and efficient manor.
- Follow Trulieve Policies and Procedures.
- Work directly with the TruHost and Reception to enhance the customer experience.
- Assist customer with any product or device issues.
- Work with leadership and management to find solutions to customer issues.

Additional Responsibilities as Delivery Associate:
- Verify products on the manifests match the products in each delivery before leaving the facility.
- Communicate clearly to the customer, deliver product on time and safely.
- Maintain records for each delivery in accordance with state and federal law, as well as company policy.
- Process orders in the POS system and complete dispensation during each delivery.
- Keep cash and products securely locked in the green bins stored in the trunk of the vehicle.
- Inspect and maintain the delivery vehicles and all related equipment, putting in repair requests with management as necessary to maintain safe operation.
- Relay customer feedback, including concerns, complaints, damaged deliveries, returns, and competitive knowledge whenever it is presented.
- Monitor and evaluate safe work practices and maintain a safe work environment.
- Represent and uphold TruValues while facilitating in store-to-store transfers, patient deliveries, and service requests.

Education and Experience

The most essential skill and duty of any Manager On Duty (MOD) at Sanctuary is to provide an environment that delights not only the patient, but also the team they lead. This leader will assist in the development, and training of all Medical Marijuana Treatment Center (MMTC) associates as necessary, requiring current regulation and product knowledge while displaying leadership skills in line with company vision. In the absence of the GM and Assistant General Manager (AGM) the MOD will act as the GM and the closing and opening key-holder. MOD's are responsible for supporting the store in attaining goals, sales estimates, and revenue projections. Also, ensuring that marketing efforts are consistent in their location with brand standards, managing a budget, among other duties.

Assisting in the developing and training of MMTC Associates.
Ensuring a delightful patient experience through exemplary product knowledge and customer service skills.
Opening/Closing MMTC location as a key-holder.

Helping attain location goals such as sales estimates and revenue projections through team motivation.
Ensuring that the shift under their supervision adheres to company and industry compliance and regulations.
Ensuring that location meets company and industry safety and cleanliness standards.
Helping manage a budget and ensuring that the location operates within that budget.
Addressing operational problems that arise and appraising GM/AGM.
Ensuring that customer service levels are consistently excellent.

Making recommendations to the GM and AGM as required.

WHAT YOU WILL BE DOING
- Responsible for high quality patient customer service, retrieving patient information from the Medical Marijuana Use Registry, and maintaining confidential and HIPAA compliant paperwork
- Obtain the appropriate documentation from each patient at every delivery, ensuring validity of their identification and registration with Medical Marijuana Use Registry
- Record each visit using appropriate software, ensuring accuracy of patient information, and recording notes if necessary
- Collaborate with call center employees about preorders and online orders to ensure accurate order information and timeliness of delivery while maximizing sales and customer satisfaction
- Respond to and resolve patient requests, complaints, or compliments in person, and on the phone requesting supervisor support as needed
- Maintain a basic understanding of the Cannabis based therapeutics, and services provided at Company
- Educate patients on the processes of registration, renewals, and lost registration documents
- Maintain awareness of patient input and suggest changes to improve service or product
- Ensure all patient files are current and required documentation is on file and follows all guidelines issued by the State of Florida
- Communicate with employees to update online and physical pamphlets as needed
EXPERIENCE AND SKILLS YOU'LL BRING
Required
- Age 21 or over
- High School Diploma or equivalent
- Valid Government-Issued Photo ID
- 1 year or more of driving experience in the US or Canada
- Must have an established and a driving record in Good Standing.

WHAT YOU WILL BE DOING
- Act as the training ambassador and assist with new employee orientation, new product launch education and skill development of the team.
- Assume the role of Manager on Duty as needed responsible for operational tasks for opening, closing, banking and security of the store.

- Provide customers and caregivers with expert cannabis recommendations, discuss therapy goals, product effects, potency, dosing, methods of consumption, and administration.

- Accurately receive, prepare, and complete patient orders and sales utilizing point-of-sale (POS).

Job Title: Dispensary Associate

The Dispensary Associate is responsible for educating patients on the benefits and potential side effects of medication. In this role, you will need to know various products and their effects. The primary function of the Dispensary Associate is to provide excellent customer service and patient care while dispensing medication to patients and caregivers, per department rules.
KEY DUTIES AND RESPONSIBILITIES
- Provide exceptional customer service to patients, guests, and coworkers.
- Coordinate returns and exchanges in accordance with company policy.
- Print return/exchange forms for all stations and delivery.
- Update the Register Inventory sheet as needed.
- Assess inventory in the live inventory room, transfer items as needed, and complete daily inventory counts.
- Review inventory overages and shortages and submit inventory needs to the logistics.
- Review accessory needs with manager and order as needed.
- Enter merchandise into the point-of-sale system when received.
- Perform other duties as assigned.

- Follow Waitly guidelines and TruService Plan.
- Provide excellent customer service by displaying welcoming behaviors.
- Interact with patients waiting in the lobby.
- Charge iPads at the end of the shift.

WHAT YOU WILL BE DOING
Service
- Maintain a strong presence on the floor to build relationships with customers, support and develop the team and drive revenue.
- Serves as a role-model and resource for store staff concerning products and services, policies and procedures, industry news, and changes in regulations.
Sales/Financial
- Responsible for driving sales to meet and exceed targets. Assist the Store Manager in meeting all financial goals, including management of the P+L, payroll and store budgets.

Operations
- Responsible for the store's daily presentation including visual direction.
- Responsible for reading, interpreting, and communicating messages from Corporate Store Operations and takes proper action including updates bulletin boards and other communication avenues in store.
- Responsible for staff time management including timekeeping, scheduling and creating store schedules. Partner with the Store Manager to ensure staffing is prioritized to provide optimal schedules and ensure the best customer service is provided.
- Responsible for organization of all areas back of house which includes managing the supply budget, inventory oversight and maintaining stock levels.
- Conducts audits and maintain accurate records of all activities including customer records and enforce a culture of compliance for all activities with strict adherence to the State of Florida Office of Compassionate Use and Florida Statues for a Medical Marijuana Treatment Center, as well as regulations set forth by local, state, and federal agencies.

WHAT YOU WILL BE DOING
- Provide deliveries, acting as a driver or passenger while delivering exceptional service for our customers
- Obtain the appropriate documentation from each patient at every delivery, ensuring validity of their identification and registration with Medical Marijuana Use Registry

Position Overview:
The Manager, Retail Operations is responsible for assisting the General Manager in interfacing, consulting with qualified patients and caregivers, and administering approved medical marijuana products. The Manager, Retail Operations oversees all activities related to the operation of the Dispensing Facility to include patient identification and registration, record retention, product tracking, and inventory control as directed by the General Manager.
Major Areas of Responsibility include:
- The Manager, Retail Operations ensures compliance with all Compassionate Use of Medical Cannabis Pilot Program rules and regulations governing the Act, and directly supervises the activity within the dispensary to include dispensary staff training and education in the absence of the General Manager and as directed.
- Provides management and leadership in the Dispensing Facility to include monitoring all point of sale transactions.
- Manages patient-specific logs as required, the receipt, storage and auditing of all inventory, and is responsible for ordering new inventory and supplies, and maintaining accurate records using BioTrackTHC, the Dispensing Facility’s inventory tracking software program.
- As the responsible party at the Dispensing Facility, this position resolves all inventory discrepancies and patient-staff conflicts.
- The Manager, Retail Operations is responsible for the development of the Dispensing Facility’s privacy policies and procedures, the security and confidentiality of all patient information, and overall compliance with HIPAA.
- This position acts as a liaison internally between all staff, the dispensary management team, and the General Manager, and externally between the Dispensing Facility and law enforcement, the Commissioner of Health, and the local community.
- Directs and monitors department managers to accomplish goals of the plan, consistent with established safety procedures.
- Establishes methods to follow the operating plan in compliance with the Compassionate Use of Medical Cannabis Pilot Program, maintaining records required by public health law and ensures quality assurance plans, including but not limited to plans to detect, identify and prevent dispensing errors related to product packaging and labeling.
- Manages and implements policies and procedures for any retesting of returned approved medical marijuana products, storage and disposal and meeting reporting requirements for adverse events, and product recall.
- This position is responsible for assisting with implementing and maintaining security systems for tracking, record-keeping, record retention, and surveillance related to all product at every stage of storage, delivery, transporting, and distribution.
- Development of an employee-oriented company culture that emphasizes quality, continuous improvement, teamwork, and high performance.
- Implements HR policies and programs in support of company initiatives. Directs all compliance efforts for the company to minimize risk.

WHAT YOU WILL BE DOING
- Provide deliveries, acting as a driver or passenger while delivering exceptional service for our customers
- Obtain the appropriate documentation from each patient at every delivery, ensuring validity of their identification and registration with Medical Marijuana Use Registry

Position Overview:
The Patient Intake Coordinator is responsible for greeting patients, setting up the patient record in our system and for providing an exceptional patient experience. Under general supervision, enters data from various source documents into computer system for storage, processing and data management purposes. Verifies the accuracy and veracity of the status of all qualifying patients and designated caregivers who come to our dispensary using proper identification and verification protocol. The Patient Intake Coordinator maintains a visitor log limiting access to the dispensing facility. Answer inquiries independently in accordance with policy.
Major Areas of Responsibility include:
- The Patient Registration Representative must ensure that visitors are escorted, monitored and that authorized identification badges are issued in compliance with State law.
- Collects and manages informational documents to support data integrity.
- This position ensures all intake forms and other paperwork is properly completed and filed correctly, then enters all appropriate information into the POS.
- The Patient Intake Receptionist confirms patient purchase limits prior to admission into the consultation area and informs the appropriate pharmacist of such limits.

- Ensure that transactions are complete, timely, and accurate and conform to internal policies and external regulations.

Position Overview: Delray Beach, FL
The Assistant General Manager is responsible for assisting the General Manager in interfacing, consulting with qualified patient and caregiver and administering approved medical marijuana products. - As the responsible party at the Dispensary, this position resolves all inventory discrepancies and patient-staff conflicts.
- The Assistant General Manager is responsible for the development of the Dispensary’s privacy policies and procedures, the security, and confidentiality of all patient information, as well as overall compliance with HIPAA.
- This position acts as a liaison internally between all staff, dispensary management team and the General Manager, and externally between the Dispensary and law enforcement, Commissioner of Health, and the local community.
