Position Overview

Looking for someone that is comfortable in a fast-paced working environment and enjoys working with people; flexible and does not mind wearing several hats at one time. This is an Office Coordinator position in the Human Resources office. This position will perform duties in several areas of human resources. This position is the receptionist for ICJIA; post and fill vacancies utilizing Success Factors; assist management and staff in human resources areas; prepare reports; research training opportunities for staff; submit job descriptions for review; and participate on the employee activities committee and coordinate events. Job Responsibilities

Serves as the office reception coordinator for ICIA; greets high level government officials form statewide criminal justice agencies, representative of the press, agency staff, and the general public; responds to all phone and in person inquiries exercising discretion and judgment in conducting involved searches; directs calls to appropriate unit for resolution; provides visitors with visitor’s daily log for signage and provides proper identification badges for security clearance upon entering and departing from agency. Responds to inquiries through oral and written communications; sorts and delivers incoming mail.

Under direction, posts positions in Success Factors for the Springfield and Chicago offices and works closely with CMS Hiring Lead; provides guidance to managers, subject matter experts (SME) and interviewers throughout the process; provides training as needed; makes offers to candidates; secures all approvals needed to finalize the hiring of candidates; onboards new employees; participates on interview teams as needed.

Functions as a training coordinator, prepares and maintains schedules, tracking systems, records, and reports. Confers with managers to coordinate training participation and scheduling. Develops complex, integrated spreadsheet applications to prepare comprehensive reports, data tables, charts, and graphs: updates staff on available training; sends out training registration forms and materials; research training available to employees.

Gathers information, prepares, and maintains monthly human resources reports; creates and maintains spreadsheets and personnel files; updates and maintains job descriptions; tracks evaluations and sends out evaluation forms.

Assists new employees with e-time setup. administers e-time training for new staff; facilitates new employee orientation; sends out new hire paperwork and tracks the return of documents.

Provides administrative support to Human Resources Director and Executive staff as needed. Participates on the agency activities committee and coordinates employee activities

Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1. Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.

2. Requires ability to keyboard accurately at 30 words per minute

• Take ownership of documenting workflow and procedures, updating existing processes, and proactively finding opportunities for process improvement
• Maintaining confidential employee e-files ensuring accuracy and compliance
• Update and maintain employee data in systems to support data integrity
• Assist the Operations Team with various projects and initiatives as needed

Requirements:

• Bachelor’s degree with 1-2 years of Human Resources experience, cannabis industry experience a plus
• Must be 21 years of age and able to obtain and register for a retail cannabis badge in Illinois
• Capable of lifting up to 20 pounds unassisted

Job Title: Human Resources Coordinator

Position Objective:

The primary objective of this role will be to provide Human Resources support to the People & Culture team at Schwazze. This is a hands-on tactical role that provides support in the areas of recruitment, human resources, L&D, employee engagement and HR systems and technology.
Essential Functions:
RECRUITMENT (50%):
Work closely with the Talent Acquisition (TA) team and Hiring Managers (HM) to edit job descriptions, post open positions on various platforms, and schedule and conduct interviews.
Coordinate the offer/hiring processes and assist with new employee onboarding and orientation.
Coordinate interview scheduling and travel, as needed. Manage and communicate all interview details to internal teams.
Build, publish and manage job postings and campaigns on career website, LinkedIn, Indeed and other job boards. Assist with marketing initiatives, including ads, direct mail campaigns, Internet postings, etc.
Support recruiter in generating offers and contracts to candidates.
May conduct initial resume reviews for positions with high volume applicants in support of the TA team.
Conduct independent sourcing via social recruiting, networking, job postings, etc.
Coordinates local and regional recruiting events and maintains event calendar; Participate in Job Fairs representing Schwazze
Assist managers and TA team with basic recruitment issues (i.e., HRMS TA module technical support and assistance, candidate status in the process, TA process questions).
Monitor onboarding additions and changes and support the requirements that each activity creates
Coordinate and communicate with candidates regarding onboarding tasks required to be done prior to start date (i.e., finger printing, MED badge, I-9 verification, badge photos).
HR OPERATIONS/ADMINISTRATION (50%):
Become HRMS subject matter expert. Maintain HRMS data integrity. Support the HR team in leveraging and optimizing all facets of HRMS.
Create new hire files (e.g., interview documents, I-9s, offer letters, etc.); maintain on-going accuracy of personnel files.
Support HR team by participating in and developing DEI, engagement, retention events and compliance activities.
Support HR team in the development, revision and implementation of new and existing policies within the organization.
Support business and HR team in offboarding process.
Run reports and provide analytics related to people metrics.
Leverage technology, facilitate communication and coordinate the administration of multiple HR processes.
Process requests for verification of employment, unemployment and other basic employee or manager inquiries.
Provide admin support for Learning & Development, to include but not limited to LMS administration, course content review and/or creation, training coordination/planning, etc.

Education & Experience Required:

Job Summary
The Human Resource Coordinator will support our team in Eastern PA. administers employee health and welfare plans and acts as liaison between employees and insurance providers. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. The Human Resource Coordinator makes certain that plans are administered in accordance with federal and state regulations and that plan provisions are followed. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry.

Duties and

• Oversees the administration of employee health/dental/vison and welfare plans including enrollments, changes, and terminations
• Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions

Your Role
This position is responsible for interfacing & problem solving with a number of business partners. as well as providing HR administrative and transactional support. Day to Day

Job Overview

The Human Resources Specialist reports to the President and receives additional direction and support from the HR Director. The Generalist is accountable for overseeing all HR-related responsibilities for Halo Collective and Budega Retail stores within the CA market. The HR Generalist works as an HR Business Partner to the Operations team and as a partner to the field operations team to align company goals and objectives with the day-to-day operations. The goal outside of operations partnership is to meet local, state, and federal compliance. This role must be filled by an individual with experience in leading the HR function with outstanding people skills and progressive knowledge of HR laws and regulations. The HR Generalist must be proactive in a way that ensures efficiency, risk management, engagement, continuous improvement, and talent development.

The HR Generalist is responsible for providing best in class full-cycle People Relations services, working across the business to improve upon ways of working, efficiencies, and proactive approaches to leading people and managing processes. The person in this role should bring best-in-class HR experience, be proactive, extremely organized, possess a high work ethic, excellent communication skills, full and complete knowledge of labor regulations and HR practices, strategic thinking, strong organizational skills, and excellent interpersonal skills.

Key Roles (Essential Job Responsibilities)

• Onboarding Experience: Facilitates the new employee experience tasks through our onboarding platform, sends new hire communications, initiates background checks, orders hardware/software equipment, coordinates equipment delivery with Operations, conducts check-ins with new hires, and ensures completion of new hire safety and training requirements.
• Offboarding Experience: Arranges exit interviews, processes exit paperwork and transactions for departing employees, coordinates return of assets with Operations team, works with payroll team to process final pay, and closes all appropriate exit items.
• Data Integrity: Responsible for collecting, entering, and auditing employee data in our people systems (HRIS, performance, learning and development, Internal Communication platform).
• Administration & Communications: Assists with payroll transactions, calculates overtime for non-exempt employees, benefits administration, and workers’ compensation claim administration. Prepares correspondence for employees due to work/life events (i.e., offers, salary increases, relocations, transfers, exits, unemployment, etc.), audits employee population for local/state/federal compliance standards etc.
• People Initiatives/Programs: Assists with internship program, open enrollment, mentorship program, and similar programs. Partners with learning and development on logistics of trainings and initiatives. Partners with HR Director and the Operations Team on continuing to drive agency culture through training and development initiatives, social events, team meetings, etc.
• Training & Development: Implement and train employee on Company Handbook, Standard Operating Procedures (SOPs), ensuring compliance with these important policies and procedures. Oversee safety and compliance trainings including harassment prevention training.
• People Matters: Assists with Leave of Absence (LOA) requests, resolves everyday transactional questions (like benefits & policies), oversee ADA accommodation request and interactive process, directs employees to the right tools/resources.
• Employee Relations: Assists with HR related investigations, complaints, employee grievances and provides consultative recommendations to business partners and department heads. Draft incident reports, investigation reports, and similar documentation.
• Performance Management: Support disciplinary process, using creative problem solving and actionable steps in recommending corrective action. Tae appropriate disciplinary action against employees who violate rules and regulations. Draft performance improvement plans. Coordinate performance review process to ensure timelines are met and records are accurately maintained. Lead termination procedures, as needed.
• Compensation Management. Tie performance appraisals to compensation structure and conduct compensation analysis to ensure pay sales match industry and location standards.

General Responsibilities

• Anticipating the needs of the supporting department heads.
• Responsible for recruiting for all levels from executive recruitment to front line team members.
• Administrative tasks related to the Human Resources and Employee Relations functions.
• Contribute to, and may have project ownership of, certain processes for HR-related initiatives.
• Manage headcount and create job descriptions for open positions.
• Partner with leadership to create, plan, and execute culture building activities and events.
• Support team with ad hoc projects as needed.
• Support and facilitate organizational changes.
• Mentor and provide guidance to all internal clients on career development and succession planning.

Additional Responsibilities

• Oversee administrative functions of retail scheduling and auditing.
• Training on local, state, and federal laws to protect the interest of the entire organization.
• Partner with legal to ensure that we are complaint with reporting, documenting and any vulnerabilities.
• Additional duties as assigned by leadership team.

Education and Experience

· Proven consulting and/or change management experience.

· Proficient in Excel and other compatible MS programs.

· Experience in cannabis and retail industry preferred.

· SHRM certification or other HR industry equivalent.

PURPOSE OF THE JOB

The Project Coordinator will support the Chief People Officer with projects and day-to-day Human Resources department operations. The Project Coordinator will provide high-level support on a variety of projects and tasks including recruitment and employee onboarding, preparing for large scale meetings, assisting with presentation development, analysis of data and report preparation for the Commission. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

• Collaborate with other staff to support the planning and logistics of large events such as public meetings with internal and external stakeholders;


• Develop or assist with developing fact sheets, posters, brochures, PowerPoint presentations and other materials for Commission presentations;
• Write and produce material for the Commissions website regarding department activities;


• Assist staff at meetings, networking events and workforce forums as requested;


• Assist in the collection and management of information for the purpose of analyzing data and trends; and

OTHER DUTIES AND RESPONSIBILITIES

THE OPPORTUNITY

The Human Resources Coordinator will manage and administer all HR-related duties professionally in support of the manufacturing facility, including reporting, employee relations, training, performance management, onboarding, policy implementation, full cycle-recruitment, and employment law compliance. • Own onboarding tasks such as conducting reference checks, scheduling interviews, sending out assessments, processing new-hire paperwork, and maintaining employee files

As a AZ Dispensaries Human Resources Coordinator - I, You are entrusted with the responsibility of caring for our employees, their families, co-workers, visitors and all others that are a part of our team. The primary purpose for this position will perform human resources and payroll processing related functions and assist in the operations of HR functions and duties by carrying out the responsibilities in the following functional areas: benefits administration, employee relations, performance management, on-boarding, policy interpretation and implementation, recruitment and employment, labor relations and employment law compliance.

Job Functions

As Human Resources Coordinator - I, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. No direct supervisory function. You will report directly to the Director of Operations to re-align efforts on a regular basis.

Duties And Responsibilities

Administration

· Assists in the implementation, and administration of Human Resource policies and procedures to ensure compliance, also ensures policies and procedures are consistently and fairly applied to all employees.

· Maintains personnel files in compliance with company standards and applicable state and federal guidelines.

· Advises managers, supervisors and employees on human resource, bookkeeping, compliance and other policies.

· Provides information and consultation regarding employment issues (i.e. transfers, promotion/demotion, etc.)

· Maintains accurate employment records and files.

· Enters all new hire I-9s into E-Verify federal database and maintains Center’s I-9 binder.

· Manages the Worker’s Compensation and Safety Program at the facility level.

· Responds to unemployment claims & filing appeals.

Employee Relations

· Assists departments with personnel/payroll related inquiries; advises and assists on current departmental HR procedures related to employee records; coordinate employee engagement activities and act as liaison between departments and staff.

· Responsible for the timely entry of new hires, pay rates, pay status changes and termination information of all employees into the Center’s payroll and timekeeping systems.

· Provides day-to-day performance management guidance to employees and managers; creates performance management documentation of such.

· Assists with the effective and thorough investigations of employee complaints and employee relations issues.

· Assists in the development of employee reward and recognition efforts.

· Oversees the employee on-boarding process to include New Hire Orientation, assimilation into the Company’s culture, mission and core values.

· Assists in the preparation and review of all employees corrective counseling documentation.

· Manages unemployment compensation (UC) program at the facility level, representing the Company at UC hearings.

· Manages and tracks WLB, VHS, PTO/EIB and FMLA requests and paperwork received.

Payroll Processing

· Reviews and imports employee time card information into the payroll system.

· Checks figures for accuracy and necessary approvals.

· Reviews payroll documentation for accuracy and makes any necessary adjustments.

· Researches and resolves questions from managers and employees as they relate to the processing of payroll information such as WLB, VHS, EIB, banking, garnishments, employment verifications, workers compensation, retroactive pay calculations, tax questions, and other changes.

· Communicates with Corporate Payroll to ensure the integrity of the payroll data including data related to new hires, terminations, transfers and rate changes.

· Processes special payrolls including the annual bonus and year-end adjustment payrolls.

Labor Management

· Maintains the facility’s Daily Staffing Report to ensure facility is adhering to state specific guidelines.

· Reconciles attendance daily with employee timesheets against schedule and time in/time out reporting.

· Maintains running report of attendance incidents.

· Ensures hours are accurately accumulated and categorized in a format compatible with company and department payroll procedures.

· Monitors attendance and schedule adherence.

· Assists with the coordination of programs designed to improve the productivity of employees, including training, talent acquisition and performance evaluation.

Recruitment and Retention

· Assists department heads with staffing needs to include hosting/attending job fairs.

· Partners with Creative Services in developing/placing employment advertisements and networking within local employment resources and the local employment community.

· Assists in implementing Center-sponsored recruitment and retention programs; assisting department heads in the development and implementation of programs designed to improve staff recruitment and retention.

· Reviews applications/resumes; evaluating applicant skills and making recommendations regarding applicant qualifications.

· Initiates and conducts employee background checks, OIG verifications, license/certification verifications, reference checks and completing employment verifications.

· Assists in planning, developing, organizing, implementing and evaluating HR functions and activities of the facility.

Education And Experience

· Must possess, as a minimum, a high-school diploma. College Bachelor's Degree in Human Resources, Business Administrator, or a related field is preferred.

· 2+ years of experiences as HR/Payroll Administration

· 1+ years of experience with recruitment and retention preferred

· Effective teamwork and interpersonal skills

· Strong communication and organizational skills.

· Knowledge of administrative practices and procedures as well as laws, regulations and guidelines pertaining to employment, wage and hour, and labor relations, etc.

· Working knowledge of payroll processing. ADP, system experience preferred.

· Ability to work effectively with computer systems.

· Exceptional customer service experience as this position may sometimes cover the front desk, answer telephone calls, and greet facility visitors.

· Must possess, as a minimum, a high-school diploma. College Bachelor's Degree in Human Resources, Business Administrator, or Health Care Management is preferred.

POSITION SUMMARY

The HR/Office Administrator will be responsible for assisting in managing the Companies growth. There will be a wide range of tasks involved from keeping the office organized to assisting with onboarding employees, payroll and managing aspects of the employee portal. This individual must be a people person, patient, kind and able to work well with others.

• Perform a variety of administrative and clerical tasks
• Processing mail and organizing AR/AP
• Scan and fax invoices and receipts
• Responsible for new hire and renewal of agent registration forms, creating and organizing files.
• Assist with vendor relations for new store/building opening
