GENERAL SUMMARY OF DUTIES: The Inventory Clerk is responsible for assisting with accurate daily, weekly, and monthly inventory of cannabis and ancillary products within the dispensary. Ensure all products are not expired and products are properly packaged are not damaged or leaking. Will work inside the vault room to pick orders from within the dispensary and will prepare on-line express reservations for pickup.

TYPICAL WORKING CONDITIONS: Work is performed in a busy cannabis dispensary. Will be in almost constant contact both staff and patients. Work can be fast paced and may include dealing with multiple individuals. Must be available to work varied hours and/or days, including nights, weekends, holidays, or possibly city events.

- Receives new prescriptions and enters information into the Practice Management and Electronic Health Record System.
- Processes medication labels.
- Answers and directs phone calls.
- Handles prescription refill requests.
- Stocks and stores medications and vaccines.
- Regulates stock levels, including forms and supplies for the department, including prescription pads for medical providers, Liquid Nitrogen, Oxygen tanks, and Nitrous Oxide.
- Orders medications through the software system.
- Return of outdated/expired, recalled and overstocked items for credit and disposal.
- Handles and completes Prior Authorization and T.A.R. (Medication Treatment Authorization Request) with Medical Providers approval.
- Maintains the Log Binders for Sample Medications, Provider Administered Medications and the $10 Medication Program.
- Maintains accurate logs of transferred medications/vaccines and prescriptions.
- Inventory of stock medications at monthly intervals.
- Responsible for performing customer service duties.
- Updates the system with the appropriate patient information.
- Responsible for maintaining an accurate tracking system of the patient’s application process, status and refills on the Patient Assistance Program.
- Prepares the Patient Assistance Program medications for patient to pick-up with Medical Providers.
Professional & Technical Knowledge:
- Must possess a high school diploma or General Educational Development (GED) certificate.

This person serves as the primary staff person assigned to the clinic dispensary in one of the School of Dental Medicine clinics- Advanced Care, Orthodontics/Pediatric Dentistry, Comprehensive Dentistry, Faculty Practice, and the Clinical Research Center. The University of Pittsburgh Dental Medicine Implant Center is seeking a Dispensary Clerk. The duties of the Dispensary Clerk will include maintaining an aseptic environment, following OSHA and infection control, following HIPAA guidelines, maintaining and dispensing inventory and instruments. Dent Med-Dental Instruments - Pennsylvania-Pittsburgh - (20006328)
The School of Dental Medicine is seeking a Dispensary Clerk with primary responsibility for distributing instruments and supplies in the student dental clinic, where third- and fourth-year student dentists treat patients with oversight and direction from faculty.
As a member of the broader Instrument Management Service staff, the incumbent will also be expected to learn and participate in all phases of preventive maintenance and sterilization of instruments.
This position requires basic computer skills, strong service orientation, and the ability to work as an effective member of a team. Experience in healthcare and knowledge of standard sterilization practices within a clinic setting are desirable, though not mandatory.
Associate degree or career certificate preferred. Experience in healthcare settling and/or knowledge of standard sterilization practices within a clinic setting are a plus.

Position Summary Information
Primary Purpose
Under the supervision of the Procurement and Inventory Manager, performs various duties related to general operations of the store and oversees inventory management for apparel, insignia, and general merchandise items.
Essential Functions
1. Correspond with vendors regarding payments, invoices, investigate discrepancies and outstanding issues; match supporting invoices to procurement documents and/or request documentation as needed; process invoices for payment.
2. Correspond and meet with various vendors and sales representatives regarding merchandise.
3. Maintain vendor database; generate and organize vendor files.
4. Maintain sign-outs, and pick-up logs. Use AxiUm as required for instrument and equipment check out and control. At end of School Year Summarize list of students who have not returned Clinic items and provide this information to Clinic so they can charge students who lost equipment.
5. Assist with annual inventory, annual preparation of student kits, and annual student smock and glove orders.
6. Work with students, faculty and staff on special requests/orders. Before each term ensure special Faculty Course Director’s orders for supplies and testing teeth are obtained from Clinic Supply and vendors in time for scheduled classes.
7. Assist with day-to-day operations; answer telephones, perform cashiering duties and provide customer service to customers via phone, email, fax, and in person; stock and organize displays; open and close store as needed.
8. Compose correspondence, create flyers and notifications relating to store policies and news.
9. Design, select, order and monitor apparel and insignia merchandise that appeals to customer base and favorably represents the University’s brand; introduce new apparel, and insignia.
10. Use POS system to place/receive/post merchandise orders, print barcodes, and track sales.
11. Analyze and monitor sales records/reports, trends, and economic conditions to anticipate customer buying patterns.
12. Provide coverage for other staff as needed.
13. Perform all other duties as assigned by the Procurement and Inventory Manager.
14. This position supports SimLab training and a primary duty is assisting Students to obtain the materials and equipment they need for their instruction and sales of those items that students chose to purchase. Respectful interactions with students, staff and faculty is essential in all 5th floor Student Store Dispensary interactions.

3. Type 35-40 wpm
Experience:
1. Minimum of two years administrative experience, preferably in a higher education setting or retail environment.
2. Buying/inventory control experience desirable using a computerize data base system.
3. Background in art and design helpful.
4. Previous experience using an electronic cash register helpful.
Education:
Bachelor’s degree in related field preferred

Position Summary Information
Primary Purpose
Under the supervision of the Procurement and Inventory Manager, performs various duties related to general operations of the store and oversees inventory management for apparel, insignia, and general merchandise items.
Essential Functions
1. Correspond with vendors regarding payments, invoices, investigate discrepancies and outstanding issues; match supporting invoices to procurement documents and/or request documentation as needed; process invoices for payment.
2. Correspond and meet with various vendors and sales representatives regarding merchandise.
3. Maintain vendor database; generate and organize vendor files.
4. Maintain sign-outs, and pick-up logs. Use AxiUm as required for instrument and equipment check out and control. At end of School Year Summarize list of students who have not returned Clinic items and provide this information to Clinic so they can charge students who lost equipment.
5. Assist with annual inventory, annual preparation of student kits, and annual student smock and glove orders.
6. Work with students, faculty and staff on special requests/orders. Before each term ensure special Faculty Course Director’s orders for supplies and testing teeth are obtained from Clinic Supply and vendors in time for scheduled classes.
7. Assist with day-to-day operations; answer telephones, perform cashiering duties and provide customer service to customers via phone, email, fax, and in person; stock and organize displays; open and close store as needed.
8. Compose correspondence, create flyers and notifications relating to store policies and news.
9. Design, select, order and monitor apparel and insignia merchandise that appeals to customer base and favorably represents the University’s brand; introduce new apparel, and insignia.
10. Use POS system to place/receive/post merchandise orders, print barcodes, and track sales.
11. Analyze and monitor sales records/reports, trends, and economic conditions to anticipate customer buying patterns.
12. Provide coverage for other staff as needed.
13. Perform all other duties as assigned by the Procurement and Inventory Manager.
14. This position supports SimLab training and a primary duty is assisting Students to obtain the materials and equipment they need for their instruction and sales of those items that students chose to purchase. Respectful interactions with students, staff and faculty is essential in all 5th floor Student Store Dispensary interactions.

2. Operate computerized cash register and perform accurate cashiering transactions.
3. Type 35-40 wpm
Experience:
1. Minimum of two years administrative experience, preferably in a higher education setting or retail environment.
2. Buying/inventory control experience desirable using a computerize data base system.
3. Background in art and design helpful.
4. Previous experience using an electronic cash register helpful.
Education:
Bachelor’s degree in related field preferred

Responsible for all reception duties including scheduling appointments, customer service and retail sales. Job Focus

The Dental Dispensary Clerk in the School of Dentistry is responsible for requisitioning, dispensing and maintain supplies and equipment in the assigned clinical dispensaries. This position assigns chairs to students and report clinic equipment malfunctions to the dental maintenance area. This position is responsible for sterilization of equipment assigned to the dispensary.
- Requisitions supplies for the appropriate clinical area. Issues supplies and equipment to dental students working in the appropriate clinical area.
- Assigns chairs to students in the appropriate clinical area. Maintains inventory of supplies needed for the appropriate area.
- Sterilizes, disinfects all instruments and equipment using autoclaves or chemical disinfectants. Answers the telephone, take messages for persons working their clinical area.
- Issues and collects dental equipment to and from students working in the appropriate area. May assist with student examinations. Keeps reports on patients seen in the appropriate clinical area. May perform routine maintenance on dental chairs and units.
- Performs other related duties as assigned.
