The Coordinator, Donor Retention & Cultivation assists in supporting omnichannel strategies that provide the donor a consistent experience and leads day-to-day retention production management.
Principal Duties and Responsibilities (*Essential Duties)
Renewal Program Creation and Execution:
- Lead the internal creative campaign approval and quality check process for email/online and direct mail; recommend enhancement to internal processes. *
- Create, revise and optimize direct response content calendar, and archive the email/digital and direct mail appeals. *
- Collaborate with internal colleagues to conceive and recommend content for the integrated renewal program across all direct response channels. *
- Help to manage campaigns and serve as primary day-to-day point of contact (POC) to vendors to lead day-to-day production. *
Integrated Fundraising Support:
- Contribute to Direct Response initiatives and fundraising campaigns as requested.
- Become knowledgeable on all Direct Response marketing channels currently part of USO’s investment portfolio.
- Support manager on Matching Gift Campaigns, ensuring adherence to internal SOPs and that donor stewardship reports are completed in timely manner. *
- Other duties as assigned.
Job Specifications
- High school diploma or equivalent. Bachelor’s Degree in Marketing, Communications or a related field is preferred.
- 0-2 years of work experience, preferably in a development support role.
- Organized with well-developed project management skills and time management disciplines.
- Strong interpersonal and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
- Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
- Limited knowledge of basic business and accounting functions including project management and budgeting.
- Demonstrated initiative/self-motivation, with the ability to quickly and easily adapt to changing organizational needs.
- Proficiency using computers and electronics equipment. Working knowledge of various software, applications, and programs including but not limited to Microsoft Office Suite.
- Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
- Must be a strong advocate of the USO’s mission.

The Specialist, Donor Retention & Cultivation assists in developing and implementing omnichannel strategies that provide the donor a consistent experience; leads day-to-day retention production management and ensures program adheres to direct marketing growth objectives.
Principal Duties and Responsibilities (*Essential Duties)
Program Creation and Execution:
- Assist manager in partnering with Development leaders to establish goals and plans for direct marketing and contribute to their execution.*
- Lead the internal package approval and quality check process for direct mail and email/online; recommend enhancements to internal processes.*
- Create, revise and optimize direct response content calendar, and archive the direct mail and email/digital appeals.*
- Collaborate with internal colleagues to conceive and recommend content for the integrated renewal program across all direct response channels.*
Vendor Management:
- Help to manage campaigns and serve as primary day-to-day point of contact (POC) to vendors to lead day-to-day production.*
- Ensure vendors and subcontractors’ quality and service levels meet expectations and advise manager on assessment.*
Budget Management:
- Assist in annual revenue and expense planning, budgeting, and reforecasting efforts for offline and online programs.*
- Assist manager in tracking invoices and adhering to the annual budget.*
Reporting & Analysis:
- Assist with benchmarking and reporting on direct mail package and email/digital campaign performance. Make recommendations where appropriate.*
- Help analyze the USO direct response file health and optimize tactics based on results.*
- Other duties as assigned.
Job Specifications
- Bachelor’s Degree, in Marketing, Communications or related field preferred.
- 3 - 5 years of work experience in a development or fundraising role within a direct mail or email program in the commercial or charitable sectors.
- Campaign planning experience including retention and cultivations strategies, loyalty programs and segmentation planning.
- Knowledge of regulatory standards governing direct mail, email, solicitation operations.
- Experience working with strategic vendors, print houses, and caging facilities preferred.
- Strong interpersonal, problem-solving and organization skills. Ability to interact with different departments, the general public and military audiences at a variety of levels with integrity and professionalism.
- Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
- Working knowledge of basic business functions including project management.
