Inventory Manager
Reports to: General Manager (GM)
Job Location: Ellicott City, MD
The Inventory Manager is responsible for inventory management throughout the facility. Under the direction of the General Manager (GM), the Inventory Manager oversees the process and best practices of efficient and compliant handling of Trilogy’s products and supplies to ensure the attainment of business goals. The Inventory Manager ensures the daily inventory reconciliation with sales reports, organization of stored and quarantined products, performs daily audits, creates and implements inventory control procedures and develops related staff training. The incumbent must ensure that all operational business segments are coordinated in driving accurate and compliant supply levels and fulfilment of Trilogy’s sales objectives. The Inventory Manager is responsible to drive the accurate and timely fulfilment of orders placed by the dispensary’s patients by successfully managing, monitoring, and reporting on Trilogy’s product inventory.
Responsibilities
- Receive, unpack, and inventory consumable goods. Monitor and maintain inventory ensuring data is entered and accurate in METRC and store POS.
- Track movement of all cannabis within the dispensary. Maintain and record all cannabis inventory transfers, both physically and via tracking software. Investigate and resolve discrepancies and notify the appropriate parties. Ensure inventory transactions are entered in a timely manner and updated in respective platforms.
- Create and maintain necessary records and inventory reports for all cannabis products to be sold. Conduct detailed inventory audits.
- Coordinate communication with Dispensary Manager regarding inventory movement, including packaging, testing, and waste destruction, among other tasks.
- Ensure all cannabis reconciliation is completed daily including matching physical inventory to METRC inventory.
- Ensure department remains fully compliant with state rules and regulations and Trilogy’s policies and procedures.
- Coordinate with General Manager to fulfill dispensary orders and approve invoices.
- Distribute reports as needed around inventory management, order fulfilment, and other inventory related data. Monitor and manage inventory holding costs.
- Learn various internal Inventory Control Systems, including METRC and Cannapoint.
- Remain current and knowledgeable about Trilogy’s inventory software systems and recommend system improvements and customization, when applicable.
- Learn and maintain continual awareness and understanding of the rules and regulations that govern MMCC program.
- Participate in strategic discussions with Dispensary Manager to promote streamlined efficiency and best in class customer satisfaction. Establish policies to ensure organization, sanitation and compliance is met in all storage locations
- Work with General Manager in planning and executing processed cannabis products and fulfillment and product delivery.
- Develop and maintain professional and positive relationships with external vendors in order to effectively negotiate competitive pricing and inventory.
- Process cannabis waste in accordance with state and local law and within regulatory guidelines.
- Engage in innovative and constructive problem solving dialogue with internal peers.
- Perform administrative duties when needed such as data entry, data transmitting, phone answering, communication drafting, etc.
Qualifications
Education
- Associate’s Degree required; Bachelor’s Degree in business management, project management or related field preferred
Experience
- 3 years in an inventory control setting required
- Experience in the medical cannabis industry and knowledge of dispensary or pharmacy operations, COMAR regulations for medicinal cannabis strains and their medical efficacy is a plus.

Job Summary
The receptionist role is an integral in creating a warm and welcoming environment upon entering the dispensary, maintaining a steady flow of patients, directing phone calls and adhering to state compliance. The receptionist greets and registers patients, caregivers (collectively referred to as "Patients") and visitors. They will verify patient documentation and qualified registered patient status and register visitors in accordance with regulatory requirements and Trilogy Wellness policies and procedures.
Responsibilities
The Receptionist is the point of contact for the dispensary’s patients, visitors, and vendors. In order to perform efficiently and effectively, the receptionist will need to excel in the following responsibilities:
- Ensure patients expectations are exceeded by directing and communicating patient needs effectively and efficiently
- Maximize patient flow, by organizing, tracking and communicating with other associates and patients to maintain an efficient office
- Input medical records and maintain patient files

Job Summary
The Dispensary Co-Manager (DCM) is responsible to oversee and direct all day-to-day operations of the Dispensary, in tandem with the Dispensary Manager, including supervisory responsibility for all team members. The DCM will monitor reports, oversee the storing, tracking, counting, and safekeeping of cash, cannabis and other ancillary products, and will be part of the team that performs inventory audits for the Dispensary. The DCM is accountable to uphold the Company mission and values, lead the Dispensary team to accomplish the goals set forth for the Company, and ensure that the team always delivers exceptional patient service. The DCM will play a critical role in the onboarding, training and development of support managers and Wellness Advisors. Responsibilities
The Dispensary Co-Manager will excel at the following:
· Maintain strict compliance with all Company policies and applicable laws; Maintain records according to State law and Company policy. Conduct compliance audits to evaluate any potential compliance issues. Ensure compliance with all Dispensary SOPs, review processing metrics and work to improve efficiency. The Dispensary Manager is responsible for ensuring the smooth operation of the dispensary by overseeing and directing all day-to-day operations across all Assistant Managers, Managers in Training and Wellness Advisors. The successful candidate will possess demonstrated leadership experience in managing a retail sales force, adaptability and flexibility to adjust in a rapidly changing environment, and excellent organizational and interpersonal relationship skills. S/he will have outstanding customer service skills, a problem-solving attitude, strong desire for self-improvement, attention to detail, management abilities, and solid administrative/clerical and time management skills. The Dispensary Manager is also responsible for upholding the mission and values of the company and ensuring that his/her team delivers Patient Service Excellence at all times.
Responsibilities
The Dispensary Manager is responsible for leading a dispensary team to accomplish the goals set forth for the company. To accomplish these goals, the Dispensary Manager will excel at the following:
Leadership/ Customer Service
· Become a subject-matter expert and serve as a brand ambassador both on and off the job
· Train, supervise, evaluate, and mentor staff in the areas of customer service, operations/ processes, safe dosage and other aspects of the medicine
· Interact with, educate, and advise patients face-to-face and by phone; Personally deliver superior customer service at all times
· Consistently model professionalism; Serve as a role model to staff during periods of high stress and ambiguity
· Develop creative solutions to complex problems and strategic plans for dispensary activities
· Recruit, hire, train, develop and coach Managers and Wellness Advisors
Dispensary Sales and Promotions
· Oversee dispensary promotions and events including the planning and execution of regular patient focused workshops
· Evaluate sales goals through review of financial and inventory reports
· Communicate sales goals to, and creates monthly incentive plans for, dispensary staff
· Evaluate sales trends and adjust promotional plans as necessary
· Track and exceed company KPI and sales goals
· Develop and track KPI’s for patient request program in order to increase retention rate
Operations/ Compliance
· Maintain strict compliance with all Company policies and applicable laws; Maintain records according to State law and company policy
· Schedule and oversee day-to-day duties of the ASM and Wellness Advisors
· Review and analyze dispensary activities and data to aid planning and quality of services and medicines
· Perform regular inspection of the dispensary to ensure an outstanding patient experience and the highest possible level of patient satisfaction
· Oversee inventory to ensure appropriate merchandising
· Oversee daily cash management,
· Managers and Team Wellness Advisors on proper cash handling and inventory management
· Maintain a clean, safe, and welcoming environment inside and outside the facility
· Streamline processes and procedures as necessary
· Performs additional duties assigned by the General Manager
· Conduct compliance audits to evaluate any potential compliance issues

Qualifications
Education

Work Experience Required
· 4+ years’ experience in a fast-paced client-service intensive industry – retail or hospitality background preferred
· 2+ years’ experience in a management role (building and leading a team to success; lead by example and demonstrating company goals being met.)
· Work history showing progressive responsibility
Required Knowledge
