PSI Labs is looking for a Finance & Office Manager to join our team in Ann Arbor, Michigan. This person will play an active role in our financial operations for two laboratory locations reporting directly to the Chief Executive Officer of the organization.
Role Responsibilities (Finance functions)
- Manage day-to-day bookkeeping and record financial transactions and activity for Michigan and California operations
- Conduct monthly reconciliations, and investigate issues when necessary
- Maintain relationships with and support the effective selection of vendors across all financial functions
- Record client payments and prepare weekly deposits (2x per week on busier weeks), and maintain deposit records
- Post bi-weekly payroll transactions
- Manage Finance Coordinator
- Support the Finance Coordinator with: Weekly AP (loaded into Bill.com); Regular AR procedures; Billing related client communications; Sending collection correspondence; Management of cash drawer and OTC finance procedures
- Support the CA Office Manager as it pertains to posting client payments, sending invoices and other day-to-day financial functions for the Monrovia team
- Support client needs as it pertains to payments, billing and other finance functions
- Investigate issues and respond to client and vendor inquiries in a timely manner
- Maintain accurate/updated copies of Insurance Policies (GL, D&O etc) and maintain payment records; respond to annual insurance audits
- Maintain records of invoices and payments for internal and external audit
- Support regular documentation needs for ISO accreditation and vendor review
- Produce regular financial reports, help create budgets and projections for senior leadership
- Work with external accountant to process quarterly tax payments
- Support and record equipment purchase and lease, and related depreciation
- Complete year-end financial procedures
Role Responsibilities (Office management functions)
- Oversee the day-to-day operations of the Ann Arbor office location
- Support the Operations Coordinator and Finance Coordinator with purchasing, office-supplies, and equipment (on an as-needed basis)
- Support Operations Coordinator in managing the HR function for MI and CA
- Coordinate with other managers to ensure holiday and PTO coordination for those supporting the front desk and front office functions
- Provide feedback on budgets and office activities such as breakfasts, events and other team building activities
Qualifications/Requirements
- Expert level knowledge of Quickbooks Online Advanced
- Five plus years of accounting and bookkeeping experience
- Two plus years of office management or oversight of a physical office
- Three plus years of directly managing one or more team members
- General knowledge of accounting and internal controls
- Working knowledge of GSuite, Microsoft Office, Slack and Bill.com
- Experience with financial projections, forecasting and investor documents is a plus
- Bachelor’s degree with finance/business concentration
- Cannabis/laboratory experience is a plus
- Ability to travel up to once per quarter as needed
- Must be able to work on-site (Ann Arbor, MI) 3-4 days/week
- Must show proof of full vaccination against COVID19 prior to start date, or documentation of qualified medical exemption.

Field Sampling Technicians will report to the lab at the beginning of each shift to collect their sanitized sampling kit, drive to licensed facilities for sampling events and return to the lab at the end of the shift to drop off and input samples into our LIMS.
A Field Sampling Tech must be comfortable working with and around cannabis products. All employment offers will be contingent upon successful completion of a criminal background check, including a Motor Vehicle Report (MVR) which must be clear to proceed.
Our Sampling Technician will:
- Driving to and from sampling events (requires several hours on the road each day).
- Follow all internal laboratory SOPs and state regulations while driving samples to and from the laboratory/clients’ sampling site.
- Maintain records of samples and transportation data per relevant procedures.
- Maintain sampling supply/equipment inventory.
- Complete vehicle operational logs and minor maintenance as needed.
- Follow good documentation practices, data integrity principles, and safety protocols.
- Ensure proper Sample Submission form protocols are followed.
- Support laboratory-based functions including sample intake/preparation, etc.
- Coordinate intake activities with Client Services Representative(s), Director of Client Ops, and Laboratory Director.
- Perform other duties as requested by Management.
Sample Collection:
- Randomly select samples for testing using the defined SOPs.
- Document sample and client information.
- Maintain proper chain of custody of the samples from the client to the laboratory.
- Receive samples and verify appropriate receipt conditions, including weighing samples.
- Enter the samples into the LIMS.
- Complete all necessary intake forms.
Customer Relations:
- Contact clients in conjunction with the Director of Client Ops and Client Service Representative(s) to determine their sampling needs to create a sampling plan (e.g.# of batches, requested analyses, sample information) and schedule sample collection.
- Make decisions on the condition of the product and advise the client if their product is ready to be sampled.
- Along with the Client Service Representative, maintain/enhance customer relations.

PSI Labs is looking for a Field Sampling Technician to join our team. This position is responsible for conducting sampling in the field and safely and securely transporting samples and relevant documentation to the laboratory for processing. Field Sampling Technicians will report to the lab at the beginning of each shift to collect their sanitized sampling kit, drive to licensed facilities for sampling events and return to the lab at the end of shift to drop off and input samples into our LIMS.
A Field Sampling Tech must be comfortable working with and around cannabis products. All employment offers will be contingent upon successful completion of a criminal background check, including a Motor Vehicle Report (MVR) which must be clear to proceed.
Our Sampling Technician will:
- Driving to and from sampling events (requires several hours on the road each day).
- Follow all internal laboratory SOPs and state regulations while driving samples to and from the laboratory/clients’ sampling site.
- Maintain records of samples and transportation data per relevant procedures.
- Maintain sampling supply/equipment inventory.
- Complete vehicle operational logs and minor maintenance as needed.
- Follow good documentation practices, data integrity principles, and safety protocols.
- Ensure proper Sample Submission form protocols are followed.
- Support laboratory-based functions including sample intake/preparation, etc.
- Coordinate intake activities with Client Services Representative(s), Director of Client Ops, and Laboratory Director.
- Perform other duties as requested by Management.
Sample Collection:
- Randomly select samples for testing using the defined SOPs.
- Document sample and client information.
- Maintain proper chain of custody of the samples from the client to the laboratory.
- Receive samples and verify appropriate receipt conditions, including weighing samples.
- Enter the samples into the LIMS.
- Complete all necessary intake forms.
Customer Relations:
- Contact clients in conjunction with the Director of Client Ops and Client Service Representative(s) to determine their sampling needs to create a sampling plan (e.g.# of batches, requested analyses, sample information) and schedule sample collection.
- Make decisions on the condition of the product and advise the client if their product is ready to be sampled.
- Along with the Client Service Representative, maintain/enhance customer relations.

- This job will include some extended work hours, weekend work during harvest and other busy seasons, and occasional overnight trips.
- This job may entail regularly driving 3+ hours each way to a sampling event, if necessary.

PSI Labs is looking for a motivated individual to assist with getting our clients their data. This full-time position will report directly to our Director of Quality & Compliance and has the possibility of working remotely 2-3 days per week.
Our Data Quality & Reporting Specialist will play a critical role in several areas of our organization:
Data reporting and review:
- Process all final data from our internal LIMS system (including - cannabinoid, pesticide, residual solvent, microbial, terpene, foreign matter, and/or heavy metal) to generate Certificates of Analysis for all products tested at PSI Labs.
- Process final data to the State of Michigan’s compliance reporting system, METRC.
- Review data for errors, non-conformities, and items that require further investigation (you are the owner of the final step before data goes to our clients).
Liaison to system partners:
- Serve as a liaison between PSI Labs and Confident Cannabis (currently our internal and customer-facing LIMS)
- Serve as liaison between PSI Labs and the State of Michigan’s third-party tracking software (METRC)
Process Improvement - Quality:
- Proactively suggest and recommend opportunities for process improvement to reduce errors and increase the accuracy of final form data.
- Assist with Quality Management System documentation and documentation of non-conformities for the purpose of generating the monthly QMS scorecard.
Client Inquiries:
- Review and respond to client inquiries related to final COAs and/or METRC results with the support of the Client Operations team.
- Coordinate with the laboratory and sampling teams when data requires further review/investigation.
- Follow-up with clients and the Client Operations team in a timely manner regarding issues resolution related to results and data.
Skills:
- Extraordinary attention to detail.
