Inventory & Compliance Leads
JOB DESCRIPTIONThe Inventory Lead is a key position in the Retail operation. The Inventory Lead is responsible the quality and quantity of the product available to Phoenix Relief Center’s Patients. The Inventory Lead will use their knowledge and experience to select and order quality and demanded products for Phoenix Relief Center’s Patients, ensure that products are prepared compliantly and consistently with the expectations of Phoenix Relief Center’s management and the Arizona Department of Health Services, and have the ability to assess the performance of the Packaging team by maintaining close supervision of the packaging process and complete and accurate records of packaging data. The Inventory Lead will look for areas to improve the processes with an eye on efficiency and compliance.
AREAS OF COMPETENCY PACKAGING STAFF SUPERVISION1. Understand, enforce, and utilize safe practices and maintain a clean working environment and facility standards.
1. Perform all duties associated with the preparation, packaging, inventory or any other procedure necessary to prepare bulk medical marijuana product for packaging.
2. Ability to train new DA’s in packaging and handling of MMJ.
3. Ability to perform packaging duties effectively and in a timely fashion.
4. Possesses knowledge in compliance when creating product labels, and handling of medical marijuana.WEEKLY RECONCILIATION1. Perform inventory count on Monday night.
2. Ensuring products are rotated correctly (FIFOWEEKLY PRODUCT ORDERING1. Ability to accept deliveries from another state licensed dispensary, with correct documentation
2. Ability to receive PO’s into the inventory control system.
3. Possesses knowledge in compliance when handling PO’sWEEKLY SUPPLY COUNTS AND ORDER3. Ability to order medical marijuana products efficiently and with good judgement.
4. Ability to keep in good standing and communication with vendors.
5. Ability to know which strains to select for the packagers.
SUPERVISION RESPONSIBILITIESThe Inventory Lead will have several Packager that directly report to their position. The Inventory Lead will ensure that the Packagers do the following:
1. Packaging staff uses PPE (gloves), and cleans packing utensils, surfaces and scale in between each strain while staying compliant.
2. Packaging staff is accurately following packaging guidelines. Reporting the following data in the Cognito report upon the completion of the breakdown of a pound of flower:
a. Starting Weight
b. Quantity of eighth, grams, pre-rolls, and waste product.
3. Packaged flower is prepared with the following
a. Accurate and Compliant Labels
b. Appropriate package Sealing
c. Correct Qualities & Weights
d. Completed Packaging Form
e. Correct Storage Location
f. Record accurately in Treez
4. Inventory Audit Counts - Use the team to the fullest to efficiently and accurately count inventory on Monday nights. This will require the Inventory Lead to:
a. Print counts sheets prior to end of shift
b. Adjust sheets to have blank columns for counts and reasons written down.
c. Review counts of variant product, request for recounts if necessary
d. Direct team to maximize efficiency and teamwork
5. Ensure product is rotated and pulled by staff using FIFO principle.
DELIVERABLES AND REPORTINGInventory Lead reports directly to the Product and Compliance Manager. The Inventory Lead will prepare and present weekly the following reports:
1. Packaging Report
2. Reconciliation Report
3. Product & Supply Requests
4. PO Report
Each Report will contain the following informationPACKAGING REPORT1. Create an Excel Workbook
2. Cognito Entries vs Trees Sheet
a. From Cognito export the Packaging Report Entries to an Excel worksheet in the workbook
b. From Treez export the Bulk Flower Sales Report to an Excel worksheet in the workbook
c. Turn each Chart of Data to an excel Table and run a Pivot Chart to a separate “Summary” sheet in the Workbook.
d. Verify that the Totals on Cognito Report match the totals on the Treez Report
3. KPI Summary Sheet
a. Create a new worksheet in the Excel workbook–
b. Run a Pivot Table of the Cognito entries breaking down the packaging report by Packager, Pounds Packaged, eighths packaged, Grams Packaged, Pre-Rolls Packaged.
c. Determine the Pound Packaged by Packager per Shift
d. Compare Quantities of eighths, grams and Pre-rolls to established expected quantities per pound.
4. Email the completed Packaging Report to the Product and Compliance Manager by the required due date.

RECONCILIATION REPORTUpon the completion of the weekly Inventory Audit, do the following:
1. Export the Reconciliation Report for thegiven period from _ Treez _to an Excel Workbook
a. Insert a Column to the Report to the right of the “Reason” Header.
b. Name this column “Action Taken” and fill out the appropriate response for all products listed.
2. Export the Bulk Flower Sales Report for thegiven period from Treez to existing Excel Workbook
3. Export the Live Inventory Report for the given period from Treez to the existing Excel Report
4. Email the Completed Reconciliation Report to the Product and Compliance Manager be the expected due date.
PRODUCT & SUPPLY REQUESTSOn a weekly basis have a supply par count completed, Review the Live Inventory Report to determine the inventory needs of the store. Then do the following:
1. Create an Excel Workbook the Contains tabs for:
a. Needed Supplies as determined by the par count,
b. A representation of the LeafLink.com shopping cart (Select with mouse and copy and paste)
c. And a list of misc. product needs, including:
i. Flower,
ii. Accessories,
iii. And items TBD
d. Present this Request Report at the expected Mid-Day Meeting for authorization.
e. Once Authorized Complete Purchases and email confirmation to Product and Compliance Manager.PURCHASE ORDER REPORTOn a weekly basis, prepare a report of the weeks Purchase Orders (POs). Run a PO Report from Treez and export to excel. Verify that all POs are Paid, accurate, Live, and that no POs that were rejected, unused, or partially started are left in que. POs for upcoming deliveries are to be expected and left active. Once report is reviewed email the Product and Compliance Manager and the Bookkeeper the report and state in the email that the POs have be review and verified as correct.
