POSITION OBJECTIVE
Working under moderate supervision, the Dispensary Technician 1 will provide in a courteous and professional manner the supply and equipment sterilization for all dental clinics/graduate clinics. The dispensary technician will receive, process, sterilize and distribute all instruments used in the dental clinics. The dispensary staff is responsible for the distribution or storage of hand pieces, instruments, dental materials, personal protective equipment and chemicals on a daily basis.
ESSENTIAL FUNCTIONS
- Monitor and log biological assurance test on sterilizers for sterility on a daily basis. Monitor solutions used in washers, ultrasonic and decontamination sink. Notify supervisor of instrument cleaning or sterilization malfunctions. Receive, clean, sterilize and dispense all instruments and devices associated with all clinics as directed. Decontaminate, ultrasonic/power wash cassettes, instruments and equipment as outlined in their respective manufacturer’s instructions for use. Sort sets of instruments and check for loss or breakage and report to supervisor. Follow infection control procedures regarding wrapping and sterilization of instruments, cassettes and equipment. After completion of sterilization, remove equipment from sterilizer and move to correct dispensary or storage area. Follow safety procedures to ensure personal safety, as well as the safety of others. (25%)
- Receive and process instruments used in the dental clinics. Scan equipment and cassettes received or dispensed. Issue and scan into dispensary program incoming or outgoing dispensary equipment/ material by appropriate ID. Transport carts of instruments, cassettes and handpieces to sterilization. Distribute in-house dental material to the students, residents, faculty and staff. Keep detailed log of material to be charged to departments. Process and distribute dental in-house supplies by specialty clinics. Materials are requisitioned via a requisition form signed by the department head. Assemble kits/material packages for board examinations. (20%)
- Prepare and distribute dental materials. Label each poured chemical with the correct chemical name. Preparation of material must be performed under a chemical hood wearing safety glasses, gloves, masks and protective lab coat or gown. Become familiar with approximately 1,400 different dental materials and chemicals. Must be extremely accurate in unit dosing dental chemicals, otherwise composition of material will be affected. (15%)
- Distribute in-house clean dental clothing to the students, faculty and staff. Verify that unsterile coats/gowns are placed into designated container. Replace laundry bag with fresh bag. Annually assist new student doctors with sizing of lab coats. Assist new faculty with sizing and procedures for dropping off and picking up laundered coats. Monitor and notify the laundry services department when gowns/ coats are not being processed on a timely basis to ensure coats and gowns are available daily. (10%)
- Accept approved lab cases and paperwork from various dental laboratories. Log the return of the lab case into our clinical software. Maintain accurate accounting of lab cases in and out of the dispensary, to lab and to the student. Gather and separate all lab invoices, leaving the notes from each incoming case for review. (10%)
- Daily stock the DMD clinics with sterilization pouches, barrier tape, chair covers and sleeves, etc. Check all sharps containers and replace when needed. Daily stock DMD x-ray rooms with sensor barriers, gloves and disinfectant. Daily stock dental lab with gypsums. Review inventory in storage areas in the dispensary daily. Assess what supplies need to be ordered and prepare order requisition for supervisor to approve. Receive and store supplies. (10%)
NONESSENTIAL FUNCTIONS
- Responsible for issuance and recordkeeping of school owned leased equipment. Maintain meticulous records (agreements). Inspect equipment for loss or damage. Notify manager of all repairs or losses. (5%)
- Maintain cleanliness of dispensary area, including washing shelves, dust mopping floor and maintaining sterilization equipment in a clean presentable appearance. Clearly label and update material bins. (3%)
- Perform other assignments as requested by or supervisor. (record keeping, parking validation, paperwork, filing, preparing clinics for exams). (2%)

QUALIFICATIONS
Experience: 0 to 3 months previous dental or dental assisting background required.
Education/Licensing: High school education required. Sterile Processing Technician certification and re-certification required.

WORKING CONDITIONS
Sterilizers can be hazardous. If proper procedures are not followed, steam can cause severe burns. Dispensing and preparation of different dental materials (such as Ethyl Methacrylate, monomer, ploy acrylate resin, organic peroxide, Perm Hygenic, etc.) presents certain health risks to employees of the dispensary. All chemicals are measured and dispensed from a large container into unit doses under a chemical hood. Area is excessively warm because of sterilization equipment. On occasion, sharp tips of various instruments may protrude from cassettes and sterilization pouches. Employees must be very careful in handling or risk puncture wounds. Required personal protective equipment includes mask, gloves and safety glasses when appropriate. Employee must have Hepatitis vaccine.
Working hours will be extended during scheduled Competencies, Prophy Day, MOCK boards, Remediation, CDCA (Commission on Dental Competency Assessments) and WREB (Western Regional Examining Boards). At these times it will be mandatory for employees to work additional hours as instructed by supervisor.
Must be able to lift/unload boxes of merchandise weighing up to 45 pounds on a daily basis.

POSITION OBJECTIVE
Responsible for the management and operation of the School of Dental Medicine Clinic Procurement, Sterilization and Dispensary Services. Duties include procurement, secure storage and distribution of clinical supplies and instrumentation needed to manage DMD students, 8 graduate specialty clinics and 1 faculty practice. This position is also responsible for following sterilization protocols adopted in collaboration with Steris Corporation. The manager directly supervises up to 12 dispensary technicians and student employees. This position has a major impact on the Dental Clinic’s ability to successfully operate on a day-to-day basis. Additionally, the manager plays a critical role in ensuring new products are launched on time, within budget, while meeting quality, cost and delivery objectives. Lastly, this position will utilize a data-driven approach to continuously and proactively investigate new suppliers, technologies and workflows in order to identify opportunities for improvement, support the organizational goals, and recommend ideas to key stakeholders and the administration.
ESSENTIAL FUNCTIONS
- Supervisory Role: Directly supervise the performance of dispensary personnel and student employees. Prepare performance evaluations, schedules and develop departmental training materials and guidelines. Supervise the dispensing of supplies from the stock rooms to auxiliary personnel of the various departments on a regularly scheduled basis. Supervise and share in the responsibility for stocking the main dental clinics with supplies. Supervise the packaging of all dispensary supplies, i.e., fastray, impression materials, alcohol and measuring/mixing of chemical compounds. Oversee the laundering (by external contractors) and distribution of student gowns and faculty clinical jackets. Supervision of sterilization procedures for all clinical instruments on a daily basis. Responsible for testing of the sterilizers on a weekly basis. Supervise to ensure the cassettes and contents are being cross checked to avoid loss of instruments. Responsible for documentation and compliance with regards to sterilization protocols. (35%)
- Procurement and Inventory Management: The Dental Clinic sees over 65,000 patient visits a year. The supplies and instruments needed to manage the services cost $4-6 million dollars. The manager is responsible for the procurement, dispensing and secure storage of these supplies and instruments. Track dental instruments by patient and student, supervise proper sterilization and dispensing the dental instruments. Act as the Case Western Reserve University Dental School buyer by meeting with vendors, verifying product pricing and availability. Place purchase orders with companies, following Case Western Reserve University guidelines for purchasing and procedures. Issue purchase order numbers, verify invoices and shipping and approve invoices for payment. Process paperwork for data entry. Responsible for the purchasing, logging and proper disposal of controlled narcotic substance drugs. The manager will work with stakeholders within the School of Dental Medicine and from Compliance, as needed, to track and manage the ordering, delivery, storage and use of controlled substances. Interact with dental supply houses, dental manufacturing companies and dental representatives. Responsible for overhead control of supplies and materials. Develop and implement protocol for dispensary department procedures and assist the Assistant/Associate Dean for Clinical Affairs in the development of clinical protocols. Develop and maintain cost accounting records of all supplies issued from storeroom and dispensary to various departments and generate monthly usage and financial accounting reports. These reports are to be shared with key leadership of the institution. Using the appointment/procedure history and future appointments in the EHR, justification for orders should be available. Data should be maintained in a Tableau friendly software for easy visualization. Maintain a perpetual inventory for the clinic on the computer; prepare annual inventories of clinic and storeroom supplies for University Auditors. Maintain daily logs of requisitions by purchase order number, vendor, department and material cost. Daily entries of all shipments received should be similarly maintained. As the clinical field of dentistry evolves and newer materials and technologies come available, the manager will play a key role in identifying opportunities for continuous improvement and efficiency, providing the administration with information and recommendations on the newer materials, instruments and equipment, keeping in mind the strategic goals of the institution. (40%)
- Dispensary Operations: Responsible for the scheduling of dispensary personnel, stocking and distribution of dental materials during Boards exams. Alert Case Western Reserve University maintenance or private service contract personnel regarding necessary servicing of equipment in the dispensary areas. Work with other staff as needed to ensure DMD student lab cases are accurately checked in and out of the Electronic Health Record. Compose memos and complete clinical surveys. Assist Director of Development and Administrator of Fiscal Affairs with completion of clinical supply grants and surveys. Serve as liaison between Dental vendors and Dental school faculty and students. Assist the Assistant/Associate Dean and Directors of Clinical areas with making decisions concerning cost effectiveness of products. (20%)

QUALIFICATIONS
Experience: 3 to 5 years of experience required. Experience in a dental environment preferred. Experience with sterilization services is a critical asset.
Education/Licensing: High School Education required. Some college preferred.
