We are looking for an organized and efficient Administrative Assistant to join our team. The Administrative assistant is responsible for the organization and upkeep of all documentation and records that our team works with every day. The ideal candidate must be extremely organized, and excellent at cataloging and managing a large filing system. The Administrator will also be responsible for performing clerical duties such as making copies, answering phones, preparing legal documents, and assisting in office upkeep. In addition we would like someone who can learn and implement, Oklahoma cannabis rules and regulations.
Administrative Assistant Duties and Responsibilities
- Prepare correspondence, documentation, and other materials
- Organize large amounts of documents, invoices, and letters
- Compile documentation into files and maintain an organized filing system
- Create photocopies and reproductions of records and legal documentation
- Deliver documentation to courthouses, law firms, and other locations as needed
- Maintain and update files and databases for other documentation such as personnel records, financial reports, or policies
- Answer phone calls and transfer calls to appropriate party
- Maintain schedules and calendar and updates as needed
- Oversee and stock office supplies; monitors computers, printers, and other equipment for maintenan
- Monitor incoming and outgoing mail
- Sign for packages from USPS, FedEx or UPS
- Receive mail and packages from couriers and delive to proper recipient
- Comfortable with highly confidential information
Administrative Assistant Requirements
- High school diploma; associate's degree, or bachelor degree in pre-law, administration, or related field preferred
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling and organization skills a must
- Excellent written and verbal communication skills

Legal Clerk Job Summary
We are looking for an organized and efficient legal clerk to join our team. The legal clerk is responsible for the organization and upkeep of all the legal documentation and records that our team works with every day. The ideal candidate must be extremely organized, and excellent at cataloging and managing a large filing system. The legal clerk will also be responsible for performing clerical duties such as making copies, answering phones, preparing legal documents, and assisting in office upkeep. In addition we would like someone who can learn and implement, Oklahoma Cannabis rules and regulations,
- Learn how to report all cannabis activity in the METRC Track & Trace system that pertains to the intake, processing, packaging, labeling, and waste of cannabis and cannabis products.
- Assists Fulfillment with routine audits of inventory quantities and compares the results with the state METRC Track & Trace system; investigates and corrects any discrepancies.
- Acts as METRC Subject Matter Expert (SME) and provides guidance and training and development internal counterparts.
- Maintain thorough and up-to-date knowledge of State cannabis laws and regulations.
- Conduct regular compliance audits at all processing facilities
- Proactively and professionally communicate, develop, and maintain relationships with State and City regulators and inspectors.
- Acts as a liaison with official agencies and maintains respectful relationships.
- Review all marketing materials for compliance with state laws.
- Ensure compliance with regulations, policies, and procedures and assist in developing and monitoring state-specific Standard Operation Procedures (SOPs) for manufacturing.
- Continuously monitor the policies and SOP's implementation efficiency and consistency and conduct regular training for all employees.

- You’ll be part of the dedicated Alliance team at the distribution center – the final stop before we deliver award winning products to people. Our fast-paced, physical roles package vans full of orders, then prepare them for delivery. You may even be part of the team that works with larger items,Bulk raw goods such as Pounds of cannabis, Liters of distillate and be trained on how to use machinery to handle these heavy bulk items.
Make sure all shipping tools such as tape, sharpies, pens, marketing materials,sticky notes etc are prepped before the start of the day
- Print All orders that come in while separating them into proper categories (insuring no invoices are missed)
- Check inventory daily for any sku we may not have stocked and notify manufacturing to produce a work order
- Keep management and supervisors aware of product shortages in order to maintain accurate information on the company website
- Organize stock and merchandise with in the warehouse by properly boxing and storing goods in their designated location
- Notify a manager when any packaging or storage materials are at there minimum amount for a purchase order to be made
- Ensure ice packs get restocked daily by shipping team
- Always prioritize shipping by checking invoices for the earliest date
- Be sure to always choose the correct shipping carrier for each order
- Responsible for notifying UPS on next day pickups
- Be sure to always respond to specific notes on each orders packing slip
- Be sure each wholesale order shipping cost is properly documented so A/R can bill accordingly
- Verify all incoming shipments to be accurate by comparing the invoice to order and ensuring all goods are in acceptable condition
- Once incoming shipments are fully verified place items into there storage location and be sure to update raw goods inventory (coming soon)
- Accurately package, label and weigh items to be shipped and ensure proper shipment method and shipping charges
- Inspect products for quality control before boxing items to ship
- Properly Prepare detailed packing slips be sure all required paperwork is met and a copy is placed in the box before taping to be shipped
- If any order is to be divided per carrier or shipping separate days, must provide a matching set or sets of packing slips and keep our copies together
- Always keep your area clean and to company standards
- Ensure all invoices are handled promptly, and goods are shipped
- Ensure all orders are loaded and on time to the post office daily

Senior Accountant Job description

We’re seeking an experienced accountant to oversee this team in the role of Senior Accountant. The ideal candidate will have proven industry experience as an accountant, preferably in a senior role. As a strong communicator and skilled financial analyst, you will make it your mission to streamline our budgeting, payroll, and financial reporting processes. You will produce thorough financial-status reports for senior management to help improve our operational efficiency and aid in our continued growth. This position will be responsible to comply with generally accepted accounting principles and cash management. We are a group of cannabis entrepreneurs that relocated from California to Oklahoma we have multiple entities that you will essentially work with.
This position is for Tishomingo Oklahoma, This will require 180 days onsite. At this point we will discus remote. We Also may have a office in Dallas at this point so there may be options to work from there as well.
Duties and Responsibilities
- Planning, directing and coordinating all accounting operational functions.
- Managing the accumulation and consolidation of all financial data necessary for an accurate accounting of consolidated business results.
- Coordinating and preparing internal and external financial statements.
- Coordinating activities of external auditors.
- Providing management with information vital to the decision-making process.
- Managing the budget process.
- Assessing current accounting operations, offering recommendations for improvement and implementing new processes.
- Evaluating accounting and internal control systems.
- Evaluating the effectiveness of accounting software and supporting database, as needed.
- Developing and monitoring business performance metrics.
- Overseeing regulatory reporting, frequently including tax planning and compliance.
- Hiring, training and retaining skilled accounting staff.

- Process payroll in a timely manner.
- Ensure that periodic bank reconciliations are completed.
- Ensure that required debt payments are made on a timely basis.
- Maintain the chart of accounts.
- Maintain an orderly accounting filing system.
- Maintain a system of controls over accounting transactions.
Reporting
- Issue timely and complete financial statements.
- Coordinate the preparation of the corporate annual report.
- Recommend benchmarks against which to measure the performance of company operations.
- Calculate and issue financial and operating metrics.
- Manage the production of the annual budget and forecasts.
- Calculate variances from the budget and report significant issues to management.
- Provide for a system of management cost reports.
- Provide financial analyses as needed, in particular for capital investments, pricing decisions, and contract negotiations.
Compliance
- Coordinate the provision of information to external auditors for the annual audit.
- Monitor debt levels and compliance with debt covenants.
